In-Kind Donations
Accept, catalog, and manage non-cash in-kind donations — goods, services, and inventory — with intake forms, donor receipts, and valuation tracking.
Muin’s In-Kind module lets you accept, record, and acknowledge non-cash donations — goods, supplies, services, and equipment — with the same rigor as monetary gifts. Track donor, item, estimated value, condition, and disposition in one place.
What Is an In-Kind Donation?
In-kind donations are non-cash contributions: donated goods (food, clothing, equipment), donated services (accounting, legal, consulting), or donated use of property (office space, vehicles). Under IRS rules, your organization must acknowledge in-kind gifts over $250 in writing.
Muin tracks:
- Item donations — physical goods with quantity, condition, and estimated market value
- Service donations — professional services with hourly rate or total value
- Inventory donations — goods added to your organization’s catalog for redistribution
Intake Workflow
Public Intake Form
Share a public intake form to collect in-kind offers before they arrive:
- Go to Nonprofits → In-Kind → Intake
- Click Share Intake Form to get the public link
- Donors fill out the form: what they’re donating, quantity, estimated value, preferred drop-off or pickup
Submissions appear in In-Kind → Intake for your team to review and schedule.
Pickup Scheduling
Schedule donor pickups directly from an intake submission:
- Open the intake request
- Click Schedule Pickup
- Set a date, time, and assigned staff member
- The donor receives a confirmation email with the pickup details
Pickup status (Pending, Scheduled, Completed, Cancelled) is tracked on the request.
Walk-In Donations
For donations received without prior notice:
- Go to Nonprofits → In-Kind → New Donation
- Enter donor information (or select an existing donor)
- Add one or more items:
- Item name and description
- Category (food, clothing, electronics, furniture, services, etc.)
- Quantity and unit
- Estimated fair market value
- Condition (New, Good, Fair, Poor)
- Save — the donation is logged and a receipt is queued
Cataloging and Inventory
Navigate to Nonprofits → In-Kind → Admin → Catalog to manage your in-kind inventory:
- Add catalog items — define standard items you regularly receive (e.g., “Canned food — 12 oz”, “Winter coat — adult”)
- Track stock levels — Muin increments catalog inventory when items are received and decrements when distributed
- Set reorder thresholds — get alerts when catalog stock falls below a minimum level
The catalog is especially useful for food pantries, clothing closets, and supply distribution programs.
Sessions
In-Kind Sessions (Nonprofits → In-Kind → Sessions) group related intake events — for example, a single donation drive or a recurring weekly intake day:
- Create a session with a date range and location
- Assign staff
- Log all donations received within the session
- Close the session to generate a summary report
Session reports show total items received, estimated value, number of donors, and fulfillment rate for distributed items.
Valuation
Muin uses estimated fair market value (FMV) as entered by the donor or your staff. Muin does not provide IRS appraisals — for donations over $5,000 requiring a qualified appraisal, donors should work with a certified appraiser.
For common items, Muin’s catalog can suggest FMV ranges based on condition:

These are suggestions only. Your organization is responsible for the FMV it reports on donor acknowledgments.
Donor Receipts and Acknowledgment Letters
Muin generates IRS-compliant acknowledgment letters for in-kind donations:
- Open a donation record
- Click Generate Acknowledgment
- The letter includes:
- Donor name and date
- Description of donated items (not the value — per IRS rules, you describe, the donor values)
- Statement that no goods or services were exchanged (or a description of any given)
- Send via email or download as PDF
For service donations, the acknowledgment describes the nature of services rather than listing a dollar value.
Reporting
From Nonprofits → In-Kind, export:
- Total in-kind received (by period, category, or donor)
- Items distributed vs. remaining in inventory
- Donor activity reports (giving history, frequency)
- IRS Form 8283 support data (item descriptions and values for donor tax filings)
