Subcontractor Management

Subcontractor Management collects every sub's insurance, W-9 and licence, holds payment until the sub is compliant, tracks renewals and deadlines, and is planned to write compliance back to Procore. Available today in the Muin platform.

Subcontractor Management runs in the Muin platform today: start a 30-day trial on a Platform Plan. A standalone Subcontractor Management product comes later; you can get one email when it opens on the Subcontractor Management page.

Subcontractor Management is a Solution for general contractors. It sits on top of a Muin plan and includes:

  • Everything in Vendor Compliance
  • Compliance Tracker
  • AI Document Capture
  • Payments held until the sub is compliant
  • Compliance written back to Procore (planned)

Lien waivers, certified payroll and sub prequalification are not in the first release.

When you’d use this

  • A sub needs a certificate of insurance on file before starting work.
  • Certificates expire and nobody notices until a claim.
  • You want payment held while a sub’s required insurance has lapsed.
  • Licence renewals and filing deadlines are spread across calendars and inboxes.

What it includes

Part What it does
Documents collected Each sub uploads its certificates and tax forms through a link. Subs do not need an account
Certificates read Coverage, limits, dates and additional insured are read from each certificate and filed with the sub
Chasing Muin reminds a sub with a missing or expiring document every 7 days, and sends renewal notices 30, 14 and 7 days before a certificate expires
Payment hold A bill from a sub whose required insurance has lapsed is held until a current certificate is on file or someone approves an override
Renewals and deadlines Licence and certificate renewals and filing deadlines in one place, with reminders
Procore (planned) Your Procore subs arrive in Muin by job site. Once you turn on write-back, their compliance goes back to Procore

How the payment hold works

These rules come from Vendor Compliance:

  • A payment run shows Held: COI lapsed. and refuses that sub’s bills in the run.
  • The hold clears by itself when an accepted certificate arrives.
  • To pay one bill before then, click Request an override and give a reason. A second person approves it from their Inbox. The override covers that one bill only.

Procore

The Procore connection is planned. It is not available yet.

Once it ships, it reads the subcontractors on your Procore projects into Muin, each placed on a job site named after its project. It writes nothing to Procore until you turn on Write compliance back to Procore on the connection’s Settings tab. Writing back to Procore comes with Subcontractor Management only.

Setup

Once Subcontractor Management is available, its setup walks you through these steps:

  1. Apply the starting template.
  2. Turn on the agents that come with it.
  3. Set your certificate of insurance requirements.
  4. Load starter deadlines.
  5. Import your vendor list.
  6. Invite your subs to upload their documents.
  7. Send the first chase.

Roles

Subcontractor Management adds two role templates: Vendor Manager and Compliance Manager.

Price

Subcontractor Management is priced by active vendors, on top of a Muin plan:

Active vendors Per month Per year
Up to 50 $249 $2,490
Up to 150 $399 $3,990
Up to 400 $549 $5,490

Above 400 active vendors, contact us. A second Solution costs less; see the pricing page. Starting its trial starts a 30-day plan trial with Subcontractor Management on top.

If you already have Vendor Compliance, Compliance Tracker or AI Document Capture, that subscription ends when you buy Subcontractor Management, so you are not billed for it twice.
