Submit and approve expenses on your phone
File a volunteer or staff expense on Muin Go by photographing the receipt, then review, approve and record payment for claims from your phone.
File a reimbursement claim in under a minute: photograph the receipt, check the amount, and send it. If you approve or pay claims, you can do that from your phone too.
When you’d use this
- You bought supplies for a class or event and want your money back.
- Your coordinator asked a question about a claim you sent.
- You approve volunteer expenses and a claim is waiting on you.
- You paid a volunteer by Zelle, check, cash or Venmo and need to record it.
Submit an expense
- Go to Home → Nonprofit → Submit Expense, or open Expenses and tap Snap a Receipt.
- Tap Take Receipt Photo. Muin reads the vendor, amount and date off the receipt and fills them in.
- Check Amount, Vendor and Date and fix anything that is wrong.
- Pick a Category: Supplies, Food & Beverages, Transportation, Mileage, Parking, Materials, Equipment Rental, Communication, Postage & Shipping or Other. The category decides which budget the spend counts against.
- Say what it was for: one of your classes, a program or an event, or Not for a class, program or event.
- Add a Description.
- Tap Send Expense.
You will see one of these:
- Sent. Your coordinator will review it.
- Approved, if your organization’s rules approve this kind of claim automatically.
- Looks like a duplicate, if it matches a claim you already sent. Explain in Why is this not a duplicate? and tap Send anyway, or go back.
Follow your claim
Open Home → Nonprofit → Expenses. Your claims are under Mine. Tap one to see its Status Timeline: Sent, Being checked, Waiting for approval, Question for you, Approved, Payment in progress, Paid, Rejected.
If the status is Question for you, your coordinator’s question shows under Your coordinator asked. Type in Your answer (required) and tap Send again. If they need the receipt, tap Add the receipt first.
Review claims (approvers)
- Open Home → Nonprofit → Expenses. Claims that need you are under Waiting on you, or tap Review Queue.
- For each claim, tap one of:
- Approve reimbursement: it moves to whoever records the payment.
- Reject expense: enter the reason the volunteer will be given.
- Ask for more information: enter your question. The claim leaves your queue until they answer.
Your organization’s approval rules decide what reaches you. Some claims need a second approver; the app says Waiting for a second approver after you approve. If you filed the claim yourself, someone else must approve it, unless your organization lets an owner or admin approve their own claim with a note. In that case, tap Approve with note and say why.
Record a payment
When you pay a volunteer outside Muin:
- Open Expenses and find the claim under Awaiting payment.
- Tap Record payment.
- Pick the Method: Zelle, Check, Cash, Venmo or Other. Add the reference (check number or confirmation).
- Set Paid date to the day the money left, and Amount paid to what you really paid.
- Optionally add a photo of the check or confirmation, and notes.
- Tap to record it. The volunteer is told.
Offline
You can file an expense with no signal. The app says Saved on this phone. It sends itself for approval when you are back online. A receipt photo taken offline is uploaded when you reconnect. Recording a payment needs a connection.
What it affects
A sent claim appears in the approval queue on the web and on approvers’ phones. An approved and paid claim posts to your books with the amount and date you recorded, and the volunteer sees each status change.
When it goes wrong
- “Your account is not linked to a person record.” Your login is not connected to your staff or volunteer record yet. Ask your administrator to link it; then you can file expenses.
- The amount or date was read wrong. Edit the field before sending. The AI fills in what it can read; you are responsible for the final numbers.
- “You sent this request, so someone else has to approve it.” Your organization requires a different approver. Ask a colleague who approves expenses.
- “You are offline. Recording a payment needs a connection.” Reconnect and record it again.
