Learn the three ways to get documents into Muin — direct drag-and-drop upload, cloud storage import, and email ingestion — so every file lands in one place.

Getting documents into Muin is the first step to automating your business operations. Muin offers three methods to import documents: direct upload, cloud storage import, and email ingestion.

Supported File Formats

Muin processes these file types:

File Size Limits:

  • Single file: 50 MB maximum
  • Batch upload: 20 files, 10 MB each
  • Need larger? Contact support for enterprise limits

Method 1: Direct Upload

The fastest way to get a document into Muin.

Click-to-Upload

  1. Click the Upload Document button on your Dashboard or any document list
  2. A file browser opens—select one or more files
  3. Click Open to begin upload
  4. Watch the progress indicator
  5. Document appears in your recent uploads

Drag-and-Drop

  1. Navigate to your Dashboard or Document Hub
  2. Locate the upload drop zone (dashed border area)
  3. Drag files from your desktop or file browser
  4. Drop them in the zone
  5. Upload begins automatically

Pro Tip: You can drop multiple files at once for batch processing.

Bulk Upload

For many documents at once:

  1. Click Upload Document → Bulk Upload
  2. Select multiple files (Ctrl+Click or Cmd+Click)
  3. Or select an entire folder
  4. Review the file list before uploading
  5. Click Upload All

Muin processes documents in parallel—a batch of 50 invoices typically completes in under 2 minutes.


Method 2: Cloud Import

Import documents from cloud storage. Google Drive is connectable today. OneDrive and Dropbox are coming soon — until they ship, use direct upload or email ingestion for files that live there.

Connect Google Drive

  1. Navigate to Settings → Integrations → Cloud Storage
  2. Click Connect Google Drive
  3. Sign in with your Google account
  4. Grant Muin permission to access files
  5. Select folders to sync

OneDrive and Dropbox (Coming Soon)

OneDrive and Dropbox are not connectable yet — they do not appear in the connector catalog. To bring those files into Muin today:

  1. Bulk Upload — select an entire folder from your synced OneDrive or Dropbox folder on your computer and upload it in one pass
  2. Email Ingestion — forward or share the files to your tenant’s ingestion address; no connection needed
  3. Google Drive — if a folder also lives in Drive, connect it above and it syncs continuously

Import Options

After connecting, choose how to import:

One-time Import Import existing files once, no ongoing sync
Continuous Sync Monitor folders, import new files automatically
Folder Mapping Route specific folders to specific modules

Selecting Files to Import

  1. Click Browse next to your connected account
  2. Navigate the folder structure
  3. Check folders or individual files to import
  4. Click Import Selected
  5. Monitor import progress on the Dashboard

Note: Large bulk imports run in the background. You’ll receive a notification when complete.


Method 3: Email Ingestion

Have documents sent directly to Muin via email.

Your Ingestion Email Address

Every Muin account has a unique email address for document ingestion:

  1. Navigate to Settings → Integrations → Email Ingestion
  2. Find your unique address: docs-[yourcode]@ingest.falaah.ai
  3. Copy this address for use

Forwarding Documents

When you receive a document via email:

  1. Open the email containing the document
  2. Forward it to your Muin ingestion address
  3. Muin automatically extracts and processes attachments

Auto-Forward Setup

For fully automatic ingestion, set up email rules:

Gmail:

  1. Go to Settings → Filters and Blocked Addresses
  2. Create filter for sender (e.g., invoices@vendor.com)
  3. Action: Forward to your Muin ingestion address

Outlook:

  1. Go to Settings → Rules
  2. Create rule for specific senders
  3. Action: Forward to your Muin ingestion address

Email Processing Rules

  • Attachments: PDF, images, and Office documents are processed
  • Email body: Also indexed if “Include email content” is enabled
  • Subject line: Used for initial document naming
  • Sender: Can trigger automatic vendor matching

What Happens After Upload

After a document is uploaded, Muin’s AI pipeline processes it automatically.

Typical processing time: 5-30 seconds per document

Document Type Detection

Muin examines the document content and structure to determine its type:

  • Invoice
  • Contract
  • Certificate
  • Purchase Order
  • Receipt
  • Expense Report
  • Policy Document
  • Form

If Muin isn’t sure, it will ask you to confirm or set the type manually.

AI Field Extraction

Based on document type, Muin extracts relevant fields:

For an Invoice:

  • Vendor name and address
  • Invoice number
  • Invoice date
  • Due date
  • Line items with descriptions and amounts
  • Tax amounts
  • Total amount due
  • Purchase order reference

Each extracted field includes a confidence score. Fields with lower confidence are flagged for your review.

Making Documents Searchable

As part of processing, Muin:

  • Extracts all text (including OCR for scans)
  • Creates semantic embeddings for AI search
  • Indexes metadata for fast filtering
  • Links to related records when matches found

Organizing Uploads

After upload, organize your documents for easy access.

Assign Document Type

If Muin’s automatic detection was wrong:

  1. Open the document
  2. Click the document type badge
  3. Select the correct type from the dropdown
  4. Fields will re-extract based on new type

Add to Module

Associate documents with the right business module:

  1. Open the document
  2. Click Module in the sidebar
  3. Select Finance, HR, Vendors, etc.
  4. Document appears in that module’s views

Tag Documents

Add custom tags for your own organization:

  1. Open the document or select multiple from a list
  2. Click Add Tags
  3. Type tag names (comma-separated for multiple)
  4. Tags are searchable and filterable

Move to Folders

Create folders to organize by project, vendor, or category:

  1. Navigate to Document Hub → Folders
  2. Click New Folder to create
  3. Select documents and click Move to Folder
  4. Or drag-and-drop documents into folders

Troubleshooting

Upload Failed

Symptoms: File doesn’t upload, error message appears

Solutions:

  1. Check file size (must be under 50 MB)
  2. Verify file format is supported
  3. Check your internet connection
  4. Try a different browser
  5. Clear browser cache and retry

Processing Stuck

Symptoms: Document shows “Processing” for more than 5 minutes

Solutions:

  1. Refresh the page—status may have updated
  2. Check document quality (very low resolution may fail)
  3. Try uploading the document again
  4. For scanned documents, ensure text is readable
  5. Contact support if issue persists

Missing Extracted Data

Symptoms: Some fields weren’t extracted or are wrong

Solutions:

  1. Check document quality—clear scans extract better
  2. Verify the correct document type is set
  3. Manually edit fields by clicking the pencil icon
  4. Your corrections help train the AI for future documents

Unsupported Format

Symptoms: “Unsupported file format” error

Solutions:

  1. Convert to PDF before uploading
  2. For images, ensure they’re PNG or JPG
  3. Remove password protection from PDFs
  4. For complex formats, print to PDF first

Best Practices

For Best Extraction Accuracy

  1. Use clear, high-resolution scans - 300 DPI minimum
  2. Prefer digital PDFs - Native PDFs extract better than scans
  3. Standard layouts - Common invoice formats work best
  4. Avoid handwritten content - Print or type for accuracy

For Efficient Organization

  1. Set up folder structure before bulk import
  2. Use consistent tags across your team
  3. Configure auto-tagging rules in workflow settings
  4. Archive old documents to keep views focused

For Smooth Team Collaboration

  1. Establish naming conventions for folders and tags
  2. Document your organization system for team members
  3. Use module assignment to control access
  4. Set up notifications for new uploads in key folders
