Vendor 1099 Eligibility

Setting Up Vendors for 1099 Tracking

When creating or editing a vendor:

  1. Navigate to VendorsDirectory
  2. Select the vendor or click Add Vendor
  3. In the Tax Information section:
    • Toggle 1099 Eligible to Yes/No
    • Select Form Type (1099-NEC for services, 1099-MISC for rent/royalties)
    • Enter Tax Classification (Individual, LLC, Partnership, etc.)

Muin helps identify 1099-eligible vendors:

W-9 Management

Collecting W-9 Forms

Best practice: Collect W-9 before making the first payment.

From Vendor Directory:

  1. Go to vendor’s profile
  2. Click Request W-9
  3. Vendor receives secure link via email
  4. They complete digital W-9 form
  5. Muin extracts and verifies information

Manual Upload:

  1. Go to vendor’s profile
  2. Click Upload W-9
  3. Upload scanned document
  4. Review extracted information
  5. Confirm details

The IRS threshold for 1099-NEC is $600 per calendar year.

Viewing Payment History

For any vendor:

Bulk Vendor Operations

Mass W-9 Requests

Send W-9 requests to multiple vendors at once:

  1. Go to VendorsDirectory
  2. Filter by W-9 Status = “Missing”
  3. Select vendors (or Select All)
  4. Click Request W-9
  5. Customize email message (optional)
  6. Send

Export Vendor 1099 Data

Export vendor tax data for accountant review:

  1. Go to VendorsDirectory
  2. Click Export
  3. Select 1099 Data Export
  4. Choose format (CSV or Excel)
  5. Download

Export includes:

  • Vendor name and tax ID
  • Tax classification
  • YTD payments
  • W-9 status
  • Filing status

December Checklist

Week 1-2:

  • Review all vendors with YTD payments > $400
  • Send W-9 requests to non-compliant vendors
  • Follow up on outstanding W-9 requests

Week 3-4:

  • Verify all vendor addresses are current
  • Confirm tax IDs are verified
  • Reconcile payment totals with accounting

January Filing

By January 31:

  • All 1099-NEC forms must be:
    • Filed with IRS
    • Sent to vendors (Copy B)

Common Issues and Solutions

Vendor Won’t Provide W-9

Options:

  1. Explain legal requirement
  2. Offer secure digital submission
  3. If refused, may need to withhold 24% (backup withholding)

Can’t Verify Tax ID

Causes:

  • Name doesn’t match IRS records
  • Typo in Tax ID
  • Wrong tax classification

Solutions:

  1. Request corrected W-9
  2. Have vendor verify name matches IRS registration
  3. Check for common typos (0 vs O, 1 vs l)

Vendor Classification Unclear

Question: Is this vendor a Corporation?

How to check:

  1. Review W-9 Line 3 (Federal tax classification)
  2. Check state business registry
  3. Look for “Inc.” or “Corp.” in business name
  4. When in doubt, request clarification from vendor
