Payment Reports

The payment report set and which tab answers which question: revenue over time, method mix, the fee breakdown, customers, and receipt delivery.

Five tabs, five questions. This page is where you go when someone asks how much came in, what it cost you in fees, which methods people actually used, or whether receipts are reaching people.

When you’d use this

  • Your board wants revenue over the last quarter.
  • You want to know what card fees cost you this month against ACH.
  • A donor says they never got a receipt and you want to see whether it was delivered.
  • You need a transaction file for your accountant.

Where it lives

Sidebar → Smart Payments → Reports. The page is open to owners and admins only. Other roles see Access Restricted: “Only admins and owners can view payment reports.”

Set the window with the date-range selector in the header: Last 7 days, Last 30 days (the default), Last 90 days, Last year, or All time.

Which tab answers which question

Tab The question it answers
Overview How much came in, and how many payments, over time?
Payment Methods Which methods did people pay with, by amount and share?
Fee Breakdown What did processing actually cost us, by method and over time?
Customers Who pays us most, and how many come back?
Receipts Are receipts reaching people, and on which channel?

Overview

Two charts: Revenue Over Time and Transaction Volume.

The stat cards above the tabs show Total Revenue, Transactions, Avg Transaction and Success Rate, each against the previous period. These cards sample your most recent transactions rather than the whole window, so read them as an indicator and use the charts and the export for exact figures.

Payment Methods

Payment Method Breakdown ranks the methods by amount, with each method’s share of the total.

Fee Breakdown

Five cards: Gross Volume, Stripe Fees, Platform Fees, Total Fees, Net Revenue.

Three tables:

  • Fee Breakdown by Payment Method: Method, Gross, Stripe Fee, Platform Fee, Net, Count. This is the table that tells you whether moving donors to ACH is worth encouraging.
  • Fee Trend Over Time: the same split per period.
  • Top Transactions by Fee: the individual payments that cost the most.

Click into a row for the fee detail.

Customers

Total Customers, Returning Customers and Avg Revenue per Customer, plus Top Customers by Volume: Customer, Total Volume, Transactions, First Payment, Last Payment.

Receipts

The receipt delivery dashboard: “Track receipt deliveries and manage year-end statements.”

Four tiles: Sent, Failed, Pending, Viewed. Delivery by Method splits them across email, SMS and WhatsApp, and Recent Deliveries lists the latest.

Three actions:

  • Resend Failed: resends every failed receipt in the window. It asks for confirmation, and the send cannot be recalled.
  • Generate Missing: creates receipts for payments that should have one and do not.
  • Export CSV: the delivery list.

Exporting

The Export button in the header downloads a CSV of transactions for the selected window, named for the date range. It is the raw payment list, not the metrics on the tabs. When the window has no transactions, Export is disabled and hovering it says so. The Receipts tab has its own Export CSV for deliveries.

Exporting needs a higher permission than viewing the reports, so an admin may be able to read the page but not export it.

What is not on this page

The links at the bottom of the page go to the transaction list and to reconciliation.

What it affects

  • Nothing on this page changes a payment. It reads.
  • The two exceptions are on the Receipts tab: Resend Failed sends real emails, texts or messages to real people, and Generate Missing creates receipt records. Both are deliberate actions with confirmations.

When it goes wrong

“Access Restricted. Only admins and owners can view payment reports.” Ask an owner or admin to run the report, or to change your role.

“Failed to load fee breakdown. Please try again.” Press Retry. An empty fee table after this message is not zero fees.

“No Fee Data” or “No transactions found for the selected period.” Widen the date range.

“No customer data available yet.” No payments in the window have an identified payer.

“Invalid date_from format.” The date in the URL is not YYYY-MM-DD. Reload the page and set the range with the selector.

The export did not download. Exporting needs the Finance process permission, which is higher than report viewing. Ask someone with it to export, or have your admin grant it.

The stat cards do not match the chart. The cards sample recent transactions; the charts and the export cover the full window. Trust the export.

Next step

For the fee a single payment carried, open it in Managing Transactions. To check your processor’s own numbers against Muin’s, see Payments Reconciliation.
