This glossary defines key terms used throughout Muin’s documentation and interface.
A
Agent
An AI-powered component that performs specific tasks automatically. Muin includes agents for document processing, report generation, insight detection, and vendor verification.
Approval Workflow
A defined process where documents or requests are routed to designated approvers before being finalized. Approvers can approve, reject, or request changes.
Audit Log
A chronological record of all actions taken in the system, including who performed them and when. Used for compliance and troubleshooting.
B
Bulk Action
An operation performed on multiple items simultaneously, such as approving multiple invoices or updating several vendors at once.
C
CAGE Code
Commercial and Government Entity Code. A five-character identifier assigned to entities that do business with the US federal government.
Chat (Muin Chat)
The conversational AI interface where you can ask questions about your data and execute actions using natural language.
Compliance Score
A numerical rating (0-100) indicating how well a vendor meets your documentation and verification requirements.
Confidence Score
A percentage indicating how certain the AI is about an extracted data value. High confidence (>90%) usually indicates accurate extraction.
Connector
An integration that links Muin to external systems like Slack, QuickBooks, or Google Drive. Connectors sync data between systems.

Dashboard
The main overview screen showing key metrics, recent activity, and items requiring attention.
Deep Link
A URL that links directly to a specific item within Muin, such as a particular invoice or vendor profile.
Documents
The central location for viewing, searching, and managing all uploaded documents. (Previously called the Document Hub.)
Document Type
A classification for documents (invoice, contract, receipt, etc.) that determines how data is extracted and processed.
E
Embedding
A numerical representation of text used by AI systems to understand meaning and find similar content. Used in semantic search.
Exception
An item flagged for attention because it deviates from normal patterns or requires manual review.
Extraction
The process of identifying and pulling specific data fields from a document, such as vendor name, amount, and date from an invoice.

Field
A specific piece of data extracted from a document or entered in a form, such as “Invoice Amount” or “Vendor Name.”
Filter
A criteria used to narrow down displayed items, such as showing only overdue invoices or active vendors.
G
Grant
A funding source tracked in the Finance module, often with specific usage restrictions and reporting requirements.

Help Article
Documentation content accessible within the application that explains features and provides guidance.
I
Insight
An AI-generated observation about your data, such as anomalies, trends, or opportunities. Insights appear automatically when detected.

Keyboard Shortcut
A key combination that triggers an action, like Ctrl+K to open the command palette.
L
Line Item
An individual entry on an invoice or purchase order, typically including description, quantity, and price.
M
Module
A major functional area within Muin, such as Finance, HR, or Vendors. Each module handles specific business processes.
Multi-tenant
An architecture where multiple organizations share the same software infrastructure while keeping their data completely separate and secure.
N
Narrative
AI-generated text that explains data in human-readable form, such as report summaries or insight explanations.
Notification
An alert informing you of events requiring attention, such as new approvals, task assignments, or system updates.
O
Onboarding
The process of setting up new employees or vendors, including collecting required documentation and completing initial tasks.
Org Chart
A visual representation of your organization’s structure showing reporting relationships.
P
Permission
A setting that controls what actions a user can perform, such as viewing documents, approving invoices, or managing users.
Pipeline
A sequence of processing steps that documents flow through, from upload to final storage.
Priority
An importance level (Critical, High, Medium, Low) assigned to items like tasks, insights, or exceptions.
Q
Queue
A list of items waiting for action, such as invoices awaiting approval.
Quick Action
A button or shortcut that performs a common action with minimal clicks.
R
RBAC (Role-Based Access Control)
A security model where permissions are assigned to roles, and users are assigned to roles, rather than giving permissions directly to users.
Reminder
A scheduled notification that alerts you at a specific time to take action on something.
Report
A generated document summarizing data, such as an exception report or executive summary.
Role
A named set of permissions that can be assigned to users, such as “Finance Manager” or “HR Admin.”
Routing
The process of sending a document or request to a specific person or queue for action.

SAM.gov
The System for Award Management, a US government database of entities authorized to do business with the federal government.
Schema
The structure defining what fields a document type contains and how they’re organized.
Semantic Search
Search that understands meaning, not just keywords. Finds documents about “payment terms” even if the exact phrase isn’t used.
Session
A period of activity in Muin, from login to logout or timeout.
Soft Delete
A deletion method that marks items as deleted without permanently removing them, allowing recovery if needed.
Status
The current state of an item, such as “Pending,” “Approved,” “Paid,” or “Expired.”
Sync
The process of updating data between Muin and connected external systems.
T
Tag
A label applied to items for organization and filtering, such as “Urgent” or “Q4-Review.”
Task
An action item assigned to a user with a due date, such as “Follow up with Acme Corp about insurance certificate.”
Tenant
An organization using Muin. Each tenant’s data is completely isolated from other tenants.
Threshold
A configurable limit that triggers actions when exceeded, such as alerting when spending variance exceeds 20%.
Timeline
A chronological view of events related to an item, showing its history.
Tooltip
A small popup that appears when hovering over an element, providing additional information or help.
Tour
A guided walkthrough that introduces features by highlighting elements and providing explanations.
U
UEI (Unique Entity Identifier)
A 12-character alphanumeric identifier assigned by SAM.gov to entities registered to do business with the US government. Replaced DUNS in 2022.
Upload
The process of adding a document to Muin for processing and storage.
V
Variance
The difference between expected and actual values, often expressed as a percentage.
Vendor
A company or individual that provides goods or services to your organization.
Verification
The process of confirming that vendor documents and credentials are valid and current.
W
Webhook
A mechanism where external systems notify Muin of events in real-time, triggering automatic actions.
Widget
A component on a dashboard that displays specific information or provides quick access to actions.
Workflow
An automated sequence of steps triggered by events, such as routing invoices for approval when uploaded.
