Connecting Cloud Storage
Import documents from Google Drive, OneDrive, and Dropbox into Muin. Set up a one-time import or continuous sync so new files process automatically.
Connect Muin to your cloud storage to import existing documents and automatically sync new files. Muin supports Google Drive, Microsoft OneDrive, and Dropbox.

Setting Up Google Drive
Prerequisites
- Google account with Drive access
- Workspace accounts: Appropriate permissions from admin
Connection Steps
- Navigate to Settings → Integrations → Cloud Storage
- Click Connect Google Drive
- Sign in with your Google account
- Review and approve permissions:
- View and download files
- View folder structure
- Click Allow
- Connection established
Selecting Folders
After connecting:
- Click Configure next to Google Drive
- Click Select Folders
- Browse your Drive structure
- Check folders to include
- Click Save Selection
Google Workspace Shared Drives
For shared drives:
- Enable “Include Shared Drives” in settings
- Select shared drives to sync
- Appropriate permissions required
Setting Up OneDrive
Prerequisites
- Microsoft account with OneDrive access
- Business accounts: Microsoft 365 subscription
Connection Steps
- Navigate to Settings → Integrations → Cloud Storage
- Click Connect OneDrive
- Sign in with your Microsoft account
- Review and approve permissions
- Click Accept
- Connection established
Selecting Folders
After connecting:
- Click Configure next to OneDrive
- Click Select Folders
- Browse your OneDrive structure
- Check folders to include
- Click Save Selection
SharePoint Libraries (Coming Soon)
SharePoint document library integration is on our roadmap. In the meantime, you can upload SharePoint documents directly or use OneDrive which shares the same Microsoft account.
Setting Up Dropbox
Prerequisites
- Dropbox account
- Business accounts: Appropriate team permissions
Connection Steps
- Navigate to Settings → Integrations → Cloud Storage
- Click Connect Dropbox
- Sign in with your Dropbox account
- Review and approve permissions
- Click Allow
- Connection established
Selecting Folders
After connecting:
- Click Configure next to Dropbox
- Click Select Folders
- Browse your Dropbox structure
- Check folders to include
- Click Save Selection
Dropbox Team Folders
For team folders:
- Enable “Include Team Folders” in settings
- Select team folders to sync
- Team admin permissions may be required
Import Options
Choose how to bring files into Muin.
One-Time Import
Import existing files without ongoing sync:
- Connect your cloud storage
- Select folders
- Choose One-Time Import
- Click Start Import
- Files are copied to Muin
- No automatic updates
Best for:
- Archival migration
- Historical documents
- When you want files only in Muin
Continuous Sync
Keep Muin synchronized with cloud storage:
- Connect your cloud storage
- Select folders
- Choose Continuous Sync
- Set sync frequency:
- Real-time (immediate)
- Hourly
- Daily
- Click Enable Sync
Best for:
- Active document folders
- Vendor invoice folders
- Team collaboration folders
Folder Mapping
Route different folders to different modules:

Managing Connections
Viewing Connection Status
See all connections at Settings → Integrations → Cloud Storage

Triggering Manual Sync
To sync immediately:
- Click Sync Now next to the connection
- Muin checks for new/changed files
- New files are processed
- Status updates when complete
Viewing Sync History
See what’s been synced:
- Click History next to the connection
- View recent sync events
- See files imported
- Identify any errors
Modifying Folder Selection
To change which folders sync:
- Click Configure next to the connection
- Update folder selections
- Add or remove folders
- Click Save
- Changes take effect immediately
Disconnecting
Temporary Pause
To pause syncing without disconnecting:
- Click Pause next to the connection
- Sync stops
- Click Resume to restart
Full Disconnect
To remove the connection:
- Click Disconnect next to the connection
- Confirm disconnection
- Connection removed
- Previously imported documents remain in Muin
Note: Disconnecting doesn’t delete documents already in Muin.
Sync Behavior
What Gets Synced
- Supported file types: PDF, images, Office documents
- New files: Added since last sync
- Modified files: Changes to existing synced files
- Deleted files: Optionally removed from Muin
What Doesn’t Sync
- Files over 50 MB (unless enterprise plan)
- Unsupported file types
- Files in excluded folders
- Files you don’t have permission to access
Conflict Handling
When files change in both places:
- Cloud priority: Cloud version overwrites Muin version
- Version history: Previous versions retained in Muin
- Notification: You’re notified of conflicts
Troubleshooting
Connection Failed
Symptoms: Can’t connect or authorize
Solutions:
- Verify account credentials
- Check you have access to the cloud service
- Clear browser cache and retry
- For business accounts, check with IT admin
- Try incognito/private browser window
Sync Not Working
Symptoms: New files not appearing in Muin
Solutions:
- Check connection status (should be green)
- Verify folder is in selected folders
- Confirm file type is supported
- Check file size (under 50 MB)
- Trigger manual sync
- Review sync history for errors
Permission Issues
Symptoms: “Access denied” or missing folders
Solutions:
- Verify you have access in cloud storage
- For shared/team folders, check permissions
- Reconnect with appropriate account
- For business accounts, admin may need to grant access
Large Import Taking Too Long
Symptoms: Import running for hours
Context: Large imports can take time. For 10,000+ files:
- Initial import may take 4-8 hours
- Progress shown on dashboard
- You’ll be notified when complete
- Can continue using Muin during import
Security Considerations
Permissions Granted
When you connect cloud storage, Muin gets:
- Read access to selected folders
- View folder structure
- Download files for processing
Muin does not get:
- Write access (can’t modify your cloud files)
- Delete access (can’t delete your cloud files)
- Access to unselected folders
Data Handling
- Files are processed on Muin’s secure infrastructure
- Extracted data stored in Muin
- Original files may be cached temporarily
- Your data stays within Muin’s own infrastructure
Revoking Access
You can revoke Muin’s access anytime:
- Go to your cloud storage security settings
- Find Muin in connected apps
- Remove access
- Connection will show as “Error” in Muin
Best Practices
Folder Organization
- Dedicated sync folders - Create folders specifically for Muin sync
- Clear structure - Organize by document type or vendor
- Avoid deep nesting - Keep folder structure simple
- Clean up regularly - Remove old files from sync folders
Sync Configuration
- Start small - Begin with one folder, expand later
- Use folder mapping - Route to correct modules automatically
- Set appropriate frequency - Real-time for active folders, daily for archives
- Monitor initially - Watch sync activity for first week
Team Collaboration
- Coordinate folder selection - Avoid duplicate syncs
- Use shared/team folders - Single source of truth
- Document sync setup - Team members know what’s syncing
- Assign ownership - Someone responsible for sync health
