Muin’s Contract Utilization feature helps you maximize the value of your vendor contracts. Track spend against commitments, identify underutilized agreements, and make data-driven decisions about renewals and renegotiations.

Why Track Contract Utilization?

Without utilization tracking, companies often:

Utilization Dashboard

Accessing the Dashboard

  1. Navigate to VendorsContract Utilization
  2. The dashboard shows all active contracts
  3. Filter and sort to find what you need

Dashboard Overview

The main view displays:

Summary Cards

At the top, key metrics are displayed:

  • Total Committed - Sum of all contract values
  • Total Used - Amount actually spent/consumed
  • Utilization Rate - Percentage of commitment used
  • Potential Waste - Uncommitted value at current rate

The system monitors for:

Configuring Alerts

Set thresholds that make sense for your business:

  1. Go to SettingsVendorsUtilization
  2. Set default thresholds:
    • Under-utilized threshold (default: 50%)
    • Over-utilized threshold (default: 90%)
    • Expiration warning days (default: 90)
  3. Override per contract if needed

Viewing Active Alerts

The Alerts section shows:

  • All active utilization alerts
  • Severity indicator
  • Contract name and vendor
  • Current vs. target utilization
  • Recommended actions

Viewing Contract Utilization

Click any contract to see:

Summary Tab:

  • Committed amount
  • Used amount
  • Remaining capacity
  • Utilization percentage
  • Days remaining in term

Trend Tab:

  • Monthly utilization over time
  • Projected end-of-term utilization
  • Historical comparison

Transactions Tab:

  • All spend against this contract
  • Invoice details
  • Purchase order references

Utilization Calculation

Utilization is calculated as:

Utilization % = (Amount Used / Amount Committed) × 100

For time-based contracts:

On-Track % = (Time Elapsed / Total Term) × 100

A contract is on track when:

Utilization % ≥ On-Track %

The contracts table shows:

Sort by:

  • Utilization (lowest/highest)

For large contract lists:

  • Navigate pages with Previous/Next
  • Jump to specific page
  • Adjust items per page (10, 25, 50, 100)

Adding Contracts

Creating a New Contract

  1. Click Create Contract button
  2. Enter contract details:
    • Vendor - Select from vendor list
    • Contract Name - Descriptive identifier
    • Committed Amount - Total value
    • Start Date - When contract begins
    • End Date - When contract expires
    • Category - Optional grouping
  3. Set tracking preferences
  4. Click Create

Tracking Usage

Automatic Tracking

Usage is captured automatically from:

  • Matched invoices - Invoices linked to contract
  • Purchase orders - POs against contract
  • Integration data - From connected systems

Manual Entry

If needed, add usage manually:

  1. Open the contract
  2. Click Add Usage
  3. Enter:
    • Amount
    • Date
    • Description
    • Reference (optional)
  4. Click Save

Adjusting Usage

To correct usage entries:

  1. Open the contract
  2. Go to Transactions tab
  3. Find the entry to adjust
  4. Click Edit or Delete
  5. Make changes and save

Analysis Features

Trend Analysis

Understand usage patterns:

  • Monthly breakdown - Usage by month
  • Rate of spend - Speed of utilization
  • Projection - Where you’ll end up
  • Comparison - This period vs. last

Projection

The system projects final utilization:

Projected % = Current Used + (Remaining Time × Average Monthly Rate)

Projections help you:

  • Identify contracts you won’t fully use
  • Spot contracts you might exceed
  • Plan for renegotiation or adjustment

Benchmarking

Compare across contracts:

  • Highest/lowest utilization
  • By vendor comparison
  • By category comparison
  • Year-over-year trends

Contract Lifecycle

Pre-Renewal Review

Renewal Recommendations

Based on utilization, the system recommends:

Troubleshooting

Usage Not Appearing

If transactions aren’t reflected:

  • Verify invoice is matched to contract
  • Check invoice status (must be approved)
  • Confirm date is within contract period
  • Try manual refresh

Incorrect Calculations

If utilization seems wrong:

  • Review all linked transactions
  • Check for duplicate entries
  • Verify committed amount is correct
  • Confirm contract dates

Missing Contracts

If a contract isn’t showing:

  • Check filter settings
  • Verify contract is active (not expired)
  • Confirm you have viewing permissions
  • Search by vendor name
