Volunteer Impact Reporting

Show how many volunteer hours went to each program, top volunteers, new versus returning, retention cohorts, and the annual report PDF a funder or a school district asks for.

Every number on this page is a doorway. Click the hours in one program and you get the named volunteers who served them, not a figure you have to take on trust.

When you’d use this

  • A grant report asks how many volunteer hours went to one program.
  • The board wants to know whether volunteers come back.
  • A volunteer asks for a letter stating their hours for the year.
  • You are deciding which program needs recruitment and which is already full.

Open it

  1. Go to Nonprofit > Volunteering > Volunteer Impact.
  2. Use Filter by period at the top to set the window every chart reads.
  3. View directory takes you to the volunteer roster when you want the people rather than the numbers.

Six views:

Chart The question it answers
Volunteers over time Is the base growing or shrinking
Hours over time Is the time served growing
New vs returning volunteers Are we recruiting, retaining, or both
Hours by program Where the time actually goes
Top volunteers Who to thank
Acquisition cohorts Whether the people who joined in a given month stayed

Click any bar, slice or row and a drawer opens listing the volunteers behind that number. The list reconciles with the figure you clicked, which is how you check a number rather than believe it.

The hours letter

A volunteer who needs a letter: a student, somebody with an employer matching program, a court service requirement: gets it from their hours, not from this page.

  • The volunteer can pull their own Year summary in the member portal at /go/{your-org}/me > Year summary.
  • You can produce it for them from Nonprofit > Volunteering > Hours: Download year-end PDF for the calendar year, or Download annual report PDF for the organization-wide document.

The coordinator briefing offers the same annual report, so you can run it from whichever screen you are already on.

What it affects

Nothing. This page only reads. What it reads, though, is narrow and worth knowing:

  • Only approved hours appear. A queue of unapproved hours shows as a gap here, not as a pending figure.
  • Hours are attributed to the program on the hour entry, so a volunteer who logged against no program does not appear in Hours by program.
  • Retention cohorts are built from first-served date, so a volunteer added to the roster but never checked in does not form a cohort.
  • The charts honor the period filter. A short window with a long-running program will show less than you expect; that is the filter, not the data.

When it goes wrong

What you see What it means What to do
Failed to load on a chart That one query failed; the others are fine Press the retry on the chart. Reload if it repeats.
Every chart is empty The period has no approved hours in it Widen Filter by period, and check Volunteering > Hours for an unapproved queue.
The charts are missing entirely Advanced analytics is not enabled for your organization Ask an administrator. These charts sit behind the advanced analytics feature.
Hours by program is much smaller than Hours over time Hours were logged without a program Edit the entries on Volunteering > Hours to attribute them, then re-run.
A drawer total does not match the chart The window moved between the two reads Reload the page so both read the same period.
A volunteer is missing from Top volunteers Their hours are pending, not approved Approve them; the leaderboard counts approved hours only.

Next step

If the numbers show a program is short-staffed, the place to act is the volunteering console and coordinator briefing.
