AI Settings
Teach Muin's AI the words and tone your organization actually uses, choose which generators may run and how much they may create, and choose how chat shows the records it finds.
Two screens control how Muin’s AI behaves for your organization: what it knows about your words, and what it is allowed to write.
When you’d use this
- Answers use language your community does not use, or an abbreviation nobody recognizes.
- Drafts come back too long, too formal, or too casual.
- You want to stop one generator running while leaving the others on.
- You would rather chat answered in text than show preview cards.
AI Customization
Teaches the agents your organization’s language.
- Go to Settings → Communication and AI → AI Customization.
- Profile Completeness shows how much the agents have to work with.
- Communication Style sets Tone and Verbosity for the whole organization. Saving reads “Communication style saved”.
- Custom Terminology records a Term and its Definition so the agents understand words specific to you.
- Abbreviations maps a short form to its full form, for example PO to Purchase Order.
- Forbidden Terms lists wording the agents must avoid in responses.
- Custom Vocabulary records Synonyms for a term, with optional Context, so the AI understands the alternatives your team types.
- Module-Specific AI Settings lets you give one module its own Description, Guidance, Tone Override, Verbosity Override, Priorities, Constraints and Examples.
Let Ask Muin look deeper for admins
On the same page, Let Ask Muin look deeper for admins lets Ask Muin take more time on a hard question from one of your admins. An answer can take up to 2 minutes, and the admin gets a notification when it is ready. Until deeper answers roll out to organization admins, the switch is off and reads “Not available for your organization yet”.
This is distinct from Vocabulary, which renames labels on screens. AI Customization changes what the AI says.
AI Generation
Decides what may be generated and how much.
- Go to Settings → Communication and AI → AI Generation.
- The Generators tab lists every generator and lets you allow or block each one for your organization.
- The Limits tab sets how much each allowed generator may create at a time.
- A banner reads “Unsaved changes. Save to apply them.” until you save.
A blocked generator disappears from the surfaces that would have offered it, rather than failing when someone tries.
In-chat preview cards
Also on the AI Customization page, In-chat preview cards decides how chat shows a record you ask for.
- Show preview cards: when on, asking Muin to show, open or pull up a record shows a card that links to the full record. When off, chat answers in text only.
- Allow side-by-side comparison: when off, a comparison request shows a single preview card.
What chat may do
There is no separate list of chat tools to switch on or off. Chat can read and act only on what the person asking is allowed to see and do, so a person’s role decides it (Roles and permissions). Any change chat proposes is shown first and waits for a person to approve it (Approving agent changes).
What it affects
- Tone, verbosity and terminology apply to every agent response, every generated draft and every chat answer in the organization.
- Forbidden terms are honored in generated text, including emails and documents the agents draft.
- A disabled generator is hidden from the screens that offer generation, so nobody is tempted to use it.
- Turning preview cards off changes how Ask Muin shows records, not what it can find.
When it goes wrong
| What you see | What to do |
|---|---|
| “Failed to load AI customization settings.” | Reload. Your saved profile is unchanged. |
| “Could not load your AI generation settings.” then Try again | Reload. No generator permission was changed. |
| “Could not save settings” under In-chat preview cards | Press Save again. Your previous preview-card choice is still in effect. |
| Chat says it cannot do something | The person asking lacks that permission. Check their role in Settings → Roles & Permissions. |
| Answers still use the old wording | Check whether the term is in Custom Terminology rather than Vocabulary; the two screens do different jobs. |
| A generator you expected is missing | It is blocked on the Generators tab, or your plan does not include it. |
