Customer Contracts, Billing and Signature

A customer contract with billing terms bills the customer on a schedule. Send a draft customer contract for signature, and it becomes active when the customer signs.

A customer contract is a contract where your organization is paid. Its billing terms create a billing schedule, and the customer can sign it online.

When you’d use this

  • A customer pays you a fixed amount every month, quarter, six months or year under a contract.
  • You want the customer to sign the contract before billing starts.

Find a customer contract

  1. Go to Finance > Money Out > Contract repository.
  2. Set the counterparty filter to Customer.
  3. Click the contract.

Add a customer contract

  1. In the contract repository, click New Contract.
  2. Under Contract with, choose A customer.
  3. Choose an Organization or a Person, then pick the customer.
  4. Under Status, choose Draft: send it for signature (the default) or Active: already signed.
  5. Under Contract document, pick or upload the contract file. It is optional, for vendor and customer contracts.
  6. Fill in the rest and save it.

A draft must have a contract document before it can be sent for signature.

Import contracts adds vendor contracts only.

Billing terms

  • To set billing terms, open the contract. Under Billing terms, enter the Amount per invoice and How often, then click Start billing.
  • Start billing shows only to people who can edit contracts and create invoices.
  • Billing terms on the contract reads “Bills [amount] [frequency]”.
  • The frequency is monthly, quarterly, every six months or yearly.
  • A contract with no billing terms reads “No billing terms set.”

The billing schedule

  • An active customer contract with billing terms has one billing schedule.
  • The schedule is a recurring invoice named “Billing for contract [number or name]”.
  • It shows in Finance > Money In > Recurring Invoices.
  • Each invoice is created on its date, as for any recurring invoice.
  • Changing the billing terms corrects the schedule.
  • An amendment with its own billing terms ends the old schedule the day before the amendment starts, and starts a new one.
  • A contract that ends, or is deleted, stops billing that day.
  • Renewing the contract extends its billing.

Send a customer contract for signature

The Signature section on the contract sends it to the customer.

You need:

  • A customer contract in Draft or Under review.
  • The contract document attached.
  • An email address on the customer.

Then:

  1. Click Send for signature.
  2. The dialog names the signer and their email. Check it.
  3. Confirm.

The customer gets an email with a link to sign. The contract shows Waiting for signature. The section shows the signer and when it was sent.

Today the request is sent through the Muin signing page. The section reads “Sent through the Muin signing page”.

When the customer signs

  • The contract becomes Active.
  • Billing starts on its schedule.
  • The section shows Signed and the date.

To stop a request before the customer signs, void it from the document’s signatures.

When it goes wrong

What you see What to do
“Attach the contract document to send it for signature.” Attach the document to the contract.
