Muin in Claude: Use Cases
Seven short guides for using Muin inside Claude: finding grants, bringing past gifts in, lapsed donors, fund restriction compliance, Form 990 prep, donation receipts, and expiring HR certifications.
Each guide gives example prompts, the Muin tool that answers, and what to check before you act. Claude only sees what your Muin role allows, so each guide names the area of Muin you need access to.

Finding grants
Start here if your organization is new to Muin. These answers come from public records, so they work before you have entered anything.
Example prompts
- “Find grants that fit our organization.”
- “Show our latest Form 990 numbers. Our EIN is 12-3456789.”
- “How do we compare with similar organizations in our state?”
- “Save the first two grants to our pipeline.”
What answers it: grants_search_grant_opportunities finds grants that fit your organization’s profile, and grants_suggest_org_profile drafts that profile from the EIN Muin has on file. grants_lookup_org_filings and grants_lookup_peer_benchmark read public 990 filings by EIN. nonprofit_track_grant saves a grant you pick into your Muin grant pipeline at the “identified” stage.
What to check
- Saving a grant waits for your approval in Muin, in your Inbox. Saving the same grant twice keeps one.
- Read the funder’s own page before you apply. Claude shows the link it found.
- A free plan keeps a limited number of tracked grants. Claude tells you when you reach it.
Access needed: grants in the Nonprofit module.
Bringing past gifts in
Example prompts
- “Import the gifts in this spreadsheet.”
- “Bring last year’s donations into Muin.”
What answers it: nonprofit_import_contributions imports a spreadsheet of gifts with a date, an amount and who gave. It skips gifts Muin already has and names every row it could not import. When it cannot match the columns with confidence, it imports nothing and links to Muin’s import review.
What to check
- The import waits for your approval in Muin, in your Inbox. A rule can never approve it, because it is money on your books.
- Each gift needs a fund. Name one in the spreadsheet, or mark a default fund in Muin first.
Access needed: donors in the Nonprofit module.
Lapsed donors
Example prompts
- “Which donors are at risk of lapsing?”
- “Show donors with a lapse risk above 0.7.”
- “Give me the giving history for this donor and draft a short check-in note.”
What answers it: nonprofit_donor_summary. Without a donor named, it returns your donor count and the donors whose lapse risk is at or above a threshold (0.5 unless you ask for another). With a donor named, it returns that donor’s total given, frequency, segment and recency.
What to check
- Open the donor in Muin before you reach out, to confirm recent gifts and contact preferences.
- Claude can draft outreach. Muin sends nothing from this request.
Access needed: donors in the Nonprofit module.
Fund restriction compliance
Example prompts
- “Show our fund balances grouped by restriction.”
- “Is any restricted fund overspent?”
- “Which funds have a spend policy?”
What answers it: nonprofit_get_fund_balances. It returns each fund’s balance and restriction class (restricted, endowment or operating), totals by class, whether a spend policy is set, and an overspent flag for any fund below zero.
What to check
- Compare a flagged fund against its page in Muin before you move money.
- Restriction terms come from how each fund is set up in Muin. Check the fund’s restriction notes for the donor’s exact wording.
Access needed: funds in the Nonprofit module.
Form 990 prep
Example prompts
- “How ready are we for our 2025 Form 990?”
- “What is missing for the 990?”
- “Give me a list to send to our accountant.”
What answers it: nonprofit_990_summary. It returns a section-by-section readiness snapshot with missing items and warnings for the fiscal year you name, or the most recent complete year. It applies to organizations based in the US. For any other country, it says the 990 does not apply.
What to check
- The snapshot shows readiness. It does not file anything.
- Your accountant or preparer reviews the return before filing.
Access needed: the Nonprofit module.
Donation receipts
Example prompts
- “Show last week’s contributions.”
- “Draft a thank-you receipt for the largest one.”
- “Record a $250 cash gift from this donor to the general fund.”
What answers it: nonprofit_list_contributions finds the gift, and nonprofit_draft_donation_receipt drafts the receipt text. The draft is not saved and not sent. Receipts go out through Muin’s normal donation flow. To record a new gift, Claude uses nonprofit_record_contribution, one of the three tools that change your records, and asks you first.
What to check
- Read the draft for the donor’s name, amount, date and fund.
- Before you approve a recorded gift, check the amount, donor and fund in Claude’s request.
- After recording, confirm the gift appears in Muin.
Access needed: contributions in the Nonprofit module. Recording a gift needs a connection approved by an owner or admin.
HR certifications expiring
Example prompts
- “Whose certifications expire in the next 30 days?”
- “List certifications expiring this quarter.”
- “Draft a reminder to each person with an expiring certification.”
What answers it: hr_expiring_certs. It lists certifications expiring within the number of days you ask about, or 90 days by default.
What to check
- Confirm the expiry date on the person’s record in Muin before you send a reminder.
- A certification renewed outside Muin shows as expiring until someone updates the record.
Access needed: certifications in the HR module.
