HR Overview and Headcount

Start every HR day on one screen: how many employees you have by department, documents, compliance score, what needs attention, what is due soon, and a manager's own team view.

The HR Overview is the screen you open first: how many people you have, what paperwork is outstanding, what is due in the next few weeks, and what you can start from here in one click.

When you would use this

  • You want today’s picture of headcount, documents and compliance without running a report.
  • Somebody asks how many employees you have by department, by employment type, or by status.
  • You are a manager and only need your own team: who reports to you, who is out this week, whose time off is waiting on you.
  • You need to hand a board member or an auditor a current HR summary.

The HR Overview screen

To open it: Sidebar → HR → Overview → Overview.

The screen has four parts, in this order.

Key metrics. Four tiles: Employees, Documents, Compliance Score and Certs Expiring. Each tile is a link, not just a number, so clicking through takes you to the records behind it.

Items requiring attention. Everything that is already a problem: a missing document, an expired certification, an onboarding that stalled. An empty list here is the goal, not a sign that nothing loaded.

Upcoming deadlines. What is due next, with a date-range filter so you can look at the next week or the next quarter. When there is nothing in range it says No deadlines in the next 30 days rather than showing an empty table.

Recent HR activity. The audit feed for the module. If it is empty it says Activity will appear here as events occur.

Quick actions

The actions band on the Overview starts the five things HR does most:

Action What it opens
Invite Employee Creates an employee record and sends the invitation
Start Onboarding Opens an onboarding session for a new hire
Upload Policy Adds a policy document for distribution and acknowledgment
Add Certification Records a license or credential with its expiry
Run Report Opens HR reports

Export HR report downloads the current summary. If the export cannot be produced the screen says Export failed instead of handing you a partial file.

Headcount Impact

To open it: Sidebar → HR → People → Headcount Impact.

This is the breakdown behind the Employees tile. It groups your current employees three ways:

  • Headcount by status - active, on leave, inactive, terminated.
  • Headcount by department - current employees grouped by department.
  • Headcount by employment type - full time, part time, contractor and so on.

Every bar drills down. Click a department, a status or a type and you get the list of employees in it, and from there a CSV export of exactly that list. The page carries a The report behind this page link, so the number you are quoting always has a source you can point at.

Worker classification is a separate field from employment type, and the two are not interchangeable. A 1099 contractor is not a W-2 employee for any filing, and an unpaid intern is neither. If the two fields disagree on a record, fix the record before you quote the count.

My Team (for managers)

To open it: Sidebar → HR → My Portal → My Team.

A manager does not need the whole organization. This screen shows only their own:

  • Direct reports - the people who report to them.
  • OOO this week - who is away in the current week.
  • Pending leave - the time off requests waiting on their decision, with approve and deny in place.

Managers see this without any HR admin permission. It is scoped by the manager field on the employee record, so a wrong manager assignment shows up here first.

What it affects

  • Headcount Impact reads the employee record directly, so a status, department, employment type or manager change appears here as soon as it is saved.
  • The Compliance Score tile and Certs Expiring read the same data as the HR Compliance dashboard, so the two never disagree.
  • Pending leave on My Team is the same queue as the Requests tab in Leave Management. Approving in either place settles it in both.
  • Any CSV you export from a Headcount drill-down carries only the rows that were on screen, filters included.

When it goes wrong

“Failed to load” on a Headcount panel. One panel can fail while the others load. Retry the panel. Do not read a blank chart as zero headcount; a chart that could not load says so.

The Employees count looks too low. Headcount counts current employees. Somebody with no employee record, or one marked terminated, is not in it. Check the person in HR → People → Employees before assuming the number is wrong.

My Team is empty but you manage people. The screen is driven by the manager field on each employee record, not by your role. If nobody lists you as their manager it will correctly show nothing. Fix it on the employee record, or raise a transfer if the reporting line is genuinely changing.

Export failed. The export is generated on request, so a timeout produces this rather than a truncated file. Narrow the date range or the drill-down and export again.
