Smart Forms: Replace Google Forms with Something That Understands Your Business
Muin Smart Forms combines a visual form builder with AI generation, smart contact resolution, and deep workflow integration to replace disconnected form tools.
Every business runs on forms. Client intake, employee onboarding, vendor registration, feedback surveys, event RSVPs, support tickets, purchase requests. Forms are how information enters your business.
And yet, most businesses still use tools that treat forms as isolated data collectors. You build a form in Google Forms or Typeform, responses land in a spreadsheet, and then someone manually copies that data into your CRM, your project management tool, your accounting system, or wherever it actually needs to go.
This is the form tool problem: the data is collected, but it is disconnected from everything else.
Smart Forms is Muin’s answer. Forms that understand your business, connect to your data, and trigger real workflows.
The Problem with Current Form Tools
Disconnected Data
Google Forms dumps responses into Google Sheets. Typeform sends data to a separate dashboard. JotForm has its own data store. None of these tools know anything about your business. They do not know who your contacts are. They cannot look up an existing customer record. They cannot check inventory or availability before accepting a submission.
The result is manual work: someone on your team reviews every submission, cross-references it with your business data, and manually enters it into the right system. For high-volume forms, this becomes a full-time job.
High Abandonment
Long, complex forms are widely known to suffer from high abandonment rates. When a returning customer has to re-enter their name, email, company, and address for the hundredth time — when you already have all that information — frustration is inevitable.
No Workflow Connection
Submitting a form should be the beginning of a process, not the end of one. A vendor registration form should trigger an onboarding workflow. A support request should create a ticket and notify the right team. A purchase request should route to the appropriate approver based on the amount.
With traditional form tools, all of this requires third-party integrations (Zapier, Make) or custom development. And those integrations break.
What Makes Smart Forms Different
Smart Contact Resolution
When someone starts filling out a Smart Form, the system attempts to identify them based on their email address, phone number, or a unique link. If they are an existing contact in Muin, the form pre-fills their name and contact details and hides fields you already have answers to.
A returning donor filling out a pledge form sees their name, email, and phone already filled in — and those fields are hidden automatically so they only see what is new. Less repetition, faster completion.
For new contacts, the information they provide automatically creates a contact record in Muin. No manual data entry required.
Visual Form Builder
Smart Forms includes a drag-and-drop builder with every field type you need:
- Standard fields — Text, number, email, phone, date, dropdown, checkbox, radio
- Advanced fields — File upload, signature, currency, payment amount
- Scheduling fields — Time slot picker with configurable availability
- Survey fields — NPS, Likert scale, matrix, ranking, rating
- Logic fields — Conditional visibility, calculated fields, repeatable sections
The builder supports multi-page forms, progress indicators, auto-save drafts, and mobile-responsive layouts by default.
AI Form Generation
Describe the form you need in plain language, and the AI builds it:
“Create a vendor registration form that collects company name, tax ID, insurance certificates, contact information, and payment details. Include conditional questions for international vendors about import/export compliance.”
The AI generates the complete form structure with appropriate field types, validation rules, and conditional logic. You review, adjust if needed, and publish — significantly faster than building from scratch.
Workflow Integration
This is where Smart Forms fundamentally differs from standalone form tools. Every form submission can trigger workflows in Muin’s automation engine:
- Vendor registration form —> Creates vendor profile, assigns onboarding task to procurement team, sends welcome notification
- Volunteer sign-up form —> Creates volunteer registration, updates event headcount, sends confirmation email
- Grant application form —> Creates grant application record, notifies program manager, routes to review queue
- Support request form —> Creates support ticket, assigns to available agent, sends acknowledgment to submitter
- Donation form —> Records contribution, processes payment via Smart Payments, generates tax receipt
Workflow triggers are configured in Muin’s workflow builder, where you connect form submissions to multi-step automations with conditions, approvals, and notifications.
Conditional Logic and Branching
Smart Forms supports sophisticated conditional logic:
- Show or hide fields based on previous answers
- Skip entire pages based on responses
- Calculate totals dynamically
- Route to different workflows based on form content
Understanding Your Responses
Collecting responses is the easy part — making sense of them is where most form tools stop and export to a spreadsheet. Smart Forms includes a built-in summary panel that reads your submissions and surfaces the numbers that matter, computed on the server rather than estimated:
- Headcount roll-ups for event RSVPs that sum every registration, including plus-ones
- Slot-fill boards — “8 of 12 claimed” — for forms that offer sign-up slots
- Revenue and paid-versus-unpaid rollups for forms that collect payment
- Per-choice distributions for dropdown, radio, and other choice fields, so you can see how answers break down at a glance
The panel adapts to the form: headcount appears only for event-bound RSVP forms, slot-fill only when a form has slots, revenue only for paid forms.
Ask Muin About a Form
Scope a chat to a single form and ask questions in plain language — “how many total guests are coming?”, “how many dessert slots are left?”, “what’s the paid-versus-unpaid split?” Muin answers from the same server-computed figures that power the summary panel: the assistant narrates the number, it never does the arithmetic itself, so its answer always matches the panel. And it deliberately won’t hand back attendee lists or personal details — aggregate answers only.
The numbers are always real. Muin computes every count, total, and fill-rate on the server. When you ask Muin about a form, the AI reports those exact figures — it never calculates or guesses them. No hallucinated totals, ever. That’s the difference between an assistant you can put in front of a board report and a chatbot you have to double-check.

The key difference is not any single feature — it is that Smart Forms is part of your business platform. It knows your contacts, connects to your workflows, and feeds data directly into your operations. Standalone form tools are blind to all of this.
Use Cases Across Modules
Smart Forms integrates with Muin modules to automatically create records from submissions:
- Non-Profits — Donation intake, volunteer sign-up, event registration, grant applications, program enrollment, facility rental requests
- Vendors — Vendor registration and onboarding
- Support — Support ticket creation from customer-facing forms
- HR — Employee onboarding forms (W-4, I-9, direct deposit)
For other use cases, form submissions are captured and can trigger workflows for processing, approvals, and notifications.
Coming to Beta
Smart Forms is available now to all beta participants. The visual builder, AI generation, and workflow integration are ready to use.
