Check people in at an event from your phone

Run event check-in on Muin Go: scan QR codes, tap NFC cards and badges, search by name, add walk-ins, check people out and work offline.

Muin Go turns your phone into the check-in desk at the door: scan a ticket, tap a card, or find someone by name.

When you’d use this

  • Doors open and attendees arrive with QR tickets on their phones or printed.
  • Your members or volunteers carry NFC cards or badges.
  • Someone shows up who did not register and you want to add them on the spot.
  • People are leaving and you track check-out as well as arrival.

Events are created on the web. Every published event shows up in Muin Go for check-in as soon as it is saved. See Events and RSVPs.

Start check-in

  1. Go to Home → Nonprofit → Events. Upcoming events are listed, and you can search by name.
  2. Tap the event, then tap Start Check-In. You can also go straight to Home → Nonprofit → Event Check-In and pick the event.
  3. Check that the event name at the top is the right event.

Check someone in

Use whichever way fits the person in front of you:

  • QR code: point the camera at their ticket.
  • Card or badge tap: hold their NFC card or badge to the back of your phone.
  • Name search: tap Can’t scan? Find an attendee by name, search, and tap them.

The screen confirms each check-in and is ready for the next person.

The screen opens on the way your volunteers check in. Your organization sets it in Settings → Nonprofit Settings → Volunteers → How volunteers check in (QR code, Card, or Both), and each event can override it. With Card, the screen shows only the card reader; with QR code, only the QR scanner; with Both, a tab for each. The scanner fills the screen. The other options sit in a small bar at the bottom: Find by name is always there, Code (type a QR code by hand) appears when the event takes QR codes, and Assign a card appears when it takes cards.

To record people leaving, switch the screen from Check-In to Check-Out and scan the same way.

When the doors close, tap End check-in.

Work from the roster

  1. From the event, tap View Roster.
  2. Next to each person, tap Check In, Check Out or No show.
  3. To message everyone who registered, tap Message registrants.

Add a walk-in

  1. On the roster, tap Add walk-in.
  2. Enter First name and Last name, plus an email or a phone number (one of the two is required, so the person can be reached and found again next time). Notes are optional.
  3. Tap Add & Check In.

Take a ticket payment at the door

  1. From the event, tap Capture Payment.
  2. Choose the ticket type. A free ticket shows Register Free Ticket; a paid one shows the price on the pay button.
  3. Take the payment the same way as any other payment. See Take a payment on Muin Go.

Run the desk

For a check-in point that serves more than one kind of visit, such as a class, an event or a distribution, use Run the desk from the Home quick actions. It asks Which one? only when it cannot tell from context, then lists today’s sessions for that desk.

Cards

  • Assign a card binds an NFC card to a person: pick them, then hold the card to the phone. Any registrant can hold one, whether a volunteer, a ticket guest or a student.
  • One card per person. It works at every event and class they attend, and nothing is written to it.
  • Lost card? Remove it or mark it lost on the person. It stops working at every check-in, and you can assign a new one the same way.

Offline

If your phone loses signal, keep scanning. Check-ins and check-outs are saved on the phone with the real time of the tap. The screen says they were saved offline and will sync when you are online. They are sent automatically when the connection returns.

What it affects

Check-ins update the event roster and attendance on the web, including the live day-of board. A walk-in becomes a registration on the event. A ticket payment shows in Payments on the web.

When it goes wrong

  • The QR code won’t scan. Use Can’t scan? Find an attendee by name instead.
  • “The event may be full” when adding a walk-in. The event has hit its capacity. Raise the capacity on the web or check the person in from the roster if they already registered.
  • Card tap does nothing. Make sure NFC is turned on in your phone settings and hold the card flat against the top back of the phone. Some iPads and phones have no NFC; use QR or name search on those.
  • A red badge says something “didn’t save”. Tap it to open Work that didn’t save and tap Try again on each item.
