Troubleshooting Document Issues

Solutions to common document upload, processing, and display problems in Muin — from failed uploads and stuck extractions to missing pages and preview errors.

Having trouble with documents in Muin? This guide covers common issues and their solutions.

Upload Issues

Upload Fails Immediately

If your upload fails right away, check these common causes:

File size too large

  • Maximum file size: 50MB per document
  • Maximum batch size: 100MB total
  • Solution: Compress the file or split into smaller documents

Unsupported file type Only these formats are supported:

  • PDF (.pdf)
  • Microsoft Word (.doc, .docx)
  • Microsoft Excel (.xls, .xlsx)
  • Microsoft PowerPoint (.ppt, .pptx)
  • Images (.jpg, .jpeg, .png)
  • Plain text (.txt)

Network connection

  • Ensure you have a stable internet connection
  • Try refreshing the page
  • Check if other websites load properly

Upload Stuck at “Processing”

If your upload completes but processing seems stuck:

Wait a moment Processing time varies by document:

  • Simple documents (1-5 pages): Under 10 seconds
  • Medium documents (5-20 pages): 10-30 seconds
  • Large documents (20+ pages): Up to 1 minute
  • Scanned/image PDFs: Additional time for OCR

Refresh and check

  1. Refresh your browser (F5 or Cmd+R)
  2. Check the Documents list - your file may already be there
  3. The progress indicator sometimes doesn’t update properly

Retry the upload If the document isn’t in your list after refreshing:

  1. Try uploading again
  2. If it fails repeatedly, see “Document Quality Issues” below

Batch Upload Problems

When uploading multiple documents:

Some files fail while others succeed

  • Check each failed file individually
  • May be different file types or sizes causing issues

Batch too large

  • Split into smaller batches (10-20 files)
  • Total batch size should be under 100MB

Processing & AI Issues

AI Analysis Failed

If AI extraction fails:

Retry analysis

  1. Open the document
  2. Click Reprocess or Retry Analysis in the toolbar
  3. Wait for processing to complete

Manual entry If AI continues to fail:

  1. Select the document type manually
  2. Click Edit Fields
  3. Enter the required information
  4. Your data will be searchable even without AI extraction

Incorrect Document Type Detection

If Muin categorizes your document wrong:

Correct the type

  1. Open the document
  2. Click the document type badge (e.g., “Invoice”)
  3. Select the correct type
  4. AI will re-extract fields based on the new type

Why this happens:

  • Unusual document layouts
  • Mixed content (e.g., invoice with contract language)
  • Low-quality scans
  • Documents in uncommon formats

Your corrections improve accuracy - Muin learns from your feedback.


Poor Extraction Quality

If AI extracts fields incorrectly or misses information:

Edit extracted fields

  1. Open the document
  2. Review the extraction panel on the right
  3. Click any field to edit
  4. Your corrections are saved automatically

Improve source quality For better extraction:

  • Use native PDFs (not scanned) when possible
  • For scans, use 300+ DPI resolution
  • Ensure good contrast (dark text, light background)
  • Avoid shadows and glare

Document Quality Issues

Scanned Documents Not Processing

For scanned or image-based documents:

Resolution requirements

  • Minimum: 200 DPI (dots per inch)
  • Recommended: 300+ DPI
  • Higher resolution = better text recognition

Image quality checklist:

  • Text is sharp and readable
  • No shadows or glare
  • Pages are straight (not rotated/skewed)
  • Good contrast between text and background
  • No cut-off edges

Common fixes:

  • Re-scan at higher resolution
  • Adjust scanner brightness/contrast settings
  • Ensure document lies flat when scanning
  • Use a document scanner app on your phone with auto-crop

Password-Protected PDFs

Muin cannot process password-protected PDFs.

Solution:

  1. Open the PDF in Adobe Reader or Preview
  2. Go to File > Properties > Security
  3. Remove the password (if you have permission)
  4. Save as a new PDF
  5. Upload the unprotected version

Corrupted Files

If a file is corrupted:

Symptoms:

  • Upload fails with generic error
  • Processing never completes
  • Document preview shows nothing

Solutions:

  1. Try opening the file in its native application
  2. Export/Save As to create a fresh copy
  3. For PDFs, try “Print to PDF” to create a clean version
  4. Request a new copy from the sender

Display & Preview Issues

Document Preview Not Loading

If the preview panel shows blank or loading indefinitely:

Browser issues:

  1. Try a hard refresh (Ctrl+Shift+R or Cmd+Shift+R)
  2. Clear browser cache
  3. Try a different browser (Chrome, Firefox, Safari)

Large documents:

  • Very large PDFs may take longer to render
  • Try downloading and viewing locally

Search Not Finding My Document

If you can’t find a document you uploaded:

Wait for processing Documents become searchable only after processing completes. Check the document status.

Check your search terms:

  • Try exact phrases from the document
  • Try the document filename
  • Check for typos

Verify access:

  • Ensure you’re searching the correct module
  • Check if the document was uploaded to a different tenant
  • Ask an admin if you should have access

  • Screenshot of any error messages
  • File type and size
  • Steps to reproduce the issue
  • Browser and operating system
