Money and Value Flow, and Salary Allocations
Trace every dollar and every donated good from source to fund to use in Muin, and allocate an employee's salary across the funds that pay for it.
Money & Value Flow shows where value came from, which fund it sat in and what it was spent on; Salary Allocations is how you tell Muin which funds pay for a given employee.
When you’d use this
- A funder asks what share of your income went to programs rather than administration.
- You need one picture that includes donated goods, not just cash.
- A program director’s salary is split across three grants and payroll needs to post that way.
- A fund’s salary cap needs the allocation on record before it can be checked.
Read the value flow
Money Flow has no sidebar row: it is a report. Open it from Nonprofit Overview, from Giving Analytics, or from the Reporting hub.
- The header band reads Value received, Net retained (“Received − distributed”) and Value distributed, with the cash and in-kind split under each.
- Where value flows is the Sankey: sources → funds → uses, across every giving and distribution channel.
- Set the date range with the range filter at the top. It opens on a seeded longitudinal range rather than blank.
- Hover or read the accompanying table, which lists From · To · Amount.
What it is built from. Every band is derived from your posted journal entries joined back to the records that caused them: contributions, distributions, aid disbursements, gift cards, program distribution batches, memberships, facility bookings, grant disbursements, volunteer expenses, refunds and events. The middle layer is your funds by name; activity with no fund is shown as Unrestricted.
In-kind is included. Donated goods carry their fair market value and appear in the same flow as cash, which is why the screen says value rather than money. The hero band shows you the cash and in-kind split so the two are never confused.
Bands worth nothing or less are dropped, so a channel fully offset by refunds disappears from the graph rather than drawing a zero.
Allocate a salary across funds
- Go to Sidebar → HR → Payroll & Benefits → Salary Allocations.
- The table lists each employee with their Funds and a Status of Fully Allocated or Unallocated.
- Click Edit Allocations on an employee.
- Add a row per fund and set its percentage. Use Remove to drop one.
- The percentages must total 100%. Save is refused otherwise, with “Allocations must sum to 100%”.
- Click Save.
Saving does not delete the previous split. Muin end-dates the old allocation the day before the new one takes effect, so last quarter’s payroll keeps the allocation it was actually run under.
What it affects
- Payroll posting. When a payroll run’s allocation is applied, wages, employer taxes and benefits are split by program, fund and department using these allocations, and the journal entries post with those dimensions.
- Fund salary caps. A fund can carry a salary cap, and the check reads what has been allocated to it. Without an allocation on record the cap cannot be evaluated.
- Fund-by-fund salary reporting uses the same rows.
- Saving an allocation does not itself post anything to the ledger. The posting happens when the payroll allocation is applied.
- Money Flow changes whenever a journal entry posts, so it follows the ledger rather than leading it.
When it goes wrong
| What you see | What it means | How to clear it |
|---|---|---|
| “No value moved in this period” / “No money or in-kind value was received or distributed in the selected date range.” | The range is empty. | Widen the range, or record a contribution or distribution. |
| Everything flowing through Unrestricted | The underlying postings carry no fund. | Set the fund on the source records so the middle layer is meaningful. |
| A channel you expected is missing from the Sankey | Its net value for the period is zero or negative, usually because refunds offset it. | Narrow the range to before the refunds, or check the refunds are correct. |
| “Allocations must sum to 100%” | The rows do not total 100. | Adjust a percentage. Every employee is either fully allocated or not allocated at all. |
| “Failed to load allocations.” | The service did not answer. | Reload the page. |
| An employee stuck at Unallocated after saving | The save was refused, or the effective date has not arrived. | Re-open Edit Allocations and check both the total and the effective date. |
| A fund salary cap that never triggers | No allocation exists for the employees paid from that fund. | Allocate them first; the cap reads allocations. |
