Platform Payouts (Benevity)

Import a Benevity donations report so one workplace giving deposit is recorded as the employee gifts, employer matches and fees it covers, then matched to the bank deposit.

Benevity pays one deposit that covers many employee gifts and employer matches. Platform payouts records each deposit as those gifts, matches and fees, so every donor gets credit and the deposit in your bank still reconciles to a single amount.

When you’d use this

  • A Benevity deposit arrived in your bank and you need to know who gave.
  • You want employer matches to go to their own fund.
  • A deposit in All Transactions shows Waiting for deposit or will not match.

Finding it

Finance → Reconciliation → Platform payouts (/finance/reconciliation/platform-payouts). The reconciliation sub-navigation has the same link. You need permission to view ledger reconciliation. Importing a report also needs permission to change reconciliation.

Importing a Benevity report

  1. In the Benevity Causes Portal, download the donations report as CSV.
  2. On Platform payouts, press Import Benevity report.
  3. Choose the file. Each disbursement in the file becomes one payout with its gifts, matches and fees.
  4. Muin shows a summary for each disbursement: how many gifts and matches it recorded, and the net amount.

Importing the same report again is safe. A disbursement that was already imported records nothing new, and gifts already recorded are skipped. If the new file has more gifts for a disbursement than the last one, its totals are updated to match the report.

The payouts table

Column What it shows
Arrival date When Benevity says the money arrives
Disbursement The Benevity disbursement ID
Gifts and Matches How many employee gifts and employer matches the payout covers
Gross, Fees, Net The amounts before fees, the Benevity fees, and what reaches your bank
Needs review Lines that still need a project mapping or a donor confirmation
Bank match Matched once the bank deposit is linked, otherwise Waiting for deposit

Click a row to see each gift and match in the payout, with its donor, program and fund.

The Needs review tab lists only payouts with a gift on an unmapped project or a donor waiting to be confirmed. When it is empty, it reads “Nothing needs review”.

Matching the bank deposit

After an import, the Benevity deposit in All Transactions matches the payout by its net amount. When you see a deposit first, open it in All Transactions and use Attach breakdown to import the report behind that amount.

Settings: match fund and projects

Open Finance → Reconciliation → Settings and find Workplace giving (Benevity).

  • Fund for employer matches. Where match money goes. It is saved with the Save button at the bottom of the page. If it is not set, matches go to the default fund.
  • Benevity projects. Map each Benevity project to a program and, if you want, a fund. Each project saves as soon as you add it. Adding the project ID from the report keeps the mapping working if the project is renamed.

Gifts to a project with no mapping go to the default fund and show under Needs review until you map the project.

When it goes wrong

What you see What to do
“The report could not be imported” The message lists the lines that failed. Fix those lines in the file and import again.
“Projects with no fund or program” after an import Those gifts went to the default fund. Press Map projects in settings and add each project.
A message that the employer-match fund is deleted or closed Matches went to the default fund. Choose an active match fund in settings.
Waiting for deposit stays on a payout The bank deposit has not arrived or was not imported yet. Check All Transactions after the next bank sync or statement import.
“Platform payouts could not be loaded” Press Retry. Imported payouts are not affected.
