Contract Renewals
Muin puts a renewal task in the Inbox before a contract renews or ends. Choose Renew, Renegotiate or Cancel at end of term.
Before an active contract renews or ends, Muin puts one renewal task in the Inbox. The task asks you to decide.
When you’d use this
- A contract renews automatically and you want to decide before it does.
- A contract ends soon and you want to keep it.
- You want to see what renews in the next 90 days.
Renewal tasks need Muin for Spend.
When the task arrives
- Muin checks your contracts once a day.
- The task arrives when the contract’s end date is inside its notice window.
- The window is the longer of two numbers: the notice the contract demands before it renews, and the contract’s own alert days.
- A new contract’s alert days are 30.
- Each contract gets one task per end date.
- The task goes to the owners of your organization.
- A task with 7 days or less left is marked high priority.
The task reads “Renew [contract] with [counterparty]? Ends [date]”. It says how many days are left, and what happens if you do nothing:
- For a contract that renews automatically: “It renews automatically on [date] unless you cancel it.”
- For any other contract: “It ends on [date] unless you renew it.”
Decide
The task has three choices.
| Choice | What it does |
|---|---|
| Renew | Moves the end date out by one more term, as long as the current one. The task records “Renewed to [date].” |
| Renegotiate | Marks the contract as in negotiation. The task records “Marked as in negotiation.” |
| Cancel at end of term | Turns auto-renewal off. The contract ends on its end date. |
- Renewing a customer contract extends its billing schedule too.
- Renegotiating keeps the current billing.
- Each decision is recorded in the audit log.
- After you renew, the next term gets its own renewal task when it nears its end.
See what renews soon
Go to Muin for Spend > Contracts > Contracts overview. Renewing in the next 90 days lists each contract and its days left.
The task’s link opens the Contract repository filtered to contracts ending soon.
When it goes wrong
- “Renewing needs a new end date after [date].”: the new end date is not after the current one. The task stays open. Choose again.
- “The contract is [status]; nothing changed.”: the contract was deleted or is no longer active. The task closes.
- No renewal task arrived: the contract is not active, its end date is outside the notice window, or your organization does not have Muin for Spend.
