Creating Reports
Build custom reports across every platform module with filters, charts, AI insights, and automatic scheduling. Export to PDF, Excel, or Markdown.
Muin generates reports from data across every platform module. Pick a template or describe what you need, choose the period and the output format, and the report lands in your Report Library: on demand, or on a schedule that emails it to whoever needs it.
When you’d use this
- You need the same report every Monday morning without remembering to run it.
- Somebody wants a one-off report for a period that no stock report defaults to.
- You want a report as a spreadsheet rather than a PDF.
- A coordinator needs yesterday’s attendance exceptions in their inbox.

How to Create a Report
Via the Reports hub
Reports has no sidebar entry: start at the hub.
- Open
/reportsand click Generate Custom Report (or New Report from the Report Library). - You land on Generate Report, “Create a new report using a template or describe what you need”, with two tabs: Use Template and Describe Your Report.
- On Use Template, pick a type card: Cash Flow, Vendor Spend, Approval Bottleneck, Document Status, Compliance Check, Invoice Aging, Budget Variance or Form submissions.
- Fill in the four parameters:
| Parameter | Description |
|---|---|
| Report Title (Optional) | Defaults to “{Type} Report” |
| From Date | Start of the period |
| To Date | End of the period |
| Output Format | PDF, Excel, CSV, JSON, Markdown or HTML |
- Click Generate Report. The button reads Generating… while it runs.
- The report appears in your Report Library, and opens in the viewer when it is ready.
The format is fixed when you generate. To get another format, generate again: the viewer’s Generate fresh re-runs with the same parameters and the same format.
Via a plain-language description
On the Describe Your Report tab, type what you need under Describe the report you need: for example “Show me cash flow for the last quarter” or “I need a vendor spend analysis for 2024”. The page lists example requests you can click.
Via Chat
Ask Muin to generate reports conversationally:
"Generate a cash flow report for Q4"
"Show me vendor spend by department for the last 6 months"
"Run a compliance check for all vendors"
AI generates the report and provides a summary with download links.
Scheduling Recurring Reports
- From the hub, click Schedules, or go to
/reports/schedules. - Click Create Schedule.
- Fill in the form, titled New scheduled report:
| Field | What to enter |
|---|---|
| Report | Teacher Daily Summary, Attendance Exceptions, Teacher Salary, Cash Flow, Budget Variance, Invoice Aging, Vendor Spend, Approval Bottleneck, Document Status, Compliance Check or Form submissions. A teacher-administrator sees only the first two. |
| Saved view | Required for Form submissions only: the sheet view to deliver. |
| Name | What the schedule is called, for example “Daily attendance exceptions”. |
| Frequency | Daily, Weekly, Bi-Weekly, Monthly, Quarterly or Yearly. Each run covers the previous full period: the previous day, Monday to Sunday, or the month that just finished. |
| Send at | The time of day to run. Defaults to 07:00. |
| Email recipients | One or more addresses, separated by commas. |
- Click Create. Save changes on an existing schedule.
Save stays disabled until the schedule has a name, at least one recipient, every address contains an @, a report type is chosen, and a saved view is picked when the report needs one.
Delivery is by email to the recipients you list. Scheduled runs also land in your Report Library.
When it goes wrong
| What you see | What it means | How to clear it |
|---|---|---|
| “{value} is not an email address” | One of the recipients is malformed. | Fix that address. Separate multiple addresses with commas. |
| “Upgrade to schedule reports” / “Automatically generate and send reports on a schedule. Available on Growth and Enterprise plans.” | Scheduled reports are not on your current plan. | Upgrade, or generate the report on demand instead. |
| “Daily reports available on Scale plan” | Daily is a higher-tier frequency. | Choose a less frequent cadence, or upgrade. |
| “This report type needs finance access.” | Your role cannot schedule that report. | Ask an administrator for finance access, or pick a report you can run. |
| “No saved views yet. Save one from a form’s Submissions sheet first.” | A Form submissions schedule has nothing to deliver. | Open the form’s Submissions sheet, save a view, then come back. |
| “Could not save the schedule. Please try again.” | The save failed for another reason. | Read any message above the buttons, fix it, and save again. |
| “Failed to load report schedules. Please try again later.” | The schedules list could not load. | Reload the page. |
| “No scheduled reports” | Nothing is scheduled yet. | Click Create Schedule. |
Tips
- Schedule recurring reports: set up weekly or monthly reports for metrics you review regularly, so stakeholders always have current data without asking.
- Start with a template: the built-in types cover the most common needs. Use the plain-language tab only when no template fits.
- Name a schedule for its audience: the name is what you will scan in a list of ten, and the recipients cannot be seen without opening it.
- Check a schedule after the first run: the row shows when it last ran and when it next runs, so a schedule that never fired is visible immediately.
