Muin’s Fundraising module is the central hub for all revenue-generating activities in your nonprofit. It connects donor management, campaign execution, pledge tracking, online giving pages, contribution recording, recurring giving automation, membership programs, in-kind donations, endowment management, donor-advised funds, and tax receipt generation into a single integrated platform.

Donor Management

What is Donor Management?

The Donor Management system maintains a 360-degree view of every person who gives to your organization. Donors are automatically segmented based on giving behavior, and each donor profile shows total lifetime giving, contribution history, engagement scores, and lapse risk.

Donor Segments

Muin automatically classifies donors into segments based on their giving patterns:

How to View and Manage Donors

  1. Navigate to Nonprofit > Donors
  2. Use the segment filter tabs to focus on a specific group (Major, Mid-Level, Regular, Lapsed, New)
  3. Search by name or email to find a specific donor
  4. Click a donor to view their full profile, including:
    • Total amount given and number of contributions
    • First and last donation dates
    • Average and largest gift amounts
    • Annual giving amount
    • Giving frequency (in days)
    • Whether they have active recurring giving
  5. View the Engagement tab for engagement score and lapse risk percentage

Cultivation Pipeline

The cultivation pipeline tracks major gift prospects through five stages:

To manage a donor’s cultivation:

  1. Open the donor profile
  2. Click Cultivation tab
  3. Set the cultivation stage, capacity rating (under $10K, $10K-$100K, $100K-$1M, over $1M)
  4. Record planned giving interests
  5. Set the next cultivation action and date
  6. Assign a gift officer

At-Risk Donors

Navigate to Donors > At Risk to see donors with a high probability of lapsing. Muin calculates a lapse risk score (0.0 to 1.0) for each donor. You can adjust the risk threshold to filter the list. Use this view to prioritize re-engagement outreach before donors lapse.


Fundraising Campaigns

What are Fundraising Campaigns?

Fundraising Campaigns are time-bound fundraising efforts with specific goals. Each campaign tracks raised amounts against a target, supports matching gifts, and can automatically create a linked giving page.

How to Create a Campaign

  1. Navigate to Nonprofit > Fundraising Campaigns
  2. Click Create Campaign
  3. Fill in the campaign details:
    • Name and optional Code for internal tracking
    • Campaign Type (annual, capital, emergency, event, etc.)
    • Start Date and optional End Date
    • Goal Amount and currency
    • Fund to direct contributions to
    • Description for public-facing content
  4. Configure optional features:
    • Enable Thermometer to show progress publicly
    • Enable Gift Matching and set the match ratio and cap
    • Toggle Auto-create Giving Page to generate a donation page
  5. Click Save to create as draft, then Launch when ready

Managing Campaign Lifecycle

  • Launch: Activates the campaign for donations
  • Pause: Temporarily stops accepting contributions
  • Complete: Marks the campaign as finished

Campaign Statistics

View real-time campaign stats including total raised, number of contributions, average gift size, and progress toward the goal.


Pledges

What are Pledges?

Pledges are commitments from donors to give a specified amount over time. Muin automatically generates installment schedules and tracks payments against each installment.

How to Create a Pledge

  1. Navigate to Nonprofit > Pledges
  2. Click Create Pledge
  3. Enter the pledge details:
    • Select the donor
    • Enter the total pledge amount
    • Choose the frequency (monthly, quarterly, annual, custom)
    • Link to a campaign (optional)
  4. Muin auto-generates the installment schedule with due dates
  5. Save the pledge

Recording Payments

  1. Open the pledge detail page
  2. View the installment schedule under the Installments tab
  3. When a payment arrives, click Record Payment on the corresponding installment
  4. Link the payment to a contribution record

Pledge Fulfillment Summary

The pledge summary dashboard shows aggregate stats:

  • Total pledged amount
  • Amount fulfilled so far
  • Fulfillment percentage
  • Number of active vs. completed pledges

Filter the summary by campaign to see pledge performance per fundraising effort.

QR Code Payments

Generate a QR code for any pledge to enable easy mobile payments:

  1. Open the pledge detail page
  2. Click Generate QR Code
  3. Share the QR code with the donor (print, email, or text)
  4. When scanned, the QR directs to a payment page pre-filled with the next installment amount

Giving Pages

What are Giving Pages?

Giving Pages are customizable online donation forms that you can share publicly. Each page has its own URL slug, branding, suggested amounts, and configuration options.

How to Create a Giving Page

  1. Navigate to Nonprofit > Giving Pages
  2. Click Create Giving Page
  3. Configure the page:
    • Title and URL Slug (e.g., annual-fund)
    • Page Type (general, campaign, event, memorial, etc.)
    • Fund and optional Campaign to direct donations
    • Goal Amount for a progress thermometer
    • Suggested Amounts (e.g., $25, $50, $100, $250)
    • Allow/disallow custom amounts, recurring giving, anonymous gifts, and dedications
    • Set minimum and maximum donation amounts
    • Custom thank-you message
    • Toggle auto email receipts
  4. Click Save to create as draft

Publishing and Managing

  • Publish: Makes the page live and accessible via its public URL
  • Pause: Temporarily disables the page
  • Delete: Soft-deletes the page

QR Code Integration

Each giving page can generate a QR code for print materials:

  1. Open the giving page
  2. Click QR Code tab
  3. Choose format (PNG or SVG) and size (64px to 1024px)
  4. Customize QR colors and toggle logo overlay
  5. Enable Dynamic QR for redirect-based short URLs that can be updated without reprinting
  6. Download and embed in flyers, mailers, event signage, or bulletins
  7. View QR Analytics to track scan counts and conversion rates over time

Donation Statistics

Each giving page shows:

  • Total raised and number of donations
  • Average donation amount
  • Donation status breakdown (completed, pending, refunded)

Contributions

What are Contributions?

Contributions are individual donation records. Every gift your organization receives — cash, check, online, stock, or in-kind — is recorded as a contribution with full audit trail.

How to Record a Contribution

  1. Navigate to Nonprofit > Contributions
  2. Click Record Contribution
  3. Enter contribution details:
    • Donor (select from person directory)
    • Amount and Currency
    • Date of the contribution
    • Type (cash, check, credit card, ACH, stock, cryptocurrency, etc.)
    • Payment Method
    • Fund and optional Campaign allocation
    • Anonymous flag and dedication details (in honor of, in memory of)
    • Notes and external reference
  4. Optionally enable Send Tax Receipt to auto-generate upon saving
  5. Click Save

Filtering and Searching

Use the contribution list filters to find records by:

  • Donor, Fund, or Campaign
  • Contribution type and status
  • Date range
  • Amount range (minimum and maximum)

Fund Allocations

Split a single contribution across multiple funds:

  1. Open the contribution detail
  2. Click Manage Allocations
  3. Add fund allocations with specific amounts (up to 10 funds)
  4. Allocations must sum to the contribution total

Planned Giving

Track bequests, charitable remainder trusts, annuities, and other planned gifts:

  1. Navigate to Contributions > Planned Gifts
  2. Create a planned gift with type, estimated amount, and expected realization date
  3. Track through the pipeline: Verbal > Documented > Irrevocable > Realized
  4. View the planned giving pipeline dashboard for totals by status

Recurring Giving

What is Recurring Giving?

Recurring Giving automates scheduled donations. Donors commit to a fixed amount on a weekly, monthly, quarterly, or annual basis, and Muin tracks each cycle, processes charges, sends reminders, and handles failed payments.

How to Set Up Recurring Giving

  1. Navigate to Nonprofit > Recurring Giving
  2. Click New Recurring Gift
  3. Configure:
    • Donor and Amount
    • Frequency (weekly, monthly, quarterly, annually)
    • Start Date and optional End Date
    • Day of Month for payment processing
    • Fund and optional Campaign
    • Payment Method (credit card, ACH, etc.)
    • Enable Send Reminders for upcoming charges
  4. Save to activate

Managing Recurring Gifts

Failed Payment Handling

When a charge fails, Muin:

  1. Records the failure reason
  2. Increments the failed attempt counter
  3. Flags the donor on the At-Risk Donors dashboard
  4. Continues retry attempts per your dunning configuration

Navigate to Recurring Giving > At Risk to see schedules with recent payment failures and take action.


Memberships

What are Memberships?

The Membership system manages tiered membership programs with dues collection, renewal tracking, auto-renewal via recurring giving, and a member directory.

Setting Up Membership Tiers

  1. Navigate to Nonprofit > Memberships > Tiers
  2. Click Create Tier
  3. Configure the tier:
    • Name and Code (e.g., “Gold”, “GOLD-2024”)
    • Annual Dues amount
    • Description and Benefits list
    • Maximum Members (optional capacity limit)
    • Public flag (show on public-facing pages)
    • Sort Order for display ranking
  4. Save and activate the tier

Enrolling Members

  1. Navigate to Memberships
  2. Click Add Member
  3. Select the person, tier, start date, and expiry date
  4. Optionally assign a member number and link to a recurring giving schedule for auto-renewal
  5. Save the membership

Renewal and Expiration

  • View Expiring Memberships to see members expiring within 30, 60, or 90 days
  • Renew a membership with a single click (optionally auto-creates a contribution)
  • Set up Auto-Renewal by linking a recurring giving schedule

Membership Statistics

The stats dashboard shows:

  • Total active members by tier
  • New members this period
  • Renewal rate
  • Revenue from dues

View all active members in a searchable directory, filterable by tier.


In-Kind Donations

What are In-Kind Donations?

In-kind donations are non-cash gifts such as goods, services, equipment, or supplies. Muin tracks each donated item with photos, valuations, condition assessments, and IRS compliance documentation.

How to Record an In-Kind Donation

  1. Navigate to Nonprofit > Contributions (filter by In-Kind type)
  2. Click New In-Kind Donation
  3. Enter the donor and date
  4. Add items to the donation:
    • Item name, description, and category
    • Quantity and estimated unit value
    • Condition (new, good, fair, poor)
  5. Optionally attach photos for each item
  6. Link to a fund and/or campaign
  7. Save the donation

Item Lifecycle

Each in-kind item moves through statuses:

Review Queue

Items flagged for human review (low valuation confidence or high value) appear in the Review Queue:

  2. Review the item details, photos, and AI-suggested valuation
  3. Approve or adjust the value, condition, and category
  4. Submit the review decision

Tax Compliance

For items valued over $5,000, IRS Form 8283 requires a qualified appraisal:

  1. Open the item detail
  2. Click Track Appraisal
  3. Record appraiser name, qualification, appraisal date, and linked document
  4. Generate the in-kind tax receipt
  5. View Form 8283 data for any donor by tax year

Templates

Use item templates for commonly donated goods:

  • Search templates by name, barcode, or category
  • View popular templates for quick selection
  • Templates pre-fill item name, category, and estimated value

Endowments

What are Endowments?

Endowments are permanently restricted funds where the principal is invested and only earnings are distributed. Muin tracks endowment balances, transactions, spending policies, and custodian statement imports.

How to Create an Endowment

  1. Navigate to Nonprofit > Endowments
  2. Click Create Endowment
  3. Link to an endowment-type fund
  4. Configure the spending policy:
    • Spending rate percentage
    • Calculation method (trailing average, simple, hybrid)
    • Smoothing period in years
  5. Save the endowment

Recording Transactions

Record the following transaction types against an endowment fund:

Custodian Statement Import

Import quarterly statements from your custodian:

  2. Upload the CSV statement (max 10 MB)
  3. Select the custodian type and quarter
  4. Review the parsed preview with auto-detected transactions
  5. Map custodian account names to your endowment funds
  6. Confirm the import to create transactions automatically
  7. View import history for audit trail

Dashboard

The endowment summary shows:

  • Total corpus across all endowments
  • YTD investment returns
  • Total distributions this year
  • Available distributable amount per endowment
  • Compliance status for each spending policy

Donor-Advised Funds (DAF)

What are Donor-Advised Funds?

If your organization sponsors donor-advised funds, the DAF module lets donors recommend grants from their fund balances. Staff review and approve or decline each recommendation.

How DAF Grant Recommendations Work

  1. A fund advisor submits a grant recommendation
  2. The recommendation appears in DAF > Recommendations
  3. Staff review the recommendation details (fund, amount, recipient)
  4. Approve to process the grant or Decline with a reason
  5. Approved recommendations create grant disbursements

Managing Fund Advisors

  1. Navigate to DAF > Funds > select a fund
  2. View the list of advisors for that fund
  3. Add advisors by selecting a person and assigning a role
  4. Remove advisors when their advisory relationship ends

Tax Receipts

What are Tax Receipts?

Tax receipts are official acknowledgment letters that donors need for tax deductions. Muin generates PDF receipts with unique receipt numbers, tracks delivery status, and supports annual giving statements.

Generating Tax Receipts

Individual receipt:

  1. Open the contribution detail
  2. Click Generate Tax Receipt
  3. Choose whether to auto-send by email
  4. The receipt is created with a unique receipt number

Batch generation:

  1. Navigate to Nonprofit > Tax Receipts
  2. Click Batch Generate
  3. Muin generates receipts for all pending contributions at once
  4. Optionally auto-send all generated receipts

Annual Giving Statements

Downloading Receipts

Click Download PDF on any receipt to get a printable copy with your organization’s branding, the donor’s information, contribution details, and tax-deductibility language.


Tips & Best Practices

  • Segment early, steward always: Use the cultivation pipeline for major gift prospects from first identification through stewardship
  • Automate recurring giving: Link memberships to recurring schedules to reduce manual renewal work
  • Use giving pages for every appeal: Create dedicated giving pages for each campaign, event, or project to track source performance
  • Print QR codes: Include QR codes on mailers, event programs, and signage for frictionless mobile giving
  • Batch tax receipts at year-end: Run batch generation in January to cover the full prior year
  • Track in-kind items thoroughly: Photos and appraisals protect against IRS audit challenges
  • Monitor at-risk donors weekly: The lapse risk algorithm gives you time to intervene before donors stop giving

Common Issues

QR code not scanningEnsure the QR is at least 64px. For print, use 256px or larger. Use PNG for digital, SVG for print.
Campaign goal not updatingCampaign statistics refresh in near real-time. Verify contributions are linked to the correct campaign.
