Donor Pipeline and Giving Intelligence

See where every donor sits in moves management, read a donor's full record, and use the forward-looking giving tools: forecast, what-if, and risk radar.

Moves management in Muin is three screens: a board showing where every donor sits, a donor record showing everything you know about one person, and a set of forward-looking tools that tell you what next year probably looks like.

When you’d use this

  • You want to know which donors have been sitting in one stage too long.
  • A board member asks what a particular donor has given and what the next step is.
  • You are writing a budget and need a defensible revenue projection.
  • You want to know how much of your income depends on your top few donors.

Cultivation Pipeline

Where it lives: Sidebar → Nonprofit → Giving → Cultivation Pipeline. You need permission to view donors.

The board is read-only. It shows five columns in order: Prospect, Qualification, Cultivation, Solicitation, Stewardship, each with a count. A stage is set on the donor’s own record; the board only reads it.

What each donor row shows:

  • Their name, which opens their donor record.
  • How long they have been in the current stage, or Not staged yet.
  • A Stalled badge once they have been in a stage for 90 days or more.
  • Their next planned action and its date.

A full-width Not yet staged card sits above the columns. It holds donors with no stage at all, and they are not counted in any column. Use Open the donor list to work through them.

Overdue cultivation actions appears below the board when the next planned step for one or more donors is past its date.

There is no drag and drop. To move a donor, open their record and change the stage there.

The donor record

Where it lives: open any donor from Sidebar → Nonprofit → Giving → Donors, from the pipeline board, or from a link in a toast.

The header carries the donor’s name, their segment badge, a Recurring badge if they have an active plan, and Back to Donors.

What is on it

Four stat cards: Total Given, Contributions, Average Gift, Annual Giving.

Giving Intelligence shows two numbers, both calculated from the donor’s own giving history, not generated by AI:

  • Engagement Score out of 100, built in four equal parts from recency, frequency, monetary value and growth.
  • Lapse Risk as a percentage, badged Low Risk, Medium Risk above 30%, or High Risk above 60%.

AI Stewardship Briefing is generated on demand. Press Generate (or Regenerate) to get a priority, a segment, a summary, talking points, and a recommended channel and timing. The handover dossier is built the same way, on click.

Ask about this donor opens a chat scoped to this donor’s record.

Giving History lists charitable, tax-deductible gifts only, with paging and a link to the full contributions ledger. Non-deductible payments are listed separately under Payments (not tax-deductible), because they are not §170 gifts and must not be read as giving.

Giving Trends (monthly and yearly), Giving composition, a donor activity timeline, and communications history fill out the left column.

The right column holds Receipt History, a Summary (segment, first gift, last gift, largest gift, recurring), Receipt Preferences, Profile Completeness, Form Responses, and the actions below.

Setting a donor’s cultivation stage

  1. Scroll to the Cultivation card.
  2. Set Stage: Prospect, Qualification, Cultivation, Solicitation, or Stewardship.
  3. Set the Capacity Rating: under $10k, $10k to $100k, $100k to $1M, or over $1M.
  4. Fill in Next Action and Next Action Date.
  5. Press Save Cultivation.

Each save appends a row to Cultivation history, which is what the board reads to work out days in stage.

Downloading one donor’s annual statement

  1. Find the Annual Statement card in the right column.
  2. Pick the year from the dropdown (the last five years).
  3. Press Download.

Other actions

  • Record Contribution takes you to Contributions to enter a gift.
  • Log Stewardship Activity opens a modal to record a call, visit or note.

Giving Intelligence

Where it lives: Sidebar → Nonprofit → Giving → Giving Intelligence. It opens the Giving Intelligence tab of the Reporting & Analytics hub. You need permission to view donors, and the giving capability must be on.

Five sub-tabs:

Stewardship is the giving analytics suite, with its own tabs for Overview, Money Map, Inbound, Outbound, Reconciliation, Zakat, Demographics and Programs. It has a date-range filter, a Report selector (Annual, Board, Funder) and Export PDF. The insights combine deterministic rules and statistics; an AI narrative sits on top of the figures and degrades gracefully when the model is unavailable. The Ask buttons open a question box about the figures on screen.

Revenue Forecast projects five streams (giving, grants, earned, investment and in-kind) from your trailing and prior windows. It shows a diversification score, your revenue mix, and current versus projected. A stream with no data is flagged “no data” and left out of the projection rather than counted as zero.

What-If Simulator has three sliders, each from 0.5x to 2.0x: Donor retention, Average gift and New-donor acquisition. Move them and Muin projects a year-end total with a confidence band and the change against your baseline. Reset returns every slider to 1.0x.

Risk Radar scores composite risk from 0 to 100, where higher is worse, from six weighted factors: funding concentration, top-donor dependency, cash runway, restricted-funds reliance, donor lapse, and seasonality. A factor with no data is flagged rather than scored as safe.

War Room is the live campaign view.

The forecast, simulator and risk radar are deterministic calculations on your own data. They are not AI predictions.

Giving analytics

Use this to see where your giving comes from and what to change: which step of the donation form loses donors, how Ramadan compares with last Ramadan, and which first-time donors never came back.

Where it lives: Sidebar → Nonprofit → Overview → Reporting & Analytics, then the Giving tab. Set the date range at the top; every tab reads it.

  1. Funnel shows how many donations started on your giving pages reached each step, through to a completed donation, with the Drop-off vs previous for each step. The biggest fall between two steps is the one worth fixing first.
  2. Ramadan compares this Ramadan with last Ramadan by the Hijri calendar. Ramadan moves about 11 days earlier each year, so a month-to-month chart would compare it against a month that was not Ramadan.
  3. Donors holds the donor-level cards:
    • Discover donor segments finds natural groups, such as recurring loyalists or lapsed major donors. Each can be saved as a segment or emailed.
    • One-time vs repeat donors shows how much of your base has given only once.
    • Observed giving cadence groups donors by how often they actually give, measured from their gift dates. It is not the same as a recurring plan: a donor here may have no plan at all. Each band opens as a donor list you can save as an audience.
    • First → second gift shows how many first-time donors gave again, and how long it took the ones who did. A year whose donors have not had the full window yet reads still open instead of a rate.
    • What a typical gift is puts the median gift beside the average, with a histogram of gift sizes. The median is the middle gift; a few large gifts pull the average up.
    • Describe a segment turns a plain sentence, such as “Lapsed donors who haven’t given in 90 days”, into a donor segment. Press Interpret to see how it was read and who matches, then Save segment. Nothing is saved until you press it, and a low-confidence reading tells you to refine the sentence first.
  4. Programs shows Zakat and everything else, the split of your giving between Zakat and all other gifts, and Impact units funded, what the money bought in units such as meals or bags rather than dollars, with Export CSV.
  5. Campaigns includes Recurring drives, year over year, which compares each run of a repeating drive, such as each year’s Ramadan appeal, against the others.

Cards with an Ask Muin button open a question about the figures on screen.

The donor call list in your Inbox

Use this as a daily list of who to contact and why.

Where it lives: Sidebar → Inbox, then the Donors tab. It appears when you have permission for the donor lane.

  1. Work the list from the top. It is ranked, and each row says Why now, with the signals behind it: segment, lifetime giving, last gift, largest gift, and last logged interaction.
  2. Turn on Fundraiser view to see the same rows with the reason, the signals and any prepared draft side by side.
  3. Press Open donor to go to the donor record, or Review AI draft to read a prepared message.
  4. When you are done with a row, press Mark handled. Use Snooze for a number of days to bring a donor back when they are due, or Dismiss to take them off the list.

Snoozed and dismissed donors stay hidden until they are due. Without donor edit access the list is view only. “No donor actions right now” means no signal has fired yet: record gifts and interactions and lapse, upgrade and major-gift actions will start to appear.

What it affects

  • Saving a cultivation stage moves the donor on the pipeline board immediately and resets their days-in-stage.
  • A next-action date in the past puts the donor on Overdue cultivation actions.
  • Nothing on these screens changes a gift, a receipt or a balance. They are read and plan surfaces, with cultivation fields as the one exception.

When it goes wrong

“Could not load the pipeline.” Press Retry. An empty board after this message is not an empty pipeline.

“No donors in the pipeline yet.” Nobody has a cultivation stage set. Open the donor list and set a stage on a few records.

Everyone sits in “Not yet staged”. Stages are never assigned automatically. Set them on each donor record.

“Donor not found. We couldn’t find this donor. They may have been removed.” The record was deleted or merged. Go back to the donor list and search by name.

“Couldn’t save the cultivation details. Your changes were not applied.” Nothing was saved, so your entries are still on screen. Press Save Cultivation again. If it persists, you may not have permission to edit donors.

“No giving recorded for {year}. Choose a year with gifts.” The annual statement for that year would be empty. Pick a year the donor actually gave in.

A forecast stream shows “no data”. You have no history for that stream in the window. The projection excludes it rather than guessing, so the total is only as broad as your data.

Next step

Once a donor is in Stewardship, keep their receipts and recurring gifts current: Donor Tax Receipts and Recurring Gifts. To close out gifts you could not attribute to anyone, see DAF, Custodian Statements and Unidentified Gifts.
