Customs Entries and Licenses
Bring your customs entries into Muin from 7501s or an ACE export, tie each entry to its purchase order, watch liquidation dates, and track export licenses, import permits and OFAC specific licenses with what each still allows.
Customs entries holds every customs entry, line by line, tied to the purchase order it paid for. Licenses holds your export licenses, import permits and OFAC specific licenses, what each still allows, and when it runs out.
Suggested, not a ruling. You or your licensed customs broker are responsible for what is filed. This is not legal advice.
When you’d use this
- You want the duty you actually paid next to the duty you expected on each PO.
- You need to know which entries are close to liquidation, because refund routes narrow after it.
- A shipment ships under a license with a value or quantity cap, and you need to know what is left.
Bring in your customs entries
- Go to Sidebar → Trade → Operations → Customs entries.
- Click Upload entries and choose a file: CBP Form 7501s or an ACE export, as CSV, Excel or text. One file can hold many entries.
- Review the flagged fields. Values that do not match the PO are flagged.
- Link each entry to its PO. An entry tied to its PO shows the duty you really paid.
To link entries as you import them, add a po_number column with the PO number, or a receipt_number column with the goods receipt number. A receipt links the entry to that receipt and to its PO. Muin leaves out an entry whose PO or receipt number it cannot find, or whose receipt belongs to a different PO than the one named, and tells you which entry and why.
The list shows each entry’s Entry date, Entered value, Duty and Liquidation date. After the liquidation date, refund routes narrow, so watch that column.
Read one entry
Click an entry to open it. The detail shows the Liquidation date, the Purchase order, any Flagged fields, and every line with its HTS code and entered value. Chapter 99 lines are the extra tariffs on top of the base rate.
When the duty paid differs from the estimate, the entry shows “Landed cost variance” with the amount. Review the declared values with your broker.
From here, Run the Tariff Refund Scan checks your entries for possible refunds: see Tariff refunds.
Track a license
- Go to Sidebar → Trade → Export → Licenses.
- Click Add a license.
- Under The license, pick the Type (Export license, Import permit or OFAC specific license), and fill in Name, Issued by, License number and Expires.
- Under What it allows, set a Quantity limit, a Value limit (USD), or both. Each shipment draws these down.
- Click Add license, then Attach the document so the license is kept with its record.
Each license card shows what remains of its quantity and value. When an export shipment ships under a license, it draws that license down. Muin reminds you 60 and 30 days before a license runs out.
A license record is a register of what you hold. Muin does not issue or renew licenses. A determination aid, not a BIS ruling or a license. You are responsible for your export classification and any license you need.
What it affects
- A linked entry feeds the landed cost on its PO and the Duty exposure actuals.
- Entries are what the Tariff refunds scan reads.
- A license’s remaining value and quantity fall each time a shipment draws on it.
When it goes wrong
| What you see | What it means | How to clear it |
|---|---|---|
| Flagged fields on an entry | A value on the entry does not match the PO. | Check the entry with your broker, then correct the PO or the entry. |
| “This entry has no lines.” | The import found the entry header but no lines. | Re-upload the file with its line detail. |
| “Name the license.” or a limit error | A required field is empty, or a limit is not a number above zero. | Fix the field; leave a limit blank if the license has none. |
| “No limit recorded.” on a license | No quantity or value limit was entered. | Expected for a license with no cap. |
| No Customs entries or Licenses in the menu | Customs entries needs the refunds permission; Licenses needs the export compliance permission. | Ask an administrator. |
