Setting Data Retention Policies
Define how long Muin keeps different kinds of records before they're archived or purged — to meet compliance requirements and reduce stale data.
Data retention policies (Settings → Retention Policies) let you control how long Muin keeps each kind of record before it’s archived or removed — a core part of meeting privacy and compliance obligations.
How It Works
Each policy targets a record type and sets a retention period. When records pass the period, Muin handles them according to the policy (for example, archiving them out of active views or purging them).
Setting a Policy
- Open Settings → Retention Policies.
- Choose the record type the policy applies to.
- Set the retention period.
- Save — the policy applies going forward.
Tips
- Align retention periods with your regulatory obligations (tax records, donor data, and employment records often have different legal minimums).
- Retention complements your compliance framework — see the Compliance module for the policies and evidence auditors review.
- Review retention settings periodically; obligations change as your organization grows or enters new jurisdictions.
