Chief of Staff Workspace
The Chief of Staff pages: today's short list, who covers your decisions while you are away, inspector readiness, what-if, board motions, and the mandate settings.
Chief of Staff is the page that tells you the few things that need you today, and the handful of companion pages that answer the questions that come up around them.
When you’d use this
- You open Muin in the morning and want one short list instead of six module dashboards.
- You are about to travel and need somebody to hold your approvals while you are away.
- An inspector, auditor or insurer is coming and you want to know which of their questions you cannot answer yet.
- Your board passed a motion and nobody can say whether it was actually carried out.
Finding it
Sidebar → Intelligence → Chief of Staff. Two of its pages have their own sidebar rows: Coverage sits directly underneath, and Daily Briefing sits below that.
The rest are reached from the strip of links across the top of the Chief of Staff page: Settings, Readiness, What if and Board motions. There is no sidebar row for those four, so the Chief of Staff page is the door.
Each page has its own permission, so your sidebar may show fewer rows than a colleague’s:
| Page | What it needs |
|---|---|
| Chief of Staff | Permission to view the assistant’s attention list |
| Settings | Permission to manage assistant mandates |
| Coverage | Permission to view assistant mandates |
| Readiness | Permission to view risk incidents (Compliance) |
| What if | The Nonprofit module, Advanced Analytics on your plan, and permission to view the finance ledger (Finance). It shows tax exposure, insurance and staffing figures, so members need a finance role such as Finance Viewer |
| Board motions | Permission to view nonprofit governance |
Today’s list
- Go to Sidebar → Intelligence → Chief of Staff.
- Read What needs you today. Each card is ranked, says why it is on the list, and offers the action that clears it. A card about a vendor contract also offers Draft pushback: your assistant writes a negotiation letter to that vendor, citing only the contract’s own figures, and it waits in AI Drafts until someone else approves it.
- Below that, Everything else, in order lists the remainder with its deadline and reason, so you can see what is coming without acting on it.
- Where to go next links straight to Open your Inbox, Risk Radar (organization-wide) and Daily briefing.
If the organization has a 12-month outlook on record, it appears as a strip under the list. When there is nothing to do, the page says “Nothing needs your attention right now” rather than inventing work.
Settings: letting the assistant act for someone
The assistant does nothing on its own until somebody grants it a mandate. A mandate names the person it acts for, the agent that acts, what it may read, a money ceiling, a daily action limit and an end date.
To grant one:
- From Chief of Staff, open Settings in the top link strip.
- Click Let it act for someone.
- Fill in Who it acts for, Which assistant, What it may read, Amount ceiling, Actions a day and Ends on.
- Click Save this mandate.
Each existing mandate shows as an Acting for this person card with its status, ceiling and window. To end one, click Revoke this mandate and confirm. Revoked mandates stay on the page with the date the authority ended, so the revocation itself can be audited.
An amount ceiling is a limit on the assistant, not a replacement for your approval rules. If you leave it blank the card says so, and money still goes through the normal approval chain. The page links to Open your approval rules for exactly that reason.
Each mandate card also shows, per action, how far the assistant may go: Automatic, Confirm, Approve or Never. For an action that changes something, Automatic reads Automatic within your standing rules: “Changes still wait for you unless a standing rule in Settings > Approvals covers them.” Payments always wait for a person. See Approving Agent Changes.
Coverage: who holds your decisions while you are away
Sidebar → Intelligence → Coverage answers one question: if a decision lands while you are out, who takes it, and who gets it if they do not act.
When coverage is active the page shows Covering you, If they do not act, Window, What is covered and Stays with you above - the amount over which decisions wait for you regardless.
Coverage is read-only here. You set it up in your Inbox: click Set up coverage on this page, or go to Sidebar → Inbox and use the delegation drawer. When nobody is covering you, the page says “Nobody is covering you” and offers that link.
Readiness: the questions an inspector would ask
- From Chief of Staff, open Readiness.
- Choose Who do you want to be ready for? - Tax authority, Fire marshal, Single audit or Insurer.
- Read the three counters: Answered, Gaps and Does not apply.
- What you cannot answer yet lists the gaps. Everything else they would ask lists the questions already answered from your records, each with the evidence behind it.
- On a gap, create a task so somebody owns closing it. The task is titled “Close the readiness gap: <question>” and lands on your list.
Click Ask again to re-run the questionnaire after you have filed the missing records.
Answers come from your own records, not from a template. If a question has no record behind it, it is reported as a gap rather than answered optimistically.
What if: change one thing and see the rest move
What if models one lever against your actual figures for the current fiscal year.
- From Chief of Staff, open What if.
- Enter Extra paid rental days, and optionally narrow it with Kind of event. Leaving the event kind blank models the added days across every booking you already have.
- Read the result. The summary line tells you how many parts of the model were answered and which fiscal year it used.
- Every figure cites its source. Levers the platform has no input for are badged Needs an answer first and listed under “Questions a person has to answer first” - Muin will not guess a number it does not have.
Click Run it again after you change an input.
Board motions: what the board decided, and whether it happened
- From Chief of Staff, open Board motions.
- Filter with Every motion, Still on the floor, or any closing outcome.
- The counts line reads “<n> on record, <n> still owed.”
- Each motion carries a follow-through badge: Follow-through owed, Follow-through done with the date, or No follow-through owed - and says whether it became a formal resolution.
- To close one, set Outcome, optionally link the Resolution it became (only a motion that carried can link a resolution), then click Close this motion.
Motions are picked up from your meeting minutes, so the list is empty until minutes exist. Use Open board packages from that empty state.
What it affects
- Granting a mandate lets an agent act for a person, inside its ceiling and daily limit. Those actions appear in that person’s Inbox history and in the agent’s run records.
- Coverage changes who receives approval requests while the window is open. It does not change your approval rules or raise anyone’s spending authority.
- Closing a readiness gap creates a real task in the Inbox, assigned to you.
- Closing a board motion updates the governance record the board package reads from.
When it goes wrong
| What you see | Why | What to do |
|---|---|---|
| “Your assistant is not set up yet” on Chief of Staff | No mandate exists yet | Follow the three steps it shows: turn on Chief of Staff, pick what it may do on its own, check back each morning |
| “We could not check whether this is set up…” on that same panel | You can view the assistant but not manage its mandates | Ask someone who can manage the assistant to confirm it in Settings |
| “We could not load the people in this workspace” in the grant form | You cannot read the member list | Ask someone who can manage users to set the person the assistant acts for |
| “Nobody answers for this motion yet, so it cannot be closed” | The motion has no follow-through task owner | Assign its follow-through task, then close the motion |
| What if shows the plan upgrade gate instead of the page | Advanced Analytics is not on your plan, or the Nonprofit module is off | Talk to your account owner about the plan feature |
| What if is missing from Chief of Staff, or opens to Access Denied | You do not have permission to view the finance ledger | Ask an owner or admin to give you a finance role such as Finance Viewer |
| “We could not load today’s list” / “We could not run that” | The request failed | Click Try again. Nothing was changed |
