Donor Self-Service Portal

Give donors direct access to their giving history, recurring gifts, tax receipts, payment methods, and membership details.

The Donor Portal gives your supporters a private, branded space to view their giving history, manage recurring gifts, download tax receipts, update payment methods, and keep their profile current — all without contacting your staff.

Overview

Donors access the portal through a secure magic link sent to their email. No passwords to remember, no accounts to create. The portal provides:

  • Giving History — Paginated list of all completed donations with fund, date, and amount
  • Recurring Giving — View and adjust active recurring gift subscriptions
  • Tax Receipts — Annual giving summaries with downloadable PDF statements
  • Payment Methods — Saved cards with brand, last four digits, and default status
  • Profile Management — Update contact information and mailing address
  • Membership — View tier, benefits, digital membership card, and renewal

Donors request portal access by entering their email on your organization’s donor portal page. Muin sends a magic link that expires after 24 hours.

  1. The donor visits your branded portal URL
  2. They enter their email address
  3. Muin sends a secure, single-use link to their inbox
  4. The donor clicks the link and lands directly in the portal

Security note: The magic link response always returns a success message regardless of whether the email exists. This prevents bad actors from enumerating your donor list.


Viewing Giving History

Once authenticated, donors see a paginated list of their completed donations.

  1. Navigate to the Giving History tab
  2. Each donation shows:
    • Date — When the gift was made
    • Amount — Dollar value of the contribution
    • Fund — Which fund or campaign the gift supported
    • Recurring — Whether the gift was part of a recurring schedule
    • Dedication — “In honor of” or “In memory of” details if applicable
    • Receipt link — Direct link to download the receipt for that year
  3. A summary at the top displays total amount given and total donation count

Giving history is paginated (20 per page by default) and sorted by most recent first.


Managing Recurring Gifts

Donors with active recurring subscriptions can view and adjust them.

Viewing Recurring Gifts

Each subscription displays:

  • Current amount and frequency (monthly, quarterly, annually)
  • The fund being supported
  • Next scheduled charge date
  • Current status (active, paused, completed)
  • Date the recurring gift was created

Updating a Recurring Amount

  1. Open the recurring gift you want to change
  2. Click Update Amount
  3. Enter the new amount
  4. Confirm the change

The updated amount takes effect on the next charge cycle.


Downloading Tax Receipts

The Receipts tab provides annual giving summaries grouped by year.

Annual Summary

For each year, donors see:

  • Year — Calendar year
  • Total — Sum of all completed donations for that year
  • Donation count — Number of individual gifts

PDF Download

  1. Click the Download PDF button for the desired year
  2. Muin generates a formal annual giving statement
  3. The PDF downloads with filename tax-receipt-{year}.pdf

The PDF includes all information required for IRS charitable contribution records: organization name, EIN, donor name, donation dates, and amounts.


Additional Workflows

Updating Your Profile

Donors can update their contact information directly:

  1. Navigate to Profile
  2. Edit fields: first name, last name, email, phone, address
  3. Click Save

Changes are reflected immediately across Muin’s CRM for your organization.

Viewing Membership Details

If your organization uses Muin’s membership features, donors see their:

  • Member number and tier (e.g., Silver, Gold, Platinum)
  • Tier benefits — list of perks for their level
  • Member since date and expiration date
  • Renewal status — whether the membership is renewable

Digital Membership Card

Donors can view a branded digital membership card showing:

  • Member name and number
  • Organization name and logo
  • Tier and membership dates
  • Card styled with your organization’s brand colors

Renewing Membership

When membership is within 30 days of expiration (or already expired):

  1. Navigate to Membership
  2. Click Renew Membership
  3. Muin creates a renewal request for processing

Viewing Tier Upgrades

Donors can browse available membership tier upgrades configured by your organization, comparing benefits across levels.


My Impact (annual summary)

Each donor sees an Impact view that rolls up their giving across the current tax year — total given, fund-by-fund breakdown, campaigns supported, and program outcomes where your organization has published them (meals served, families housed, grants funded).

  • Annual PDF — One-click download of a tax-compliant year-end summary covering all receipts for the year, formatted to IRS §170 requirements. Issued automatically when the annual threshold is met; available for download any time after.
  • Program outcomes — If your programs publish outcome metrics (meals / beds / scholarships / cases opened), the donor’s proportional share appears on their Impact view so they can see what their gifts funded.
  • Year-over-year trend — Total giving this year vs. last year; the donor sees their own retention without needing an email from you.

The Impact view is pulled from the same reconciled donor records that run your month-end close — no separate impact-report generation step.


Sharing Impact

Donors can share their giving impact on social media. When they share, Muin tracks the event for your engagement analytics.


Tips

  • Brand your portal — Configure your organization’s logo and colors in Settings to provide a cohesive donor experience
  • Enable membership features — If you have a membership program, configure tiers in Settings so donors can view and renew through the portal
  • Keep donor records clean — The portal pulls from your CRM, so accurate Person records mean a better donor experience
  • Promote the portal — Include the magic link request URL in your email footers and on your website
  • Review communication preferences — Respect donor opt-outs promptly to maintain trust and legal compliance
