Muin’s CRM is the central directory for every person and organization your team interacts with. Contacts, donors, vendors, volunteers, and partners all live in one place, with relationships mapped and activity history tracked across every module. Instead of siloed contact lists, you get a unified view of everyone connected to your organization.
CRM Concepts
People Records
Every individual in Muin is a Person record with:

Organization Records
Organizations represent companies, nonprofits, government agencies, and other entities:

Getting Started
Viewing Contacts
- Navigate to CRM > Contacts
- The contact list shows all people with name, email, status, and roles
- Use search and filters to find specific contacts

- Browse or search by name, type, or status
- Click any organization to see its detail page with linked contacts

Managing Contacts
Adding a New Contact
- Click New Contact from the CRM Contacts page
- Enter the person’s details:
- Full name
- Email address
- Phone number
- Status
- Assign one or more roles
- Link to an organization (optional)
- Click Create
Editing a Contact
- Open the contact detail page
- Click Edit
- Update any fields
- Changes are saved and tracked in the activity timeline
Contact Roles
Roles define how a person relates to your organization. A single contact can hold multiple roles:

Adding and Removing Roles
- Open the contact detail page
- Navigate to the Roles section
- Click Add Role and select the appropriate role
- To remove a role, click the remove icon next to it
- Role changes are logged in the activity timeline
Managing Organizations
Adding a New Organization
- Click New Organization from the CRM Organizations page
- Enter the organization details:
- Name
- Type
- Status
- Address and website
- Click Create
Linking Contacts to Organizations
- Open the organization detail page
- Navigate to the Contacts section
- Click Link Contact
- Search for and select an existing contact, or create a new one
- Define the relationship (e.g., employee, board member, executive)

Relationships and Households
Mapping Relationships
Connect people and organizations to represent real-world relationships:
- Open a contact or organization detail page
- Navigate to the Relationships section
- Click Add Relationship
- Select the related person or organization
- Choose the relationship type
- Save
Households
Group related individuals into households:
- Combine family members under one household record
- Household-level communication preferences apply to all members
- Donation tracking can aggregate at the household level

Activity Timeline
Every contact and organization maintains an activity timeline showing:
- Interactions (emails, calls, meetings)
- Module activity (donations, volunteer hours, document views)
- Status changes and role updates
- Notes added by team members
- Tasks created or completed
Adding Activities
- Open the contact or organization detail
- Navigate to the Activities section
- Click Log Activity
- Select the activity type (call, email, meeting, note)
- Enter details and save
Additional Workflows
Contact Merging
When duplicate records exist:
- Navigate to CRM > Merge
- Search for and select the duplicate records
- Choose which fields to keep from each record
- Confirm the merge
- All linked data (donations, tasks, activities) consolidates under the surviving record
Contact Promotion
Convert a basic contact into a fuller record:
- Open the contact detail
- Click Promote to add detailed fields (employment history, education, etc.)
- Enhanced records provide deeper CRM capabilities
Team Assignment
Assign contacts to team members for relationship management:
- Open the contact detail
- Set the Assigned to field
- The assigned team member sees the contact in their portfolio
Bulk Import
Import contacts from external sources:
- Prepare a CSV file with contact data
- Navigate to CRM > Import
- Map CSV columns to Muin fields
- Review and confirm the import
- Duplicates are flagged for review
Tips
- Assign roles consistently. Roles drive reporting and segmentation across the platform.
- Keep one record per person. Use merge to clean up duplicates rather than maintaining parallel records.
- Link contacts to organizations. The organizational context enriches every interaction.
- Log activities promptly. A complete timeline makes handoffs between team members seamless.
- Use tags for campaigns and segments. Tags are flexible and can be added or removed without affecting the core record.
Common Issues

| Duplicate contacts appearing | Same person entered multiple times | Use the Merge feature to consolidate records |
| Contact not appearing in search | Status is Archived | Change filter to include Archived records |
| Organization has no linked contacts | Contacts were not linked after creation | Open the organization and use Link Contact |
| Activity timeline is empty | No activities logged or tracked | Start logging activities manually; module interactions appear automatically |
| Cannot delete a contact | Contact is linked to active records | Archive the contact instead, or remove links first |

- Check your search filters to ensure they are not excluding the records you expect
- Verify the contact’s status (Active, Inactive, Archived)
