Aid Impact, Distribution Analytics and Food-Pantry Reports

Where to get the TEFAP monthly report and how many people you served: requests by status and class, served records by program, distribution totals by date range, and the signature-audit and non-fulfillment reports a food pantry files.

Four reporting screens, one for each question you get asked: how is aid going, where did distribution go, what are the totals, and what does the federal program need filed.

When you’d use this

  • The board wants the shape of aid demand, not a spreadsheet.
  • A funder asks how many people one program served last quarter.
  • You file a TEFAP monthly report and need the demographic breakdown.
  • An auditor asks which certifications have a signature on file.

Aid impact

Nonprofit > Aid & Assistance > Aid Impact has two charts, both filtered by period:

  • Requests by status: where the pipeline is sitting.
  • Requests by assistance class: what people are actually asking for.

Click any number and a drawer opens listing the named requests behind it. The totals reconcile, so you are checking a figure rather than trusting it.

Distribution impact

Nonprofit > Distribution > Distribution Impact does the same for distribution:

  • Records by program
  • Records by assistance program

Both carry value distributed alongside the record count, and both drill into the records behind the bar.

These two screens sit behind the advanced analytics feature. If you do not see them, ask an administrator.

Distribution totals

Nonprofit > Distribution > Distribution Reports is the plain-numbers screen, for when you need a figure rather than a shape.

  1. Set From and To, or use the quick buttons: Today, This Week, This Month.
  2. Narrow by Fund and Program, or leave both on All.

Five tiles answer most questions outright: Total Events, Recipients Served, Total Value Distributed, Avg Value / Recipient and Total Weight. Completed Events lists the events behind them.

Food-pantry reports

Nonprofit > Distribution > Food Pantry Reports is the compliance set. Four tabs:

Tab What it is for
Intake / Outflow Items received against pounds distributed, with persons and households served
TEFAP Monthly The monthly federal report, with gender, ethnicity and race breakdowns
Signature Audit Which certifications and per-serve records have a signature, and whether it verifies
Non-fulfillment Visits where somebody did not get what they came for

Intake / Outflow, Signature Audit and Non-fulfillment take a From and To date. TEFAP Monthly takes a year and a month, because that is the grain the report is filed at. All four can be narrowed by program.

Export CSV is available on every tab. Export PDF is available on Signature Audit and Non-fulfillment, which are the two an auditor asks to be handed.

The signature audit summarizes certifications total, with signature and missing signature, and per-serve signatures total, verified and tampered, so a tampered signature is a number you can see rather than something you have to go looking for.

What it affects

Nothing. All four screens read. What they read is worth knowing:

  • Aid impact counts requests, not money. A large request and a small one are one request each.
  • Distribution analytics count served records, so a recipient checked in but not served does not appear.
  • Distribution Reports counts completed events only. An event left open shows nowhere, which is the usual reason a total looks low.
  • The food-pantry reports read the certification and serve records captured at the desk, so a day run without check-in produces an empty report for that day.
  • Voiding a disbursement or cancelling a serve changes these figures retroactively, because they read current records rather than a snapshot.

When it goes wrong

What you see What it means What to do
Failed to load on an aid or distribution chart That query failed Press the retry on the chart, or reload.
The impact charts are missing entirely Advanced analytics is not enabled Ask an administrator. Both impact screens sit behind that feature.
Failed to load reports on Distribution Reports The stats query failed Check your connection and press Retry.
No completed events in this date range Events exist but none are completed Close out the event after the day; only completed events are counted.
Could not load the report. Please retry. on a food-pantry tab That tab’s query failed Press retry. Narrow the date range if the period is very large.
No certification signatures in this range No certifications were signed in the window Widen the range, or check that certifications were captured with a signature.
No per-serve signatures in this range No serve-level signatures in the window Per-serve signature capture may not be turned on for that program.
An export button goes back to normal and nothing downloads The export failed without a message Try again, and narrow the date range. A very large range is the usual cause.
A drill-down total disagrees with the chart The period moved between the two reads Reload so both read the same window.
TEFAP demographics are mostly blank Demographics were not collected at intake Add them to your intake form; the report can only summarize what was captured.

Next step

Totals are governed by limits. See Distribution limits and disbursement batches.
