Team Management
Invite team members to Muin, assign roles and permissions, track pending invitations, and control who has access to your organization data.
Muin is built for team collaboration. Invite colleagues, assign appropriate roles, and manage access to ensure the right people have access to the right information.
Inviting Team Members
Sending Invitations
- Navigate to Settings → Team
- Click Invite Members
- Enter email addresses (separate multiple with commas)
- Select role for the invitees
- Add a personal message (optional)
- Click Send Invitations
Invitation Process
When you invite someone:
- They receive an email invitation
- Email contains a unique sign-up link
- They create their account
- They’re automatically added to your organization
- You’re notified when they join
Pending Invitations
View and manage pending invitations:
- Go to Settings → Team → Pending
- See all outstanding invitations
- Resend if needed
- Revoke if no longer appropriate
Roles and Permissions
Base Roles
Every member has one base role — the floor for what they can do:

| Owner | Full access, billing, can’t be removed |
| Admin | Full access except billing; manages users, roles, and settings |
| Member | Standard access, determined by the roles you assign them |
Permission Details
Owner
- All permissions
- Manage billing and subscription
- Delete organization
- Transfer ownership
Admin
- Manage users, invitations, roles, and permissions
- Configure all settings
- Access all modules
- Create workflows and agents
- View audit logs
- Cannot manage billing
Member
- Access determined by the roles assigned to them
- Cannot manage users or workspace settings unless granted
Finer Access With Roles
For anything more specific than the base roles — a read-only viewer, a department manager, or module-specific access — assign a role. Roles are named, reusable bundles of per-feature permissions (for example the Finance Viewer template, or a custom role granting Finance Manage). Start from a starter template or build your own.

Managing Access
Changing User Roles
- Navigate to Settings → Team
- Find the user
- Click the role dropdown
- Select new role
- Confirm the change
Adjusting Access
Control what a member can access by changing the roles assigned to them:
- Open the member from Settings → Organization → Team
- Add or remove roles (starter templates or custom roles)
- Save changes
Access is granted through roles rather than per-member module checkboxes — update a role once and every member who holds it is updated.
Removing Team Members
- Navigate to Settings → Team
- Find the user
- Click Remove
- Confirm removal
What happens when removed:
- User loses access immediately
- Their documents remain in system
- Their activity history preserved
- Assigned tasks reassigned or unassigned
Activity Tracking
User Activity
View what team members are doing:
- Navigate to Settings → Team
- Click on a user
- View Activity tab
Shows:
- Recent logins
- Documents viewed/uploaded
- Actions taken
- Approvals given
Team Activity Dashboard
See organization-wide activity:
- Navigate to Settings → Activity
- View recent events
- Filter by user, action type, date
Best Practices
Role Assignment
- Least privilege - Give minimum access needed
- Review regularly - Audit access quarterly
- Use module roles - For department-specific access
- Document decisions - Note why roles are assigned
Team Structure
- Multiple admins - Don’t rely on single admin
- Clear ownership - Know who’s responsible for what
- Onboarding process - Standard setup for new users
- Offboarding process - Promptly remove departing users
Security
- Strong passwords - Enforce password requirements
- SSO if available - Use corporate identity provider
- Regular review - Check who has access
- Prompt removal - Remove access when no longer needed
Troubleshooting
Invitation Not Received
- Check spam/junk folder
- Verify email address is correct
- Resend invitation
- Have user add sender to contacts
Can’t Access Features
- Verify user’s role
- Check module access settings
- Ensure subscription includes feature
- Contact admin if needed
Account Locked
- Admin can unlock at Settings → Team
- Or user can reset password
- If persistent, contact support
