AI Invoice Extraction
Upload an invoice and Muin extracts the vendor, number, dates, line items, tax, and total automatically — flagging duplicates and routing for approval.
Manual invoice entry is slow and error-prone — a transposed digit in a total or a duplicate payment costs real money. Muin’s invoice extraction reads uploaded invoices and bills for you, turning a PDF or photo into structured, reviewable data in seconds.
What Gets Extracted
From a typical invoice, Muin pulls:
- Vendor details — name, address, contact, tax ID
- Invoice identity — invoice number, issue date, due date, PO reference
- Line items — description, quantity, unit price, amount per line
- Money — subtotal, tax rate and amount, total, payment terms
Every extraction carries a confidence score, so you can see at a glance how certain the AI was.
The Flow
- Upload the invoice — from the Finance module’s bills/invoices area or the document uploader. Photos and scans work; clear, flat captures extract best.
- Extraction runs automatically as part of document processing — no button to press.
- Review the result on the invoice detail page. Extracted fields show with their confidence; an AI Extracted indicator marks machine-read values.
- Correct anything that’s off — extracted fields are editable, and your corrections take precedence over the AI’s reading.
Built-In Safeguards
- Duplicate detection — an invoice with the same vendor and invoice number as an existing one gets flagged before it becomes a double payment.
- PO matching — invoices referencing a purchase order are checked against it.
- Approval routing — extracted invoices flow through your normal approval rules; extraction never skips controls, it just removes the typing.
Getting the Best Results
- Upload the original PDF when you have it — it beats a photo of a printout.
- For photos: flat, well-lit, all four corners in frame.
- Review low-confidence fields first — the score tells you where to look.
- Correct rather than tolerate: fixing the extracted value keeps every downstream report accurate. See Reviewing AI Extractions.
