Workflow Templates

Start from a pre-built workflow template instead of building from scratch. Browse the catalog, customize for your organization, and activate in minutes.

Workflow templates are ready-to-use automation blueprints covering common business processes. Start from a template instead of building from scratch — customize the steps, conditions, and actions to fit your organization, then activate.

Browsing Templates

Navigate to Workflows → Catalog to see all available templates organized by category:

CategoryExamples
FinanceInvoice approval, Bill payment reminder, Expense report review
HRNew employee onboarding, Certification expiry alert, Offboarding checklist
CompliancePolicy acknowledgment campaign, Incident escalation, Audit checklist
VendorsNew vendor onboarding, Vendor re-verification, 1099 collection
NonprofitsDonation thank-you sequence, Grant application review, Volunteer onboarding
DocumentsContract renewal reminder, Document expiry alert, Signature request follow-up
CommunicationsWelcome sequence, Meeting follow-up, Support ticket escalation

Using a Template

  1. Browse to Workflows → Catalog
  2. Click a template card to preview its steps
  3. Click Use Template
  4. The template opens in the workflow builder — pre-populated with steps and logic you can customize
  5. Adjust the trigger, conditions, and action steps as needed
  6. Click Activate when ready

Customizing a Template

All template fields are editable:

  • Trigger — change when the workflow fires (e.g., switch from “Invoice created” to “Invoice approved”)
  • Conditions — add filters (e.g., “only for vendors in the Food category”)
  • Steps — add, remove, or reorder actions
  • Notification recipients — change who is notified and how (email, Slack, in-app)
  • Delays — adjust wait-period durations between steps

Templates are starting points, not constraints. The resulting workflow is fully yours to edit after instantiation.

Saving Custom Templates

If you’ve built a workflow you want to reuse or share across your team:

  1. Open an existing workflow
  2. Click Save as Template
  3. Give it a name, description, and category
  4. Choose Private (only you) or Shared (all users in your organization)

Shared templates appear in the Catalog under the category you selected.

Template Updates

When a built-in template is updated (new steps, fixed logic), existing workflows based on that template are not automatically updated — they continue as-is. You’ll see a notification in the Catalog indicating that an updated version is available, with a diff view showing what changed.
