Accountant Portal
Give your external accountant or auditor read-only access to your financial data via a secure magic link, with no account creation required.
The Accountant Portal gives an external accountant, auditor, or fractional CFO read-only access to your financial data without requiring them to create a Muin account. You send them a secure magic link, they click it, and they land in a read-only view of your books: P&L, reconciliation sessions, expense exports, and more.
The portal is designed for year-end filing, audit preparation, and ongoing fractional finance relationships.
Inviting an Accountant
From Finance Overview, click the Invite Accountant button in the top-right action strip.
- Enter the accountant’s email address and name
- Optionally add a note (for example, “Year-end 2025 review: access expires March 31”)
- Click Send Invitation
Muin emails the accountant a magic link. The link is valid for 30 days from the invitation date (or until you revoke it). The accountant does not need a Muin account: clicking the link establishes a time-limited session scoped to read-only finance data for your organization.
What the Accountant Can See
Once inside the portal, the accountant sees a dedicated read-only interface. A banner at the top confirms their access level: “Read-only view, shared with [accountant name]”.
Available views:
| View | What it shows |
|---|---|
| P&L Summary | Profit and loss by expense category for a selectable date range |
| Reconciliation Sessions | List of completed and in-progress bank reconciliation sessions |
| Expense Export | Downloadable CSV of expenses for a date range |
| Bank Statements | Imported bank statement files |
The accountant cannot create, edit, void, or approve any financial document. Write actions are disabled at the session level, not just hidden in the UI.
Audit Pack Export
The Download Audit Pack button on the portal home page bundles all key financial documents into a single ZIP:
- P&L PDF (for the date range you choose)
- Cash flow CSV
- Reconciliation session PDFs
- Expense export CSV
Click Download Audit Pack, select the period start and end dates, and Muin generates the ZIP. A download link is emailed to you and the accountant with a 24-hour expiry.
AI Audit Letter
The Audit Pack includes an optional AI-generated cover letter that summarizes the period: key metrics, year-over-year comparison, and notable items. The letter is clearly marked as AI-generated and is intended as a starting point, not a final document. Review and edit it before including it in a formal audit submission.
Managing Access
Revoking Access
To revoke an accountant’s access before the 30-day expiry, go to Finance Overview > Manage Accountant Access and click Revoke. The magic link is immediately invalidated: any subsequent click shows “This link has expired.”
Multiple Accountants
You can have more than one active accountant invitation at a time. Each accountant has their own link and their own independent 30-day window. Revoking one does not affect the others.
Access Log
Every action the accountant takes inside the portal is logged: which page they viewed, when they downloaded documents, and when they exported data. This log is visible to your organization’s finance admins under Finance Overview > Manage Accountant Access > Activity Log.
Permissions
| Action | Required permission |
|---|---|
| Send accountant invitation | finance:process |
| Revoke accountant access | finance:process |
| View access log | finance:read |
| What the accountant can do | Read-only (enforced by the portal session) |
Common Questions
Does the accountant need to create a Muin account? No. The magic link gives them a read-only session that expires automatically. No account, no password, no onboarding.
What if the magic link expires before the accountant uses it? Invite them again: generate a new link from Finance Overview > Manage Accountant Access > Resend Invitation. The old link stays expired.
Can the accountant download raw data? Yes: the Expense Export CSV and Audit Pack ZIP are available from inside the portal. Raw database exports are not available; the downloads are the structured, accountant-ready formats.
Is the portal session secure? Yes. The magic link uses a cryptographically random token stored server-side. After 30 days (or on explicit revoke) the token is invalidated. Sessions expire after 8 hours of inactivity even within the 30-day window.
Can the accountant access other modules (HR, CRM, etc.)? No. The portal session is scoped exclusively to finance read-only data. Navigation to other modules is blocked at the session level.
What your accountant should open first
The portal is read-only, so point them at the statements rather than the screens:
- Statement of Activities: change in net assets by fund and donor-restriction class, which is what they will reconcile. A for-profit lens wants Profit & Loss instead; both run from the same posted ledger.
- General Ledger: the trial balance for the period, with the period foot that says whether debits and credits agree. Hand this over first: a trial balance that is out of balance makes every statement built on it unreliable.
- Month-end close: tells them which months you consider settled.
- The Audit Pack ZIP and the Expense Export CSV, from inside the portal.
If they ask for a journal entry to be corrected, they cannot post it themselves. Author it on Journal Entries and have it approved, which keeps the maker-checker trail they will test for.
Next step
- General Ledger and Journal Entries: the trial balance to hand over first.
- Financial statements: P&L and the statement of activities.
- Month-end close, which months you consider settled.
