Learning and the Skills Matrix
Create training programs, enroll employees, see which training your staff still have outstanding, and map the skills your team has against the ones it needs.
Two screens that answer two different questions: what training people are doing, and what skills they already have.
When you would use this
- You run annual safety or anti-harassment training and need to know who has finished it.
- A new hire has a development plan and you want it tracked, not remembered.
- You are quoting for work and need to know whether anyone on staff has the skill.
- A department lost someone and you need to see which skills went with them.
Learning and Development
To open it: Sidebar → HR → Development → Learning & Dev.
Learning & Development manages training programs and tracks employee progress. The screen has a Programs view and an enrollments view, with a category filter (All Categories) and a status filter (All Enrollments).
Create a program
- Go to HR → Development → Learning & Dev.
- Press Create Program.
- Name it, put it in a category, and save. You will see Program created successfully.
If a category has no programs, the screen says No programs in this category and suggests selecting a different category or creating one, rather than showing nothing.
Enroll employees and track progress
Enroll employees in a program and the enrollment table carries one row each: Employee, Program, Progress, Status and Due Date.
| Status | Means |
|---|---|
| Not Started | Enrolled, no progress recorded |
| In Progress | Progress recorded, not complete |
| Completed | Finished |
| Overdue | Past the due date and not complete |
An empty table says No enrollments yet with the reason: enroll employees in programs to track their progress.
My Learning
Employees have their own My Learning view showing only the programs assigned to them. When they have none it says No assigned learning rather than looking broken.
Skills Matrix
To open it: Sidebar → HR → Development → Skills Matrix.
Skills Matrix visualizes and manages employee skills across the organization. Three tiles: Total Skills, Employees Mapped and Skill Gaps.
Two views:
- Matrix View - a grid of employees against skills, each cell colored by proficiency.
- List View - the same data as a flat, sortable list.
Filter by department (All Departments) or search for a skill. A Proficiency Legend sits with the grid so a color always has a stated meaning.
Record a skill
- Go to HR → Development → Skills Matrix.
- Press Add Skill.
- Pick the employee, the skill and the proficiency level: Beginner, Intermediate, Advanced or Expert.
- Save. You will see Skill added successfully.
To change a level, set it in place on the grid; you will see Proficiency updated.
Remove skill deletes that employee’s recorded proficiency and verification outright. Coverage and gap analysis recalculate without it, and it cannot be undone - the skill has to be added and re-verified. The confirmation says so before you proceed.
Gap Analysis
Gap Analysis compares the skills you have recorded against the ones your roles need, and reports the shortfalls. It is only as good as what has been recorded: a low Employees Mapped count means the gap list is incomplete rather than reassuring.
What it affects
- Skill Gaps and Employees Mapped recalculate as soon as a skill is added, re-levelled or removed.
- An Overdue enrollment surfaces on the HR Overview attention list.
- Removing an employee’s skill changes department coverage in both the matrix and the gap analysis.
- Training that produces a credential belongs in certification tracking as well, because a certificate expires and a completed program does not.
When it goes wrong
“Failed to load data” on Learning. The read failed and nothing changed. Retry. An empty enrollment table after an error is not proof of zero enrollments.
“Failed to create program.” The program was not created. Check that the name is filled in and try again.
“Failed to load skills matrix.” Retry the page. Do not read a blank grid as nobody having skills.
“Failed to add skill” / “Failed to update proficiency” / “Failed to remove skill.” Each of these means the change did not land and the record is unchanged. The usual cause is the skill already being recorded for that employee - check the employee’s existing rows first.
Gap Analysis shows no gaps and you know there are some. Check Employees Mapped. With few employees mapped there is almost nothing to compare, so the absence of gaps is the absence of data.
An employee says their training is not showing. My Learning lists only programs they are enrolled in. Enroll them from the admin view; being in the department does not enroll anyone.
Next step
- Certification tracking - credentials with expiry dates and renewal alerts.
- HR compliance dashboard - where required training shows up as a compliance gap.
- Departments and the org chart - the structure the matrix filters by.
