Calendar Management
Manage events, deadlines, and schedules with calendar CRUD, external sync (Google, Outlook), agenda views, preferences, and AI-powered deadline suggestions.
Muin’s Calendar module brings all your events, deadlines, and schedules into a single view. Create events manually, sync from Google and Outlook calendars, auto-generate events from HR and Finance modules, and let AI suggest deadlines you may have missed.
Overview
The Calendar module provides:

Event Sources
Calendar events can come from multiple sources:

Creating Events
- Navigate to Calendar
- Click New Event or click directly on a date
- Fill in the event details:
- Title — Event name (required)
- Description — Additional context
- Location — Where the event takes place
- Start Date/Time — When the event begins
- End Date/Time — When the event ends
- Timezone — Defaults to your preference
- All-day — Toggle for full-day events
- Attendees — Add team members
- For repeating events, configure a recurrence rule:
- Daily, weekly, monthly, or yearly
- Repeat on specific days
- End after N occurrences or on a specific date
- Click Save
Event creation is subject to your tenant’s calendar event quota based on subscription tier.
Viewing Your Calendar
Dashboard Summary
The dashboard widget provides a quick calendar overview:
- Today’s Events — What’s happening right now
- Upcoming Deadlines — Events and deadlines in the near future
- Month Dots — A compact month view showing which days have events
The dashboard summary is cached (5-minute TTL) for fast loading.
Agenda View
The agenda groups events by time period for a focused view:

| Later | Events beyond this week (up to 90 days ahead) |
Filter the agenda by:
- Category — Show only specific event types (comma-separated)
- Time window — How many days ahead to display (1-90)
- Include past due — Toggle overdue items on or off
Empty groups are automatically hidden from the view.
Month View
View a full month at a glance:
- Navigate to Calendar > Month View
- Select the year and month
- See events plotted on each day
- Filter by event source (manual, external, system, HR)
- Click a day to expand its events
Upcoming Events
A quick-access widget showing the next N events:
- Navigate to Calendar > Upcoming
- Configure how many days ahead to look (1-90)
- View up to 50 events sorted by start time
Additional Workflows
Rescheduling Events (Drag-and-Drop)
Move events to new times:
- In the calendar view, drag an event to a new date or time
- The reschedule request is validated
- The event is updated with the new start and end times
- All attendees are notified of the change
External Calendar Sync
Connect your Google or Outlook calendar for seamless integration.
Connecting Google Calendar
- Navigate to Calendar > Connections
- Click Connect Google Calendar
- Authorize Muin through Google’s OAuth flow
- Select which calendars to sync
- Events begin syncing automatically
Connecting Outlook Calendar
- Navigate to Calendar > Connections
- Click Connect Outlook
- Complete the Microsoft OAuth authorization
- Choose calendars to sync
- Sync starts immediately
Managing Connections
- View all active connections with sync status
- Trigger a manual sync for any connection
- Update sync settings (which calendars, direction)
- Delete a connection to stop syncing
Module Event Sync
Muin auto-generates calendar events from other modules:
- HR Events — Employee certifications expiring, work anniversaries, leave dates
- Holiday Sync — US federal holidays automatically added
- Finance Events — Invoice due dates, payment deadlines
- Vendor Events — Contract renewals, compliance document expirations
AI Deadline Suggestions
Muin’s AI analyzes your data and suggests deadlines you may have overlooked.
Viewing Suggestions
- Navigate to Calendar > AI Suggestions
- Review suggested deadlines with:
- What the deadline is for
- When it should occur
- Why the AI is recommending it
- Confidence level
Acting on Suggestions
For each suggestion:
- Accept — Add the suggested event to your calendar
- Dismiss — Remove the suggestion (Muin learns from this)
- Generate New — Ask the AI to analyze your data again
Calendar Preferences
Customize your calendar experience:
- Navigate to Calendar > Preferences
- Configure:
- Timezone — Your default timezone
- Working hours — Start and end times for your workday
- Default view — Month, week, or day
- Week start — Sunday or Monday
- Event colors — Color coding by category
- Preferences are saved per user and persist across sessions
Updates use a JSONB merge — only the keys you change are updated; everything else is preserved.
Tips
- Connect external calendars early — Syncing Google or Outlook ensures all your events are in one place from the start
- Use the agenda view for daily planning — The grouped timeline helps prioritize what to focus on now vs. later
- Accept AI suggestions selectively — Review each suggestion before accepting; dismissals help the AI learn your preferences
- Set timezone in preferences — Prevents confusion when scheduling events across time zones
- Use categories for filtering — Tag events by type (finance, hr, vendor) so you can filter the agenda by what matters now
- Check the dashboard widget daily — The dashboard summary gives a quick pulse on today’s events and upcoming deadlines
Common Issues
| Issue | Cause | Resolution |

| External sync not pulling events | OAuth authorization may have expired | Reconnect the external calendar through the Connections page |
| Events showing wrong time | Timezone preference may not be set | Update your timezone in Calendar > Preferences |
| ”Calendar event quota reached” error | Your subscription tier has a limit on calendar events | Contact your administrator to upgrade the subscription tier or archive old events |
| AI suggestions are empty | Not enough data for the AI to analyze, or you have dismissed previous suggestions | Ensure you have active deadlines across modules; try “Generate New” to refresh |
| Drag-and-drop reschedule not working | The event may be read-only (external or system source) | Only manually created events can be rescheduled via drag-and-drop |
| Module events not appearing | Module sync may not have run yet | Navigate to admin sync status to trigger a manual sync |
| Recurrence pattern incorrect | iCal RRULE may have been set incorrectly | Edit the event and verify the recurrence rule settings |
