Invitations and Onboarding Links
Every link Muin emails to bring someone in: the portal onboarding link, the accountant invitation to read-only books, the reconciliation setup walkthrough, and the claim link a donor who sent money by Zelle or check uses to tell you about it so you can send a receipt.
Muin brings people in by emailing them a link rather than asking them to create an account first. Four of those links lead somewhere other than the normal sign-in page.
When you’d use this
- You sent someone an onboarding link and they are not sure what to do with it.
- Your accountant or bookkeeper is setting the organization up on your behalf.
- You are turning on bank reconciliation and need to tell your bank where to send statements.
- A donor sent money by Zelle or check and you need them to tell you about it so you can match it.
The team invitation
- Owners and admins invite people from Settings → Members (
/settings/members). - The invite modal lists Suggested for and a Module or Product name first: the starter roles that item creates, such as Finance Officer for Finance.
- The person you invite gets an email with a link to
/invite/plus a one-time token. Opening it lets them accept and join your organization. - See Team Management for pending and expired invitations.
Referral links
- A sign-up link can carry a referral code:
/signup?ref=<code>on falaah.ai or/register?ref=<code>in the app. - The code is sent with the sign-up, so the referral is credited without the new organization typing it.
- See Referral Program.
The portal onboarding link
Sent to someone joining through a portal, as /onboard/{token}.
- The recipient opens the link from their email.
- Muin forwards them to the current onboarding flow for that token, at
/public/onboarding/{token}. Older emailed links keep working through this forward. - They complete the flow there. No password is created at this step.
If someone forwards you an /onboard/... link that lands somewhere unexpected, the forward is working as designed; the destination is the real flow.
The accountant invitation
Gives an outside accountant or bookkeeper read-only access to your books. They use their own free Falaah account, not a login on yours.
- On Finance (
/finance), select Invite Accountant. Enter the accountant’s name and email address, then Send invitation. - Muin emails them a link. If the email could not be sent, the dialog shows the link so you can copy it and send it yourself. The link expires in 30 days and works once.
- The accountant opens the link, then signs in or creates a free Falaah account with the same email address the invitation was sent to.
- They land on the accountant portal, which shows your books one organization at a time: Overview, Financial Statements, Bank Reconciliation and Audit Pack (a ZIP download for the period). They cannot change anything or see other modules.
- An accountant who works for several organizations sees all of them in the same portal and picks one at a time.
- To come back later, the accountant signs in and chooses Client books from the account menu (their name, top right). It opens the same read-only portal.
Ending access. The Accountant access list on Finance shows who has access and when it was granted, plus invitations not yet accepted and when they expire. Use End access to stop an accountant reading your books, or Withdraw invitation for one that has not been accepted yet. Both ask you to confirm. It takes effect immediately; the accountant keeps their own Falaah account.
The reconciliation setup walkthrough
Opened at /onboarding/reconciliation when you turn on bank reconciliation.
- The walkthrough collects the details Muin needs to recognize your incoming payments: your organization’s name as it appears on statements, the address it uses, the email that receives payment notifications, and the description pattern your payments arrive with, for example
DONATION – {donor name}. - Those answers become the first set of matching rules, so a Zelle or bank line can be attributed to the right donor.
The patterns it produces are refined later from Administration → Statement Parser Patterns. See Platform Console.
The post-gift claim link
The page a donor lands on at /donate/claim/{your-slug} after giving outside a card form.
- The donor selects I Already Sent My Gift, or Submit Your Gift. The page explains why: “Let us know the details so we can match your payment and send a receipt.”
- They choose the Payment Method, then fill in Full Name, Email Address, optional Phone, the Amount and the Date Sent.
- For Zelle they may add the Zelle Email or the last four digits of the Zelle Phone. For a check they add the Check Number, Check Date, the Name on Check if it differs, the Bank Name and the last four digits of the account.
- Make this gift anonymous is available.
- Submit My Gift finishes. The donor sees Thank you! with “We’ll match your gift and send a receipt within a few days”, repeating back the amount and the date they entered.
A returning donor is greeted by name. Muin never asks for a full account number; four digits is all it takes to match.
What it affects
- Nothing a recipient enters on these pages is live until your staff act on it. A claimed gift is a claim, not a recorded donation, until it is matched.
- An accepted accountant invitation grants read-only access to finance only. The accountant does not become a member of your organization and does not appear under Settings → Members.
- Reconciliation answers become matching rules, which affect how every future bank line is attributed.
When it goes wrong
| What you see | What to do |
|---|---|
| “This invitation was sent to a different email address.” | The accountant is signed in with another account. Sign out and sign in, or create an account, with the address the invitation went to. |
| “This invitation has expired.” or “This invitation is no longer valid.” | Links expire after 30 days and work once. Send a new invitation from Finance. |
| A donor says “Looks like you already submitted this” | Muin found a recent submission with the same amount and date. They can Cancel, or Submit as New if it genuinely is a second gift. |
| “You’ve submitted several times recently: please wait before trying again.” | The donor hit the rate limit. Ask them to wait a few minutes and try once. |
| A claimed gift is not showing as a donation | It is waiting to be matched against a bank line. Check reconciliation. |
