How to Find Money Your Organization Can Get Back with Money Back Scan, Step by Step
Connect your books, run a free scan, read each finding and its evidence, and track every recovery until the money is back.
Money Recovery runs in the Muin platform today, on a paid Platform Plan with the Finance or Nonprofit module: see Plans. Recoveries and the full report stay locked during the 30-day Plan trial and open once the Plan is paid. A standalone Money Recovery product comes later; you can get one email when it opens on the Money Recovery page.
Money Back Scan reads your books and payments and gives you one number: money that went out and may come back, such as a bill paid twice, and money that never came in, such as a failed recurring gift or an overdue invoice. The summary is free and needs no card.
Money Back Scan is part of Money Recovery, the product that also includes the full report, monitoring and recoveries.
Watch it on a finished scan: the Money Back Scan walkthrough.
What it costs
| What | Price |
|---|---|
| The scan and its summary | Free, no card |
| The full report: every vendor, invoice and the evidence, as a PDF | $149, one time |
| Monitoring: a rescan every week and the Payment Risk Watcher | $49 a month or $490 a year |
| Recoveries, with paid monitoring or a paid Plan | No fee |
The full report is offered when the summary finds between $1,500 and $25,000. Above $25,000 we talk with you first. The $149 is credited in full to your first Plan invoice within 30 days, and you can get a full refund within 30 days if you have not used the credit: email contact@falaah.ai or use the form at falaah.ai/contact. The full report is also open with paid monitoring, and on a paid Plan with the Finance or Nonprofit module (not during the Plan trial).
Step 1: Connect a source
The scan reads QuickBooks, Stripe and the gifts, invoices, pledges and memberships already in Muin. Connect QuickBooks under Connections or Stripe under Settings > Payments. No QuickBooks or Stripe? Upload a bank or AP export instead.
Step 2: Open Money Back Scan
Open Muin for Finance, point at Overview, and click Money Back Scan.
Step 3: Run the scan
Click Run scan. The first time, an owner or admin agrees to let Muin read the records for the scan. The scan only reads: it never moves money and never changes your books. It runs in the background.
Step 4: Read the summary
At the top is the total found, split into money that went out and money that never came in. Below it, each category shows how many findings it has and their amount: duplicate payments, missed early-pay discounts, audit gaps, failed recurring gifts, overdue invoices, unpaid pledges, lapsed memberships and more.
Step 5: Open a finding
Open Findings to see each one with its funding, its status and the next step. Click a finding to see why it was flagged and the records behind it, for example two paid bills from the same vendor with the same invoice number and amount.
Step 6: Get the money back
Recoveries are open with paid monitoring, or on a paid Plan with the Finance or Nonprofit module (not during the Plan trial). For money that went out, click Start recovery. Muin drafts the request to the vendor and tracks the claim. For money that never came in, the next step is one click: retry the charge, send a card-update link, send an invoice reminder, or email the lapsed donor. Nothing is sent unless you click.
Step 7: Close each recovery with proof
Open Recoveries. Each claim closes with proof that the money came back: a QuickBooks vendor credit, deposit or refund receipt, a Stripe refund, a payment recorded in Muin, or an uploaded proof reviewed by a finance approver. Export the recoveries to CSV for your auditor.
Keep watching
Turn on monitoring for $49 a month or $490 a year, and the scan runs every week and tells you when it finds something new. If you move to a Plan within 3 months, the monitoring months you paid are credited to the Plan.
To stop, cancel monitoring on the Money Back Scan page or under Settings > Billing > Add-ons. Renewal stops, and weekly rescans continue to the end of the period you paid for.
