Vendor Budgets

Plan, track, and manage vendor spending with budget allocation, threshold alerts, and real-time spend visibility across your vendor portfolio.

Muin’s Vendor Budgets feature helps you plan and control vendor spending. Allocate budgets, track spending in real-time, and get alerts before you exceed thresholds—keeping procurement costs under control.

Why Vendor Budgets?

Without budget tracking, vendor spending can:

  • Exceed plans - Surprise overages at quarter end
  • Lack visibility - No idea where money is going
  • Miss savings - Overspend on underutilized vendors
  • Create compliance issues - Unauthorized spending

With vendor budgets, you get:

  • Planned spending - Set budgets upfront
  • Real-time tracking - See spend as it happens

Budget Overview

Accessing Budgets

  1. Navigate to VendorsBudgets
  2. The budget dashboard shows all active budgets
  3. Filter by vendor, category, or time period

Dashboard Summary

The budget dashboard displays:

Creating Budgets

Setting Up a New Budget

  1. Click Create Budget button
  2. Select the vendor
  3. Enter budget details:
    • Name - Descriptive budget name
    • Amount - Total budget allocation
    • Period - Time period (monthly, quarterly, annual)
    • Start Date - When budget begins
    • Category - Optional spending category
  4. Set alert thresholds (see below)
  5. Click Create

Budget Categories

Organize budgets by category:

  • Software - SaaS and licenses
  • Services - Consulting and professional services
  • Hardware - Equipment purchases
  • Maintenance - Ongoing support contracts
  • Marketing - Advertising and marketing vendors
  • Custom - Define your own categories

Alert Thresholds

Setting Thresholds

Configure when to receive alerts:

  1. Open a budget or create new
  2. Find the Alerts section
  3. Set threshold percentages:
    • Warning - Typically 75%
    • Critical - Typically 90%
    • Over Budget - At 100%

Customizing Alerts

For each threshold:

  • Set the percentage level
  • Choose who receives alerts
  • Enable/disable specific notification types

Tracking Spending

How Spending is Tracked

Spending is captured from:

  • Invoices - Matched to vendor
  • Purchase orders - When created
  • Manual entries - Direct spend logging
  • Integrations - From accounting software

Viewing Current Spend

On the budget detail page:

  • Spent - Total spent this period
  • Remaining - Budget minus spent
  • Burn rate - Daily/weekly spend rate
  • Projected - Estimated end-of-period spend

Spend Timeline

See spending over time:

  • Daily spend amounts
  • Cumulative spend line
  • Budget line for comparison
  • Trend indicators

Filtering by Status

Quickly find budgets needing attention:

  1. Click the Status filter
  2. Select one or more statuses
  3. View filtered list
  4. Take action on flagged budgets

Managing Budgets

Editing a Budget

To modify an existing budget:

  1. Open the budget
  2. Click Edit button
  3. Change desired fields
  4. Save changes

Note: Changing the amount mid-period doesn’t affect historical tracking.

Adjusting Budget Amount

If you need more budget:

  1. Open the budget
  2. Click Adjust Amount
  3. Enter new amount (or adjustment)
  4. Add reason for adjustment
  5. Submit for approval (if required)

Budget Adjustments Log

All adjustments are tracked:

  • Original amount
  • Adjustment amount
  • Reason provided
  • Who made the change
  • When it was made

Multi-Period Budgets

Recurring Budgets

Set budgets that repeat:

  1. When creating, select Recurring
  2. Choose frequency (monthly, quarterly, annual)
  3. Budget automatically renews each period
  4. Historical periods are preserved

Period Rollover

Configure how unused budget is handled:

Setting Permissions

  2. Go to Permissions tab

Integration with Invoices

Automatic Matching

Invoices from a vendor automatically count against their budget:

  1. Invoice received
  2. Matched to vendor
  3. Amount added to budget spend
  4. Alerts triggered if thresholds crossed

Manual Association

If an invoice needs manual matching:

  1. Open the invoice
  2. Click Associate Budget
  3. Select the budget
  4. Amount is credited

Disputed Amounts

When invoices are disputed:

  • Amount remains in spend until resolved
  • Disputed flag appears on budget
  • Resolution updates final spend

  1. Use historical data - Base budgets on past spending
  2. Include buffer - Plan for 10-15% contingency
  3. Align with contracts - Match contract terms
  4. Review regularly - Adjust as needs change

  1. Check weekly - Don’t wait for alerts

  1. Close out budgets - Review and finalize
  2. Analyze performance - Learn from variances

Troubleshooting

Budget Not Updating

If spending isn’t reflecting:

  • Check invoice is matched to vendor
  • Verify invoice status (must be approved)
  • Confirm budget period is active
  • Try manual refresh

Wrong Amount Showing

If amount seems incorrect:

  • Review linked transactions
  • Check for duplicate entries
  • Verify budget period dates
  • Contact support if still wrong

Missing Alerts

If alerts aren’t coming:

  • Verify alert thresholds are set
  • Check notification preferences
  • Confirm email delivery settings
  • Test with a lower threshold
