Spend Analytics
See invoice aging, expenses by category and top vendors in Muin, with every number clickable through to the documents it was built from.
Spend Analytics answers three questions off your finance documents: what is outstanding and how old it is, where the money went by category, and which vendors took the most of it.
When you’d use this
- You need to know how much of your payables is more than 60 days old.
- Somebody asks which category your spend actually went to this year.
- You want the fifteen vendors you spend the most with, for the period you choose.
- A number looks wrong and you want to see the invoices behind it rather than argue about it.
Read it
- Go to Sidebar → Finance → Close & Reports → Spend Analytics.
- Set the period with the select in the header. It opens on year to date.
- Read the three charts:
| Chart | What it shows |
|---|---|
| AR / AP aging | Outstanding invoices by age bucket: Current, 1-30 days, 31-60 days, 61-90 days, 90+ days. This chart is all time and ignores the period select. |
| Expenses by category | Approved spend grouped by category, as a donut with the total in the center. |
| Top vendors | Highest spend by vendor in the selected period, up to fifteen vendors. |
- Click any bar or slice. A drawer opens listing the exact documents behind that number, so the count on the chart and the rows in the drawer always agree.
Where the numbers come from
All three charts read your finance documents, not the general ledger. Aging looks at invoices that are approved or pending payment and buckets them on their due date against today. Category and vendor spend read the amount and the category or vendor extracted from each document, inside the period you selected.
That is a different source from the general ledger, so these figures answer “what do our documents say we spent” rather than “what is posted”. For the posted view use Profit & Loss.
What it affects
- Nothing. Spend Analytics is read-only.
- What moves it is document processing and approval: an invoice that has not been approved does not appear in category or vendor spend, and an invoice with no extracted amount contributes nothing.
- Fixing a wrong category or amount on the document itself is what corrects the chart.
When it goes wrong
| What you see | What it means | How to clear it |
|---|---|---|
| A chart showing an error message or “Failed to load” | That one aggregate failed. The other two are unaffected. | Use the chart’s retry. |
| Top vendors is empty but you know you spent money | No documents in the selected period carry a vendor, or none are approved. | Widen the period, and check the documents have been processed and approved. |
| The aging chart does not change when you change the period | Expected. Aging is all time by design: an old unpaid invoice should not disappear because you narrowed a window. | Nothing to do. |
| A category reads Uncategorized or is missing | The document had no category extracted. | Open the drawer, open the documents, and set the category. |
| The totals disagree with the P&L | Different sources: this screen reads documents, the P&L reads posted ledger entries. | Use the P&L for anything you report externally. |
Next step
- Financial statements: the posted-ledger view of the same spend.
- Bills: paying down what the aging chart is showing you.
- Finance documents: the documents every one of these numbers is built from.
