Charitable Dispositions and Client ID Cards

Record what happened to donated property and track the Form 8282 return it raises, and generate the client ID cards your distribution desk scans.

Two record-keeping screens in the nonprofit module. Charitable Dispositions tracks what happened to donated property after you received it. Client IDs gives the people you serve a card your desk can find them by.

Sold something that was donated to you?

If you sell, trade, give away or throw out something that was donated to you, you may have to file Form 8282 with the IRS. It applies when you got rid of the item within three years of receiving it, unless the donor’s Form 8283 valued it at $500 or less. The form is due 125 days after you sold it or gave it away. Record the sale under Charitable Dispositions below and Muin tracks the due date. Confirm with your tax advisor whether you have to file.

When you’d use this

  • You sold, transferred or discarded an item somebody donated to you.
  • You need to know whether a disposition raises a Form 8282 return, and when it is due.
  • Your distribution desk needs to look a neighbour up in seconds at a busy event.
  • Someone on your roster lost their card and needs a new one printed.

Charitable Dispositions

Where it lives: there is no sidebar row. Open Sidebar → Nonprofit → In-Kind, then use the Record a disposition (Form 8282) card and press Open dispositions →. The screen is titled Charitable Dispositions. You need permission to view in-kind donations to read it, and permission to manage them to record anything.

Form 8282 is the charity’s donee information return. It is raised when you dispose of donated charitable-deduction property within three years of receiving it, and it is due 125 days after the disposition.

Muin records the disposition and tracks the 125-day date. It does not produce or submit Form 8282, and it does not decide what your organization is required to file. Confirm with your own tax advisor.

Recording a disposition

  1. Press Record a disposition.
  2. Pick the Donated item from your in-kind records.
  3. Set the Disposition date.
  4. Choose How it was disposed of: Sold, Exchanged, Transferred, Consumed in charitable use, Distributed to beneficiary, Discarded, Returned to donor, or Other.
  5. If it was sold or exchanged, enter the Amount received. This is required; record 0 if nothing was received.
  6. If it was transferred, name the Successor donee that received it.
  7. Add any Notes.
  8. Press Record disposition.

The amount field disappears for dispositions where nothing could have been received: discarded, returned to donor, consumed in charitable use, and distributed to beneficiary.

Reading the three sections

Returns due lists the dispositions that raise a return, each with its due date and a countdown badge. The badge turns amber at 60 days or fewer and red at 30 days or fewer, and shows days overdue once the date has passed.

No return required lists dispositions Muin assessed as raising nothing, each with the reason:

  • Disposed more than 3 years after receipt
  • Identified on Form 8283 as worth $500 or less
  • Used or distributed for the organization’s exempt purpose
  • No Form 8283 Section B was signed for this property
  • Other stated reason

Filed appears once you have recorded a filing.

Recording a return as filed

  1. Press Mark filed on a row in Returns due.
  2. In Record the return as filed, enter the Date your organization filed.
  3. Add an optional Filing reference.
  4. Press Record as filed.

Recording it here does not submit anything to the IRS. It is your record that you filed.

What it affects

  • A disposition with a return due appears on your compliance deadline list, including overdue ones. Filed and not-required dispositions do not.
  • The donor’s side of the same property is the Form 8283 worksheet, under In-Kind.

When it goes wrong

“A disposition recorded as sold needs the amount received.” Sold and exchanged both need a figure. Record 0 if nothing was received.

“… received nothing, so it cannot carry an amount received.” You entered proceeds against a disposition type that cannot have any. Record it as sold or exchanged if money changed hands.

“A transfer needs the successor donee it went to.” Name the organization that received the property.

“This item has no recorded receipt date, so the three-year Form 8282 window cannot be measured.” Go back to the in-kind item and record when it was received, then try again.

“The disposition date is before the item was received.” Check both dates on the in-kind record.

“This disposition raises no Form 8282 obligation, so there is no return to record as filed.” The disposition is in the No return required list. Nothing to file.

Client ID cards

Where it lives: Sidebar → Nonprofit → Distribution → Client IDs. You need permission to view aid recipients to read it, and permission to manage them to generate anything.

A client ID is a number assigned to a person you serve, formatted as a prefix, the year and a sequence. Your distribution check-in accepts either a client number or a name, so the card is what lets a busy desk find someone in seconds. Set the prefix in Settings → Nonprofit → Distribution → Client ID Prefix.

Printing a card for one person

  1. Use the tabs All, Has card or Needs card to narrow the roster, or type at least two characters in Search by name or client number… and press Search.
  2. Click the person in the results.
  3. If they already have a number, the card preview appears. Press Print.
  4. If they do not, press Generate Client ID, then print.

Generating cards in bulk

  1. Press Batch Generate.
  2. Set Max to generate. Keep it at 500 or fewer.
  3. Press Generate.

Muin only generates for people who do not have a number yet, so running it twice is safe.

What it affects

  • A client number makes a person findable at distribution check-in and ties their visits to the fairness caps you set per person and per household.
  • The card carries a scannable code that the Muin Go mobile app reads at check-in.

When it goes wrong

“No matching people found.” Try a different name or client number, or switch to the Needs card tab to list people without one.

“Find a neighbour to print their card.” This is the first-run state: there is nobody on your roster yet. Add recipients first.

A batch size above 500 is rejected. Enter 500 or fewer and run it again.
