How to View and Filter Transactions
Accessing the Transaction List
- Navigate to Payments in the left sidebar
- Click Transactions (or view the transaction list on the Payments Dashboard)
- Browse the list or use filters to narrow results:
| Filter | Options |
|---|---|
| Status | All, Succeeded, Pending, Failed, Refunded, Disputed |
| Search | Search by payer name, invoice number, or reference |
Transaction Details
Click any transaction to view its full details:
- Amount and fees — gross amount, processing fee, platform fee, net amount
- Status timeline — initiated, processing, completed (or failed with reason)
- Linked records — connected invoice, bill, or purchase order
- Payer/payee info — name, email, payment method used
- Reconciliation status — matched, unmatched, or pending review
Processing Refunds
- Open the transaction detail view
- Click Refund
- Choose refund type:
- Full Refund — return the entire amount
- Partial Refund — enter a specific amount to return
- Add an internal note explaining the reason
- Click Confirm Refund
Refunds typically process within 5-10 business days depending on the payment method. The linked invoice or record updates automatically.
Exporting Transactions
- Apply any desired filters (date range, status, method)
- Click Export
- Choose format:
- CSV — spreadsheet-compatible for accounting software
- Excel — native Excel format with formatted columns
- The export downloads with all visible columns and applied filters
Tips
- Review failed transactions promptly — filter by “Failed” status regularly to catch declined payments, ACH returns, or connectivity issues before they age. Failed payments often require contacting the payer for a retry.
- Use reconciliation status — the auto-reconciliation feature matches payments to invoices automatically. Focus your attention on “Unmatched” transactions that need manual review.
- Export monthly for audit — download a full month’s transactions at month-end for your accounting records. This creates an offline backup and simplifies audits.
- Track refunds separately — use the “Refunded” status filter to monitor refund volume and identify patterns that may indicate product or service issues.
