Your Compliance Calendar

Answer a few questions about your organization and Muin loads your federal return, state annual report, franchise tax, sales tax and charitable registration dates, with reminders 30, 7 and 1 days before each one.

The Compliance Calendar puts every filing your organization owes on one list: the federal return, the state annual report, franchise tax, sales tax returns and, for a nonprofit, the state charitable registration renewal. It reminds the person you choose before each one is due.

Watch it done: a 2-minute walkthrough video of setting it up on the Product Home.

When you’d use this

  • You run a small business or a nonprofit and keep filing dates in your head or a spreadsheet.
  • You missed an annual report once and paid a late fee.
  • You file sales tax monthly or quarterly and want every return date for the year.
  • You want proof of each filing kept with the date it was due.

Set it up

You can start from the Product page or from Settings. Both ask the same questions. The first time you open it, the home says what the product is for and shows three numbered steps with a first action: Answer the questions, then Muin loads your filing dates and sends you reminders.

  1. Go to Sidebar → Products → Compliance Calendar, or Settings → Organization → Compliance.
  2. Answer the questions:
Question Why it is asked
Legal name The name your filings are under
Legal form LLC, corporation, nonprofit or sole proprietorship decides which filings apply
State you are registered in Each state sets its own reports and dates
Other states you operate in (optional) Add each state where you are registered to do business. Muin loads that state’s filings too, such as its annual LLC tax for an LLC formed in another state
How often do you file sales tax? Monthly, quarterly, annually, or not registered
Fiscal year ends in Federal returns and some state reports are due a set number of months after it
Date formed (optional) Some states set the report date by the month you were formed
The LLC has more than one owner Decides between Form 1065 and Form 1040 for an LLC
The corporation has elected S corporation status Decides between Form 1120-S and Form 1120
Annual IRS return and EIN For a nonprofit: which Form 990 you file, and the number used to check your exempt status

Muin fills in what it already knows about your organization: the legal name, the state, the legal form for a nonprofit, the fiscal year end from your finance settings, and the EIN. Each of these says From your organization profile until you change it. Check them before you save.

  1. Click Save and load my filings. Muin lists each filing it loaded and marks it Added, Already on your calendar, or You removed this earlier. Saving again adds nothing twice.

If a filing’s date depends on the month you were formed and you left that date blank, Muin says so and does not guess. Add the date and save again.

What Muin loads

Muin reads each state’s published rules: the report name, the agency, the due date and the late fee. Every rule names its source and the date it was read.

  • Almost every state has rules today. For a state without rules, Muin says so and you add your filings by hand on Licenses & Permits.
  • Every state you operate in gets its own filings, not only the state you are registered in. An operating state without rules is named under Not in our rules yet.
  • When a state’s rules do not cover a filing your answers suggest (for example, a state that sets each corporation’s report date itself), the calendar names it under Not in our rules yet, so a missing row never reads as “nothing is due”.
  • A religious organization that a state exempts from charitable registration does not get that filing.

Muin does not decide what you are required to file. Remove anything that does not apply and confirm with your own advisor.

Reminders

Every filing on your calendar sends a reminder by email and push 30, 7 and 1 days before it is due. If a reminder day is missed, the reminder goes out the next day instead of being skipped. Muin sends them to the person who set up the calendar, and only to an active member of your organization. To change who gets them:

  1. Go to Settings → Organization → Compliance → Reminders.
  2. Choose a person in Send reminders to and click Save.

Mark a filing done

  1. On the calendar, find the filing and click Mark filed.
  2. Enter the Date filed. A date in the future is refused.
  3. Attach the confirmation or receipt under Evidence, and add notes if you want.
  4. Click Mark filed.

Muin moves the filing to its next due date and keeps your receipt with it. When you filed on time and the state charges a late fee, Muin counts that fee as a penalty you avoided.

Some filings need another one done first, such as a license renewal that needs a tax clearance. On Licenses & Permits, edit the filing and choose it in Needs this filed first. While that filing is overdue, Muin will not let you mark the renewal filed.

IRS exempt status

For a nonprofit with an EIN, open Settings → Organization → Compliance → IRS exempt status and click Check now. Muin looks the EIN up in the IRS exempt organization records and shows whether the organization is tax-exempt, revoked or not found, with the time it checked.

Run setup does this check for you. You can go live once the check has run, whatever it found: a church or masjid is exempt without applying and is often not on the IRS list, and neither is an organization still waiting for its determination letter. A result other than tax-exempt stays on the checklist with a link to fix it.

Gap Analysis

If you track compliance frameworks, Compliance → Frameworks & Controls → Gap Analysis lists every requirement that has no evidence yet. Each row opens its control so you can add the evidence.

Try it without an account

The free compliance calendar shows your next twelve months of filing dates from the same rules. It saves nothing and sends no reminders. To keep the calendar and get reminders, start the 30-day trial from that page.

What it costs

Plan Entities Price
Basic 1 $29 a month
Plus As many as you need, plus the evidence vault $49 a month

An entity is one organization you file for. On Basic, adding a second entity is refused with a message asking you to move to Plus. On a Muin plan, your plan’s own limits apply instead.

What it affects

  • Licenses & Permits shows each loaded filing alongside your licenses. You can edit or remove them there.
  • Product value counts the late fees you avoided by filing on time.

FAQ

Does Muin file anything for me? No. Muin tracks the dates, reminds you and keeps your receipts. You file with each agency yourself.

My state is not covered. What can I do? Add each filing by hand on Licenses & Permits with its due date. It gets the same reminders and the same Mark filed step.

I removed a filing. Will setup bring it back? No. Saving your answers again never brings back a filing you removed.

I changed my legal form or state. Save the new answers on Settings → Organization → Compliance. Muin adds the filings that now apply. Remove the ones that no longer do on Licenses & Permits.

I changed my fiscal year end or formation date. Save the new answers. Each filing whose date depends on them moves to the new date, and Muin names every filing that moved. A filing you edited by hand, or already marked filed, keeps its date.

We operate in more than one state. Add each one under Other states you operate in. Muin loads each state’s filings on the same calendar.
