Email integrates with workflows, contact records, and the unified inbox so every message is connected to its context.

How to Send an Email

Composing a Message

  1. Navigate to Communications in the left sidebar
  2. Click Compose or open an existing conversation and click Reply
  3. Select or confirm the Email channel
  4. Choose recipients:
    • Type a contact name or email address
    • Select from a contact list or segment for bulk sends
  5. Write your message or select a template:
    • Click Templates to browse saved templates
    • Merge tags (e.g., {{first_name}}, {{org_name}}) auto-fill from contact data
  6. Attach files if needed (documents, images, PDFs)
  7. Choose delivery timing:
    • Send Now — deliver immediately
    • Schedule — pick a date and time for delivery
  8. Click Send or Schedule

Using Templates

Templates save time on recurring communications:

  1. Go to Communications –> Templates
  2. Click Create Template
  3. Enter a template name and category
  4. Write the email body using the rich text editor
  5. Insert merge tags for personalization (e.g., {{first_name}}, {{invoice_number}})
  6. Save the template for reuse across your team

Tracking Delivery

After sending, view delivery metrics on each message:

Metric Description
Delivered Message accepted by the recipient’s mail server
Opened Recipient opened the email (pixel tracking)
Clicked Recipient clicked a link in the email
Bounced Delivery failed (hard bounce or soft bounce)
Unsubscribed Recipient opted out of future messages

  • Use templates for consistency — create templates for common outreach like invoice reminders, onboarding welcome emails, and follow-ups. This ensures consistent messaging and saves drafting time.
  • Personalize with merge tags — emails with the recipient’s name and relevant details get higher open and response rates. Merge tags pull data directly from contact records.
  • Schedule for optimal timing — schedule emails to arrive during business hours in the recipient’s timezone for better engagement.
  • Connect emails to workflows — instead of sending manual follow-ups, configure workflows to send templated emails automatically based on events like form submissions, payment reminders, or status changes.
