What file types can I upload to Muin?
Muin supports a wide range of business document formats: **Documents:** - PDF (.pdf) - Most common for invoices and contracts - Microsoft Word (.doc, .docx) - Microsoft Excel (.xls, .xlsx) - Plain text (.txt) **Images:** - JPEG/JPG - Photos of receipts, scanned documents - PNG - Screenshots, scanned documents - TIFF (.tiff) - High-quality scans - WebP (.webp) - Modern image format - HEIC/HEIF (.heic, .heif) - iPhone/iPad photos **Limits:** - Maximum file size: 50MB per document - Maximum batch upload: 20 files, 10MB each
How long does document processing take?

My document upload is stuck. What should I do?
If your upload appears stuck, try these steps: **1. Wait a moment** - Large or complex files can take 1-2 minutes - Scanned PDFs require OCR which takes longer **2. Refresh and check** - Refresh the page - Check if the document appears in your documents list - It may have completed while the progress indicator was stuck **3. Retry the upload** - If the document isn't in your list, try uploading again - Ensure the file is under 50MB - Verify it's a supported format (PDF, Word, Excel, images) **4. Check document quality** - Scanned documents should be at least 300 DPI - Avoid blurry or rotated pages - Ensure the file isn't password-protected **Still having issues?** Clear your browser cache and try a different browser, or contact support with the file type and size.
What counts as a document?
Any file you upload, forward via email, or sync from connected storage counts as a document. This includes: - PDFs (invoices, contracts, receipts) - Word documents - Excel spreadsheets - Images (photos of receipts, scanned pages) - Emails forwarded to your Muin inbox **What doesn't count:** - Archived documents that have been processed and stored - Documents shared with you (count toward the uploader's limit) Your plan includes a monthly document processing limit. Are e-signatures available in Muin?
**Built-in acknowledgments** are available today: typed-name sign-off with a timestamp and IP record, suited to internal documents like policy attestations and handbook acknowledgments. **Legally binding envelope e-signatures** (contracts, offer letters, NDAs with PKI-based digital signatures and audit certificates) are on the roadmap and not yet available in beta. How do I request a signature or acknowledgment?
Requests start from a document. Open the document that needs sign-off and start the request from its detail page — the **New signature request** button on the Signatures dashboard takes you to your document library. Track everything from the **Signatures** page: the **Awaiting My Signature** tab shows documents waiting on you, and **Requested by Me** shows requests you've sent, with status filters for in-progress, completed, declined, and expired.
What record does a built-in acknowledgment create?
Each acknowledgment records the signer's **typed name**, a **timestamp**, and the **IP address** it was submitted from, stored against the document. That's sufficient for internal receipt-style sign-off — policy attestations, handbook acknowledgments, and similar web-checkbox workflows. For documents that need tamper-evident seals and ESIGN/eIDAS-compliant digital signatures, wait for the envelope e-signature feature — it's on the roadmap and will appear on this same dashboard when enabled.
What is the Data Vault?
It's your organization's single store of verified facts — legal name, EIN, addresses, certifications, banking details — extracted automatically from your documents or entered manually, then confirmed by a person. Find it at **Settings** → **Data Vault**. Once a fact is verified there, forms, document templates, and AI workflows can reuse it instead of asking someone to retype it.
Why do vault entries say "Pending Review"?
Extracted values are suggestions until a person confirms them. **Pending Review** means nobody has verified that entry against its source document yet — open it, compare with the source (one click away), correct if needed, and verify. Verification matters downstream: auto-fill prefers verified entries, so an unreviewed low-confidence extraction won't silently land in your grant application. A weekly review pass keeps the count at zero.
Is sensitive data in the vault protected?
Yes — values with sensitive keys (tax IDs, bank accounts, government ID numbers) are **encrypted at rest** and masked on screen by default. Access follows your document permissions: viewing the vault requires document-view rights, and editing or verifying requires processing rights. Deletions are soft, preserving the audit trail.
