Vendor Payment Notices
When Muin emails a vendor about a payment, what the notice contains, the link to a free vendor account, and what unsubscribing does.
Muin emails a vendor when you record a payment to them. The vendor knows what was paid without calling you.
When a vendor is emailed
A vendor gets a notice only after a payment to them is recorded, for example when a payment run pays their bills. No notice goes out while a bill is waiting for approval or is held.
One payment gives one notice, even when it paid several bills. The notice goes to the email on the vendor’s record. A vendor with no email gets no notice.
What the notice contains
- your organization’s name and the amount paid
- the payment date and method, with the last 4 of the reference when there is one
- each bill the payment covered, with its number and amount
- a line saying the payment came from your bank account, and that questions go to you
The free vendor account link
At the end of the notice is a link to create a free vendor account. With it, the vendor can see payments from all their customers that use Muin in one place, and share documents with them. See Vendor Passport.
Unsubscribing
The notice has an unsubscribe link. Unsubscribing stops news and offers from your organization. Requests for documents, reminders and payment records still arrive, because they are about work the vendor does for you.
Common Issues
| Issue | Cause | Resolution |
|---|---|---|
| A vendor says they got no notice | The vendor has no email on file, or the payment was not recorded | Add an email on the vendor’s page; check the payment run |
| A notice was not sent for a bill | The bill is still held or waiting for approval | Release the hold in Vendor Trust or Vendor Compliance, then pay it |
