Import Vendors

Import your vendor list from a CSV file with the certificate requirements each vendor is held to. Every vendor is screened as it lands; refused rows are named with the reason and the rest land.

Bring your whole vendor list into Muin from one CSV file, with the insurance requirements each vendor is held to.

When you’d use this

  • You are starting Vendor Compliance and have a list of subs in a spreadsheet.
  • You are moving vendors over from QuickBooks or another system.
  • You want to update many vendors at once.

Import a vendor list

  1. Go to Settings > Data Import and choose Vendors.
  2. Click Download the template (CSV) and fill in one row per vendor. Only the name is required.
  3. Upload your file and check the column mapping.
  4. Review the preview, then import.

What happens next: the vendors that pass land at once, and every refused row is listed with its row number and the reason.

The columns

Column What it does
name The vendor’s name. Required.
email, phone, address columns How to reach the vendor. An email is needed to invite them.
trade What the vendor does.
requirement_template construction, real_estate or none. Sets the certificates this vendor must carry. Leave it empty for no template.
tax_id The vendor’s TIN. Stored encrypted and shown as its last 4 digits.
location A job site you already set up. The vendor is placed at that site.

What gets refused

A row is refused, and named, when:

  • the vendor is on a sanctions list (the list is named)
  • the requirement template is not one of the three values
  • the TIN is not in a valid format
  • the location does not exist yet
  • the name repeats another row in the file

The other rows still land.

A file with bank columns (routing or account numbers) is refused before anything is imported. Ask each vendor for bank details from the vendor’s page instead, so the details are held until someone confirms them by phone.

Importing again

Importing a vendor already on file updates it. A blank cell never clears a value. A changed phone, email or address is held for call-back verification in Vendor Trust, the same as an edit on the vendor’s page.
