Muin makes finding documents effortless with powerful keyword search, AI-powered semantic search, and flexible filtering options.

Search Overview

Muin offers two complementary search approaches:

Both work together—type naturally and get the best of both worlds.


The search bar appears at the top of Document Hub and most pages:

  1. Click the search bar or press / to focus
  2. Type your search terms
  3. Results appear as you type
  4. Press Enter or click a result

Searching by Text Content

Find documents containing specific text:

Use quotes for exact phrases

Searching by Metadata

Find documents by extracted field values:

Combining Search Terms

Use multiple terms for precise results:

vendor:Acme amount:>1000 status:unpaid

  2. The filter panel expands
  3. Set filter criteria
  4. Click Apply Filters

Filter by Document Type

Check multiple types to search across categories:

  • Invoice
  • Receipt
  • Contract

Returns invoices and receipts, excludes contracts.


Muin’s AI understands the meaning behind your queries—not just keywords.

Natural Language Queries

Ask questions naturally:

Saved Views

Save frequently used filter combinations.

Creating a Saved View

  1. Set your filters and search terms
  2. Click Save View
  3. Enter a name (e.g., “Overdue Invoices”)
  4. Choose visibility:
    • Private - Only you can see
    • Team - Visible to your team
  5. Click Save

Using Saved Views

  1. Click Views in Document Hub
  2. Select your saved view
  3. Filters apply automatically

  • Document Type: All
  • Status: Review
  • Sort: Upload date (newest first)

“High-Value Unpaid”

  • Document Type: Invoice

  • Expiration: Next 30 days

Search Tips

For Exact Matches

Use quotes for exact phrases:

"purchase order 4521"

For Partial Matches

Use asterisk as wildcard:

INV-2024*

Matches INV-2024-001, INV-2024-002, etc.

For Exclusions

Use minus to exclude:

invoice -draft

Invoices that aren’t drafts

For Date Ranges

Use natural language:

uploaded:last week

Or specific dates:

due:2024-01-15..2024-01-31

For Numeric Ranges

amount:1000..5000

Documents with amounts between $1,000 and $5,000


Search Results

Understanding Results

Each result shows:

  • Document thumbnail or icon
  • Document title and type
  • Key extracted fields (amount, date, vendor)
  • Match highlights showing where terms appear
  • Relevance score for semantic searches

Sorting Results

Sort by:

  • Relevance - Best matches first (default for search)
  • Date Uploaded - Newest or oldest first
  • Date Modified - Recently changed first
  • Amount - Highest or lowest first
  • Due Date - Soonest due first

Bulk Actions on Results

Select multiple results for bulk actions:

  1. Check boxes on results
  2. Action bar appears
  3. Available actions:
    • Move to folder
    • Add tags
    • Export
    • Archive
    • Delete

Search from Anywhere

Global Search (Cmd/Ctrl + K)

Access search from any screen:

  1. Press Cmd+K (Mac) or Ctrl+K (Windows)
  2. Type your query
  3. Results show in overlay
  4. Click or press Enter to open

Search within a specific module:

  1. Navigate to the module (Finance, HR, Vendors)
  2. Use the search bar
  3. Results limited to that module’s documents

Search in Chat

Use Muin Chat for complex searches:

"Find all contracts from Q4 that have termination clauses"

Chat provides a conversational interface to search results.


No Results Found

  1. Check spelling - Try alternative spellings
  2. Broaden search - Remove some filters
  3. Check document processing - Ensure documents finished processing
  4. Check permissions - You may not have access to some documents

Too Many Results

  1. Add filters - Narrow by type, date, or module
  2. Use specific terms - Add more keywords
  3. Use exact phrases - Put phrases in quotes

Expected Document Not Appearing

  1. Check processing status - May still be processing
  2. Verify upload - Confirm it was uploaded
  3. Check folder/module - May be in unexpected location
  4. Check archive - May have been archived
