Automation Templates

Start automations from pre-built templates for finance, vendors, compliance, and integrations — then adjust the conditions and actions to fit your organization.

You rarely need to invent an automation from a blank page. The template gallery at Workflows carries pre-built recipes for the situations most organizations automate first — pick one, adjust it, activate it.

How Templates Work

  1. Browse the gallery on the Workflows page. You’ll only see templates relevant to the modules your organization has enabled — no POS recipes if you don’t run a POS.
  2. Pick a template. It arrives with a sensible trigger, conditions, and actions already configured.
  3. Adjust anything before saving — thresholds, recipients, assignees. The template is a starting point, not a contract.
  4. Test with a manual trigger, then activate.

What You’ll Find

Templates cover the common ground:

  • Finance — flag high-value invoices for review, escalate approvals stuck past their due date, notify on budget-relevant document changes
  • Vendors — alert when documents arrive from new or specific vendors
  • Compliance — route policy and certification documents to the right reviewer on arrival
  • Integrations — push selected events to external systems via webhook

Each template names what it watches and what it does in plain language, so you can judge fit before adopting it.

Template Hygiene

  • Rename adopted templates to describe your specific rule (“Escalate invoices > $5k to Finance lead”), so the list stays readable as it grows.
  • One concern per automation — resist packing five actions into one rule; small rules are easier to debug from run history.
  • Review quarterly — deactivate rules that no longer match how your team works. Deactivation keeps the configuration for later; deletion is forever.

When No Template Fits

Build from scratch — the same WHEN–IF–THEN builder is behind every template. See Automations for the full trigger, condition, and action reference.
