Task Execution via Chat
Execute business tasks directly through Muin Chat. Create tasks, route approvals, update records, and automate actions using natural language.
Muin Chat isn’t just for asking questions—it’s a powerful task execution engine. Create tasks, route approvals, update records, and trigger workflows using natural language commands.
What is Task Execution?
Task execution lets you take action directly from chat conversations:
- Create tasks - Generate follow-up items with context
- Route approvals - Send documents for review
- Update records - Change statuses, add tags, modify data
- Trigger workflows - Start automated processes
- Export data - Download results in various formats
Instead of navigating through menus, simply tell Muin what you want to do.
Available Actions
Task Creation
Create tasks with full context:
| Command | What It Does |
|---|---|
| ”Create a task to follow up with Acme” | Creates task with vendor context |
| ”Add a task for this invoice” | Links task to current invoice |
| ”Create urgent task: review contract terms” | Creates high-priority task |
| ”Task: call John about the proposal” | Quick task creation |
Task details you can specify:
- Title and description
- Due date (“by Friday”, “in 3 days”, “next Monday”)
- Priority (“urgent”, “high priority”, “low priority”)
- Assignee (“assign to Sarah”, “for the finance team”)
Approval Routing
Send items for approval:
You: "Route this invoice to Finance Manager for approval"
Muin: "I'll create an approval request for Invoice #1234
($4,567.89 from Acme Corp) and assign it to Sarah Johnson.
[Confirm] [Change Assignee] [Cancel]"
Routing options:
- Route to specific person
- Route to role (Finance Manager, HR Lead)
- Route with deadline
- Route with notes
Record Updates
Modify data directly:
| Command | Action |
|---|---|
| ”Mark this invoice as paid” | Updates status |
| ”Tag this as urgent” | Adds tag |
| ”Update vendor status to approved” | Changes vendor status |
| ”Set due date to next Friday” | Modifies due date |
Workflow Triggers
Start automated processes:
- “Run vendor onboarding for this vendor”
- “Start the invoice approval workflow”
- “Trigger month-end close process”
How Task Execution Works
1. State Your Intent
Be clear and specific:
Good examples:
- “Create a task to review the Acme contract”
- “Route invoice #1234 to Sarah for approval”
- “Mark these 3 invoices as paid”
Less effective:
- “Can we follow up?” (unclear action)
- “This needs review” (who should review?)
2. Review the Confirmation
Muin shows what will happen before executing:
You: "Create a task to follow up on overdue invoices"
Muin: "I'll create a task:
Title: Follow up on overdue invoices
Due: January 25, 2026 (7 days)
Priority: Normal
Assigned to: You
Context: 5 overdue invoices totaling $12,450
[Create Task] [Modify] [Cancel]"
3. Confirm or Modify
- Click Create Task to execute
- Click Modify to change details
- Click Cancel to abort
4. Execution and Feedback
After confirmation, Muin executes and reports:
Muin: "Task created successfully!
📋 Follow up on overdue invoices
⏰ Due: January 25, 2026
🔗 Linked to: 5 invoices
[View Task] [Create Another]"
Bulk Actions
Execute actions on multiple items:
Creating Multiple Tasks
You: "Create tasks for each vendor with expiring insurance"
Muin: "Found 4 vendors with expiring insurance. I'll create:
1. Follow up: Acme Corp insurance (expires Jan 20)
2. Follow up: Smith Electric insurance (expires Jan 25)
3. Follow up: Metro Supply insurance (expires Feb 1)
4. Follow up: Quick Print insurance (expires Feb 5)
All tasks due 7 days before expiration.
[Create All 4] [Select Which] [Cancel]"
Batch Updates
You: "Mark all invoices from Acme as reviewed"
Muin: "Found 3 Acme Corp invoices to mark as reviewed:
• INV-2024-0891 ($2,345)
• INV-2024-0892 ($4,567)
• INV-2024-0893 ($1,234)
[Update All 3] [Select Which] [Cancel]"
Context-Aware Execution
From Search Results
After a query, take action on results:
You: "Show me overdue invoices"
Muin: [displays 5 invoices]
You: "Create tasks for each of these"
Muin: [creates 5 follow-up tasks with context]
From Document View
When discussing a specific document:
You: "Tell me about invoice #1234"
Muin: [shows invoice details]
You: "Route it for approval"
Muin: [routes invoice #1234 without needing to specify again]
From Previous Actions
Build on earlier actions:
You: "Create a task to review the Acme contract"
Muin: [creates task]
You: "Also assign it to Sarah"
Muin: [updates the task assignment]

Advanced Execution
Conditional Actions
Specify conditions for execution:
You: "Create tasks for invoices over $1,000 that are overdue"
Muin: "Found 3 invoices matching criteria:
• Acme Corp $4,567 (5 days overdue)
• Smith Co $2,345 (3 days overdue)

1. Approve Invoice #1234
2. Create task: Verify payment for #1234
Due: Feb 1 (based on Net 30 terms)
[Execute Both] [Execute One] [Cancel]"
Best Practices
Be Specific
Better: “Create a high-priority task to call John about the contract renewal by Friday”
Okay: “Make a task about the contract”
Use Context
Reference current items:
- “Route this invoice”
- “Create a task for these vendors”
- “Mark all of them as reviewed”
Confirm Before Bulk
Always review bulk action summaries before confirming.
Check Permissions
If an action fails, verify you have the required permissions.
Troubleshooting
”I don’t have permission to do that”
Your user role doesn’t include the required permission. Contact your admin.
Action Not Executing
- Make sure you confirmed the action
- Check for validation errors in the response
- Verify the target item exists
Wrong Item Affected
If an action hit the wrong item:
- Use Undo if available
- Manually correct in the module
- Be more specific next time
