Money Back Scan
Money Recovery: scan your books and payments for money that went out and should come back, and money that never came in, then track each recovery with proof.
Money Back Scan reads your books and payments and shows a dollar figure: money that went out and may come back, and money that never came in. Open Muin for Finance, point at Overview, and click Money Back Scan.
Money Back Scan is part of the Money Recovery product: the free scan, the full report, monitoring and recoveries. Once your organization has Money Recovery, an owner or admin also opens its home under Products > Money Recovery.
Watch it done: a short walkthrough video of a finished scan: the total, a finding and its evidence, and the recoveries.
Run your first scan
- Connect a source: QuickBooks under Connections or Stripe under Settings > Payments, or upload a bank or AP export. The Money Back Scan page links to each one. The gifts, invoices, pledges and memberships already in Muin are read without any setup.
- On the Money Back Scan page, click Run scan.
- The first time, an owner or admin agrees to the data-use terms (see Consent).
- The scan runs in the background. When it finishes, the page shows the total and each category.
How much did the scan find
The total is at the top of the Money Back Scan page.
| Total | What it means |
|---|---|
| Money that went out | Money you paid that you may get back, such as a duplicate payment |
| Money that never came in | Money owed to you, such as a failed recurring gift or an overdue invoice |
Each category shows how many findings it has and their amount. If the scan finds nothing, the page shows how many records it read from each source.
The Found, Recovered and In progress tiles
The product home shows three tiles:
- Found: what the latest scan found.
- Recovered: claims marked paid back with proof.
- In progress: findings being fixed or claimed now.
Each tile opens the findings list filtered to what it counts. Before the full report is unlocked, only Found shows, with a link to unlock the report. With no scan yet, the home shows the steps to run the first one.
What it checks
The scan checks 22 categories: 16 for money you paid or are owed, and 6 for import duty on your customs entries.
| Category | What it looks for |
|---|---|
| Duplicate payments | The same bill paid twice |
| Missed early-pay discounts | A bill paid after its early-pay date, so the discount was lost |
| Audit gaps | Grant-funded purchases missing the quotes or records federal grant rules (2 CFR 200) ask for |
| Duplicate charges | The same card charge taken twice |
| Payouts that did not match | A processor payout that does not match the deposit in your books |
| Overpaid processing fees | Processing fees above the rate you should pay |
| Auto-renewals of unused contracts | A vendor contract that renews itself soon while most of what you committed to it is unused |
| Bills charged above the contract price | A paid vendor bill whose prices are higher than the contract you confirmed for that vendor |
| Card disputes open for evidence | A card payment the cardholder disputed with their bank, still before its evidence deadline |
| Failed recurring gifts | Recurring gifts or payments that stopped charging |
| Expiring cards | Saved cards that expire before the next charge |
| Lapsed donors | Donors who gave regularly and stopped |
| Overdue invoices | Invoices past due and unpaid |
| Unfulfilled pledges | Pledge installments that were not paid |
| Lapsed memberships | Memberships that ended without renewal |
| Abandoned checkouts | Donations or purchases started and not finished |
| Duty paid twice | The same customs entry line paid more than once |
| IEEPA tariff refund | Duty paid under the IEEPA tariffs that may be refundable |
| Missed tariff exclusion | Duty paid on goods that had an exclusion |
| Section 301 tariff | Section 301 duty that may be recoverable |
| First sale valuation | A flag: duty that first-sale valuation might have lowered |
| Duty drawback | A flag: duty a broker could claim back on exported goods |
The import duty categories read the customs entries in Muin for Trade (Customs entries). Each one is an estimate from your records, and a flag shows the most it could return, not a forecast.
What it reads
- QuickBooks: bills, bill payments, purchases, vendor credits, deposits and refund receipts.
- Stripe: charges, refunds and payouts.
- Muin: the gifts, invoices, pledges, memberships, vendor contracts and customs entries already in your account.
- Uploaded file: a bank or AP export, for organizations without QuickBooks or Stripe.
The scan only reads. It never changes a record in QuickBooks or Stripe. Card numbers and billing addresses are not stored.
What does the money back scan read from QuickBooks
Bills, bill payments, purchases, vendor credits, deposits and refund receipts. Nothing in QuickBooks is changed.
Consent
Before the first scan, an owner or admin agrees to the data-use terms on the consent screen. To check each possible finding, Muin sends the matching records to an AI model on Amazon Bedrock in Falaah’s AWS account. Your records are not used to train the model. Anyone else who runs the scan first sees “Ask your owner or admin to enable this.” No scan reads your full ledger without that consent on record.
Free summary and the full report
The summary is free and needs no card. It shows the totals, the count per category and one sample finding without names.
The full report costs $149, one time. It shows every vendor, invoice and the evidence for each finding, and you can download it as a PDF.
- It is offered when the summary finds $1,500 or more.
- When the scan finds more than $25,000, we talk with you first instead of offering checkout.
- The $149 is credited in full to your first Plan invoice within 30 days. We send a reminder on day 25.
- You can get a full refund within 30 days if you have not used the credit. There is no refund button in the app: email contact@falaah.ai or use the form at falaah.ai/contact, and Falaah issues the refund.
The full report is also open with paid monitoring, and on a paid Plan with the Finance or Nonprofit module (not during the Plan trial).
Recoveries and proof
Recoveries are open with paid monitoring, or on a paid Plan with the Finance or Nonprofit module (not during the Plan trial). With the full report alone you see every finding, and you turn on monitoring or choose a Plan to start a recovery.
Start a recovery from a finding for money that went out. Muin drafts the recovery request to the vendor and tracks the claim until the money is back. For a card dispute, Muin drafts the evidence instead: what the charge was for and a statement to the cardholder’s bank. You edit it, then submit it to the bank through Stripe. A dispute takes one submission, so check it before you submit. For revenue findings, a one-click fix retries the charge, sends a card-update link, sends an invoice reminder, or starts the win-back emails for a lapsed donor: the donor joins the lapsed donor win-back journey in Comms, and you can stop it from the journey’s page.
A recovery closes with proof that the money came back:
- A QuickBooks vendor credit, deposit or refund receipt.
- A Stripe refund or a payment recorded in Muin.
- An uploaded proof, reviewed by a finance approver.
Finance staff can export the recoveries to CSV for an auditor, with the claim, the proof and the funding source on each row.
Is there a fee when you recover money for us
No. Recoveries carry no fee, and Muin takes nothing from the money you get back. Recoveries are tracked with their proof. This holds for every recovery, including one charged to a grant or restricted award.
Settings
Open Settings > Money Back Scan to choose what the scan reads and who hears about it.
- Sources to scan: tick the sources the scan reads. Only sources your organization has connected can be ticked; the others name the way to connect them. Choose at least one.
- Email me about new findings: turn on to get an email when a scan finds something new.
- Data-use consent: shows when consent was given and the terms version. If it is not given yet, an owner or admin is asked the first time they run a scan.
Anyone who can see the scan can view this page. Saving changes needs permission to run the scan.
Monitoring
Monitoring costs $49 a month or $490 a year. You pick monthly or annual when you turn it on. If you have a paid Plan, monitoring is billed on the same schedule as your Plan, so pick the option that matches it.
- It rescans your books every week and tells you when it finds something new.
- The Payment Risk Watcher is included.
- It opens the full report for every scan.
- If you move to a Plan within 3 months, the monitoring months you paid are credited to the Plan.
- If your Plan already includes it, an owner or admin turns it on at no charge.
Manage monitoring in Billing
Monitoring also has a row under Settings > Billing > Add-ons. It shows whether monitoring is on, the billing period and the next charge. An account owner can cancel there. When monitoring is the only thing you pay for, the owner can also switch between monthly and annual there; the switch applies at the next renewal. On a Plan, monitoring follows your Plan’s billing period.
Cancel monitoring
Cancel from the monitoring card on the Money Back Scan page (owner or admin), or from the Billing row (owner).
- Cancelling stops renewal.
- Weekly rescans continue to the end of the period you paid for.
- Past scans and findings are kept.
- Monitoring included in your Plan has no charge, so turning it off stops the weekly rescans at once.
